4 Importance of Data Privacy
4/25/2018 Importance of Data Privacy Federal and state laws govern data privacy, confidentiality and security and require CDE to collect data that may include personally identifiable information (PII). Name, address, personal identifier Other indirect identifiers (e.g., date or place of birth) Information that, alone or in combination, is linked or linkable to a specific student that would allow a reasonable person in the school community, who does not have personal knowledge of the relevant circumstances, to identify the student with reasonable certainty. (§ 99.3) 4

5 How to Share Data Check local policies for restrictions

14 Duplicates CDE is continuing to run the duplicate queries. If you haven’t started working through them we ask that you get started now so they can be resolved in a timely manner. Some folks haven’t started them yet. Thank you! 14

15 Duplicate Process Due Dates Description Wednesday, January 27, 2016 –
Tuesday, February 9, 2016 NOTE: CDE will continue to run the duplicate reports until they’ve all been resolved. Administrative Units research and make file changes to resolve duplicate and data validity issues. CDE asks that Administrative Units work together in a timely fashion to facilitate resolution or duplicates and validity issues identified by CDE. Date by which Administrative Units must have resolved all duplicates and recreated the Special Education December Count Snapshot that reflects the data changes to resolve the duplicates. • All duplicates fixed • New Snapshot created and passed all Interchange and Snapshot validations. 15

16 Duplicate Process While many of the duplicates we send out are truly duplicates, such as two AUs claiming funding on the same student (this is warning DC154), some of the duplicates we send out are more so inconsistencies in reporting between AUs. We have about a dozen different duplicate and data quality queries that we run internally to find the duplicates and inconsistent reporting.  Some of the inconsistent reporting we check for has to do with students in programs reported with the wrong PAI code or inconsistently by their AU of residence, discrepancies between the AU of attendance and the AU of residence, students in SOPs, multiple AUs reporting as the attendance AU or residence AU, students in detention, etc.   Most of the lists generated by the queries require our eye to determine if the duplicate or data quality is a true issue, as there are several anomalies across the state with certain schools or programs, etc. We can certainly look at trying to incorporate more warnings for duplicate records on some of the more straightforward queries and ways of improving the process.   16

48 Statewide Standard Course Codes
What courses need to be mapped? Please continue to map all courses When should I start converting to SCED version 3.0? As soon as possible. Next year CDE will be limiting courses to version 3.0 codes. Biggest change in the conversion is the prior to secondary codes mapping to the subject areas Please see the SCED Version 2 file at for crosswalk table Review information on the Prior-to-Secondary Crosswalk tab Migration from version 2 to 3 is addition of some new SCED codes 48

49 Statewide Standard Course Codes
When can districts start uploading codes? This is being researched. Request has been made to make it available. Delay as need to limit validation to only SCED 3.0 version codes What version of SCED am I using Majority of districts are on SCED version 1.0 If you have not done any conversion of the codes you are on 1.0 49
