1 Business Objects Overview
2007 MEPRS Conference

2 Unit Objectives After completing this module, workshop participants will be able to: Execute Business Objects and successfully log on to the EAS IV Repository. Distinguish key components of the Business Objects query panel. Distinguish between dimensions and measures across EAS IV Repository classes. Create and execute an EAS IV Repository query. Save an EAS IV Repository query and report. Retrieve and edit a saved EAS IV Repository report.

3 Outline Introduction Logging-on Creating & Running Queries
Modifying Queries Saving Queries

4 Introduction What is Business Objects?
Business Objects is a commercial-off-the-shelf (COTS) software product that provides the EAS IV Repository user with a Windows graphical user interface (GUI) for data access and decision support.

5 Introduction Using Business Objects you can:
Create, execute, and manage database queries Execute predefined queries Create reports and charts to analyze query results Export data to other applications Share MEPRS reports with other users across the world

6 Introduction What is a query?
A query is a set of data elements and conditions defined by a user to search and retrieve data stored in the relational database on the server.

7 Introduction Universe: Class: Objects: Separate Relational Databases
EAS IV Universe MQ3DATA and MQ3TBL in MEQS III Class: Logical groups of similar information For example, Class 01: Location Objects: Unique data elements For example, Fiscal Year

8 Logging-on Use the drop-down button to select a domain -- for example, EAS IV Repository, MEQS, M2

9 Logging-on Cancel out of the New Report Wizard

10 Logging-on Select OPTIONS from the TOOLS Menu
Under the New Document tab choose “Use a Default Template” and “Use the Default Universe.” Select EASIV Repository Universe from the drop down menu.

13 Creating and Running Queries
Measures vs. Dimensions Measures are indicated by pink circles which represent quantitative data such as Total Visits and Personnel Expenses. Measures can be used in calculations. Dimensions are indicated by blue squares and represent qualitative data such as Parent DMIS ID or Fiscal Year. Dimensions are never used in calculations. (i.e. adding FY FY 2003 = FY 4005 would never make sense).

14 Creating and Running Queries
Select help icon Click on an Object Object definition appears at bottom of screen

15 Creating and Running Queries
Adding Objects to Result Objects Box: Double-click Object Drag and drop Object Drag and drop entire Class -- adds all Objects within the Class (Select and stretch objects in Results Objects box to see full descriptions)

16 Creating and Running Queries
Deleting Objects from Result Objects Box: - Click and hit Delete key - Right-click and select Remove

17 Creating and Running Queries
Wrap Result Objects Objects are wrapping.

18 Creating and Running Queries
You can rearrange Result Objects by clicking and dragging. This is easier when objects are not “Wrapped”

19 Complex Conditions 1. Complex Conditions involve two steps. 1) Select an Operator, and 2) Select an Operand 2. Use Complex Conditions to better define your query, eliminating unneeded data.

20 OPERATORS To Obtain data that…… Operator Needed
Is equal to one given value Equal to Is different from one given value Different from Is greater than a given value Greater than or equal to Is lower than a given value Less than or equal to Falls between to given values (Inclusive) Between Falls outside two given values (Inclusive) Not Between Is the same as any of a list of values In List Is different from given values Not in list Contains empty rows Is null Does not contain empty rows Is not null All contains the same character or character Matches pattern Does not contain a given character or pattern of characters Different from pattern Satisfies two conditions on one object Both Excludes a given value(s) Except

21 OPERANDS Values that are typed Type a new constant
If you want to compare the condition object with… Select Operand... Then... Values that are typed Type a new constant Type the values with a comma between each one. Values that you select from the object’s list of values Show list of Values Hold down the Ctrl key. Click the value(s) wanted, then click OK. Values that user will select when the query is run Type a new prompt or Show list of prompts Type your question. Press the Enter key or Select a prompt from the dialog box that appears.

22 Creating and Running Queries
Condition appears in Condition Box.

23 Creating and Running Queries
Applying another condition. Notice when added to Conditions Box, it adds the word “And”.

24 Creating and Running Queries
Click to run

25 Creating and Running Queries
Query results are produced. Notice that Parent DMIS ID is sorted in ascending order.

26 Modifying Queries To make a change in your query,
- select Data, Edit Data Provider… - or select Edit Data Provider icon.

27 Modifying Queries You will return to the Query Panel where you can
make any necessary changes. Once changes are made, press Run again.

28 Modifying Queries Modified query results

29 Creating and Running Queries
Deleting a Complex Condition Click on Condition to be deleted Right click and select Delete or Hit Delete key

30 Saving Queries - File - Save As...

31 Saving Queries Select directory where you want to save report.
Name the file File will be saved as *.rep, a Business Objects report. Click Save when finished.

33 Hands-on Application Exercise 1

34 Exercise 1a: Challenge Log on to EAS IV Repository
Prepare a report listing the following 4th Quarter FY 2006 data for USA Hospital Landstuhl (DMISID 0607): Fiscal Year Parent DMIS ID Fiscal Month Available FTE Personnel Direct Expenses Direct Expenses Keep query open when finished

35 Exercise 1a: Approach Results Objects: Conditions:
Class 21: Fiscal Year Fiscal Month Parent DMIS ID Available FTE Direct Expense Personnel Direct Expense Conditions: Class 21: Fiscal Year Equal to Class 21: Fiscal Month In List 10,11,12 And Class 21: Parent DMIS ID Equal to 0607

36 Exercise 1: Results Keep query open when finished
Note: Report created 1 August 2007

37 Wildcards Wildcards are used with the “Matches pattern” or “Different from pattern” operators Two wildcards are valid in Business Objects “%” represents all characters This query returns all 4th-level FCCs ending in “5” (APVs) at DMIS ID 0037

38 Wildcards The second wildcard, “_” represents specific character positions This query returns all 4th-level FCCs beginning with “A” and having an “X” in the 3rd position (inpatient costpools) at DMIS ID 0037

39 Exercise 1b: Challenge Log on to EAS IV Repository
Modify the query built for Exercise 1a to include the same data by Ambulatory 3rd Level FCC. (Hint: Display the 3rd Level FCCs in the final report.)

40 Exercise 1b: Approach Class 21: Fiscal Year Fiscal Month
Results Objects: Class 21: Fiscal Year Fiscal Month Parent DMIS ID 3rd Level Functional Cost Code Available FTE Direct Expense Personnel Direct Expense Conditions: Class 21: Fiscal Year Equal to 2006 Class 21: Fiscal Month In List 10,11,12 And Class 21: Parent DMIS ID Equal to 0607 And Class 21: 3rd Level Functional Cost Code Matches Pattern B%

41 Exercise 1b: Results Note: Report created 1 August 2007
