1 DOSSIER PREPARATION MENTORING PROGRAM
June 8, Session #2 Review: “Who am I”, CV, External Reviewers, Criteria, Minimum Qualifications Dossier Sections: Statement of Endeavors, Supporting Material Getting Started “Top 5 Tips” Teaching Section (hold off until next week)

2 Review: Criteria Criteria to be used dependent upon your faculty series and duties: I – Instructional M – Instructional-Medicine R – Researcher S – Specialist B - Librarian

3 JABSOM M-Series Criteria
Typically for M-faculty with an MD Created to assist those faculty with a clinical-educator role with the medical education program Optional for M-faculty to use M-faculty must also meet the UH I-series Criteria (as the M-series is a sub-classification that falls under the I-series)

4 Minimum Requirements EDUCATIONAL (waivers approved by: Dept Chair, Dean, Manoa Chancellor) YEARS OF SERVICE (waivers approved by: Dept Chair, Dean)

5 What if I need a waiver? If you require a waiver of minimum requirements, please let us know, we can help you draft a waiver request Waiver requests are due to your Chair by August 1. Waivers must be approved by your Department Chair and the Dean Approved waivers must be inserted into the dossier

6 General Criteria – Associate Professor (for both I and M faculty)
Main criteria (from UH Criteria/Guidelines): “…should be well on the way to becoming an established scholar in his or her discipline.”

7 General Criteria – Professor (for both I and M faculty)
Main criteria (from UH Criteria/Guidelines): “The significance and distinction of the scholarly achievement should clearly place the faculty member at the forefront of the discipline or field.” (from UH Executive Policies – Minimum Requirements) “…research productivity which has resulted in significant recognition by the national or international community of scholars active in the same field”

8 Part 4-1: STATEMENT OF ENDEAVORS (Refer to Page 17 of the Criteria/Guidelines and Page 4.1 in Application) Narrative section of dossier Expand upon your “Who am I” statement Typical areas to address (Teaching, Research, Service, and Clinical – as applicable) Categories to address dependent on faculty classification (I, R, M, S, B), refer to application for specific areas to address – use appropriate Page 4.1 Recommended length up to 9 pages total Suggestion: 1-3 pages per area to address 12 point font size Guide reviewers to Supporting Materials

9 Statement of Endeavors
Narrative summary Personal statement of your unique aspects and special significance of accomplishments and value in the areas of teaching, research, service, clinical (as applicable). Analysis of your activities since your last promotion or initial hire. Direct it towards readers who are not in your field. Clearly state how you meet all applicable criteria.

10 Part 4: Statement of Endeavors (Narrative)
Teaching Activities Teaching Philosophy Research/Scholarly Activities Unique contributions and significance of your work to UH, Dept, JABSOM, State of Hawaii, field Service Activities Unpaid, professionally related Other: Clinical Activities (as applicable)

11 Statement of Endeavors
Reminder: Readers outside of your academic discipline and the school will be reviewing your dossier. Explain clearly (in layman’s terms) what you do and the impact and significance of your scholarly work Explain any norms in your field (such as authorship/publication, grant funding, teaching, etc.)

12 Elements to Include in Statement of Endeavors
How do you meet or exceed the requirements for the rank you are applying for? What have you contributed to the department, school, university, field up until this point? What are your future plans? If you have been promoted or tenured previously at UH, what have you contributed to UH since your last promotion or since tenure?

13 Elements to Include in Statement of Endeavors: Tenure Applicants
Do you have a continued long-term need and value to the department, school, university, field? What is your specific unique research focus and academic focus and what kind of impact has/does it make in your field, for the school, university and the community? What is your long-term academic professional plan?

14 Tenure Applicants Include a statement of your present and future value in your Statement of Endeavors Can be a separate section at the end of your Statement of Endeavors OR you can include a short paragraph at the end of each section in the Statement of Endeavors

15 Document How You Meet the Criteria
Explain how you meet all applicable criteria in your Statement of Endeavors Tip: For clinical faculty, you may state how many of the examples in the table at the end of the JABSOM M-series criteria you meet to help document how you meet the criteria, example: I meet 8 out of the 10 examples in the Teaching section of the JABSOM M-series criteria. Point readers to Page “x” in Supporting Materials section to document and support how you meet the criteria Use tables and graphs to help summarize info

16 Part 4-2: SUPPORTING MATERIALS
Include material appropriate to your faculty classification and to each section (Teaching, Research, Service, Clinical – as applicable) Such as: Teaching evaluations Bibliography Peer evaluations of contributions Service record Other: clinical activities, administrative activities, honors/awards, CV

17 Getting Started: Gathering Materials
4 FOLDERS: Teaching Research/Scholarship Service Clinical (as applicable) File material in these folders (either hard copy or electronically) and update them frequently for easy reference.

18 Getting Started Select best material from your “4 Folders”
Save the rest in a box or file (to be readily available incase asked for) Material and narrative should specifically relate to how you meet the criteria Look at dossier samples for examples

19 Elements of a Successful Dossier
Easy to read Well organized Concise Follows all UH application guidelines Clearly explains how applicant meets applicable criteria Clearly defines your unique research/scholarly and teaching contributions Adequate number of unbiased external reviewer letters

Do not assume others will understand Research/Scholarly Impact Summarize your Accomplishments Quality over Quantity Make the Reviewer’s Job Easy

21 TO DO BEFORE NEXT SESSION:
Send list of 3-5 external reviewers to your Department Chair CV and draft of “Who am I” summary to: Lori Emery for mentor feedback Start going through Teaching, Research, Service and Clinical “folders” and begin selecting material to possibly include in your dossier NEXT SESSION JUNE 15
