Policy adjustments issued July 2015 Key messages for researchers Ongoing work in Library/RSPO Sources of help and support

3 OA Policy for the next REF
To be eligible for submission outputs meeting the following definition must be deposited in an open access repository: Journal articles and conference papers published as part of proceedings with an International Standard Serial Number (ISSN) Accepted for publication after 1st April 2016

4 Deposit requirements The output deposited should be the author accepted manuscript (AAM), otherwise known as final author version or postprint) The output must be deposited as soon after point of acceptance as possible, and no later than 3 months after this date

5 Exceptions Deposit Access Technical
E.g. author was not employed by a UK HEI, security risk Access E.g. publication concerned requires an embargo period that exceeds the stated maxima, and was the most appropriate publication for the output Technical E.g. repository experienced a short-term technical failure

6 Policy adjustment July 2015
Deadline for deposit extended From 1 April 2016 to 31 March 2017 can be deposited at any point between acceptance and up to 3 months after date of publication Plan that will revert but this will be reviewed Additional exception for Gold OA Authors will still have to deposit within 3 months from acceptance but this may be the final published version

7 Implications for our researchers
Before submission, check whether the publication is ‘REF compliant’ Make sure they have the author accepted manuscript (AAM) of the accepted article, and keep the from the publisher which gives date of acceptance Add article details and upload AAM to PURE as soon as possible after acceptance If required, arrange approval of an exception [method tbc]

8 Be REF OA ready Deposit your author accepted manuscript into PURE asap after acceptance

9 Library/RSPO activity
Library validation of PURE entries Check metadata and release full text into WRRO Modified staffing, streamlined workflows White Rose Research Online (WRRO) Preparatory work to meet REF requirements Support and guidance Communications to DRC Chairs, research administrators and researchers (phased approach) Web pages and step-by-step guides Next phase New OA options in next version(s) of PURE Compliance monitoring Exception reporting Working with Advisory team
