2 CEC – Meetings Statutory Meetings Quarterly Meetings
Organizational Ballot Draw Election Canvass Run-off Election Canvass Quarterly Meetings RPT Rules require 4 meetings per year You may meet more often and include social events in coordination with you meetings

3 CEC – Meetings Organizational Meeting – RPT Rules Require:
Held between 20th day & 45th day after the Primary Run-off Election Cannot be held during the RNC Convention All elected Precinct Chairs must be notified by US Postal Mail 14 days in advance of this particular meeting Proposed Bylaws must be mailed by US Postal Mail 14 days in advance of the meeting Other items to be discussed should also be included If you are putting out a call for other meetings by , be sure to get confirmation of receipt from each PC.

4 Suggestions for Meetings
Either combined with the 4 quarterly meetings or in between these “business” meetings Invite speakers State Party Chair or Vice Chair RNC Committee Man & Woman SREC Members Local Elected Officials/Candidates Area Auxiliary Groups Advocacy Groups RPT Staffers Social Events Try and include some social aspect Coffee & Cookies 30 minutes before the meeting Dutch Treat Dinner after meeting Be careful to avoid having all general Party meetings with a business meeting as this becomes tiresome for the non CEC members and extends the length of the meeting. It also rushes the business at hand. However having such guests enhances the knowledge and experience for the CEC members and should always be open. Strike a balance.

Always introduce yourself at every meeting God before Country Always have someone lined up to Lead the Prayer Lead the US Pledge (on Speaker’s right) Lead the Texas Pledge Recognize Elected Officials & Candidates Ballot Order Recognize guests Introduce Speaker Speaker’s Remarks Officer Reports Committee Reports New Business Announcements Adjourn * Have someone available to list the officials as they arrive. A short cut is to have a pre printed list of officials that is checked off as they arrive and given to the Chairman.

7 Importance of Holding County Party Events
Provides exposure and legitimacy to the Republican County Party Each new event allows for Party growth and expansion People want to make a difference and meet like-minded individuals Importance of Holding County Party Events

8 Location is Everything
Because in politics perception is reality! TIP – You always want a room to look FULL If you expect 20 people don’t book a location that fits This will make it seem that there was a low turnout. It’s always better to give the impression that there was “standing room only!” This or THIS About 20 people in each photo

9 Secure a Date & Speaker Secure a Date
Make sure you take into account the school and football schedule, as well as holidays Secure an Elected Official/Guest Speaker Typically folks like to get a Judge, SREC member or a higher elected official like a State Representative, State Senator ,etc. Not every event needs one, just ensure there is a ‘main event’

10 Refreshments Ask a local business to sponsor the refreshments
They get name ID and you get food People also love to come back to functions that have food! No need for a full meal or a fancy spread Coffee and doughnuts or cookies and cool-aid are just fine. Make sure you have someone on hand to refresh the supplies Paper goods Napkins, plates, forks, cups, etc. Another great place to get items donated or even ask someone to go to Sam’s; you might be stocked up for a few meetings/months!

11 Other Event Elements Agenda or Program – Keeps the event on track & orderly Remember a local business might be willing to make the copies Sign In – If you have any new guests attend, make sure you have a way to capture their contact information. Name and most important Greeter – It is always a good policy to have someone greet folks as they arrive. This will be of added benefit if someone new comes and does not know the typical flow of the location, etc.

12 ALWAYS Collect names and s at ALL events to add to your County Party’s list Alert your list, candidates, elected officials and media of events Make sure you have flags & someone to lead the Prayer and Pledges Take pictures If you don’t have a picture it never really happened! Collect all Texas Ethics Commission required information when money changes hands
