3 Introduction In this presentation we will synchronize data from Alma to remote digital repository. In other words: Metadata is changed in Alma and then the change is reflected in the remote digital repository. In the example here the remote digital repository is Rosetta. The same method, however, will apply for other digital repositories such as Digitool.

Introduction The general publishing profile The Metadata in Alma and Rosetta Changing the metadata in Alma Harvesting in Rosetta and synchronization

5 The general publishing profile
On the Alma side there is a general publishing profile which publish records via OAI. On the Rosetta side there is an OAI-PMH Harvester which harvests the records. On a regular basis all updated, new and deleted records are published from Alma. On a regular basis all records published in Alma are harvested by Rosetta via the OAI-PMH Harvester. In this way there is constant synchronization in Rosetta of any changes in Alma.

6 The general publishing profile
Under “Resource Configuration Menu > Record Export > Publishing Profiles” we have created a general publishing profile with protocol “OAI” called “Publishing for Rosetta”. It publishes to OAI set name “VanGoghRosettasn” For details about creating the general publishing profile see

7 The general publishing profile
Typically this would be scheduled to run on a regular basis Records from this Alma set will be published Records will be published in OAI This is the OAI set to which the records will be published

Introduction The general publishing profile The Metadata in Alma and Rosetta Changing the metadata in Alma Harvesting in Rosetta and synchronization

9 The Metadata in Alma and Rosetta
Title “The Hungry Potato Eaters” is in both Alma and Rosetta. Here is the metadata in Alma. MMSID

10 The Metadata in Alma and Rosetta
Here is “The Hungry Potato Eaters” metadata in Rosetta

11 The general publishing profile
Introduction The general publishing profile The Metadata in Alma and Rosetta Changing the metadata in Alma Harvesting in Rosetta and synchronization

12 Changing the metadata in Alma
Now we will make a change to the record in Alma. Instead of “The Hungry Potato Eaters” we will call it “The Potato Eaters” The word “Hungry” has been removed

13 Changing the metadata in Alma
Now we will publish it in Alma. Typically this would be scheduled to run on a regular basis automatically. We will do it here manually just for the demonstration.

14 Changing the metadata in Alma
View the record in Alma via OAI to see that it has been published (this is just to demonstrate what happened, and not a necessary activity). Here is the URL we will use and how it appears in the harvesting profile

Introduction The general publishing profile The Metadata in Alma and Rosetta Changing the metadata in Alma Harvesting in Rosetta and synchronization

17 Harvesting in Rosetta and synchronization
Now we will run the OAI-PMH Harvester in Rosetta. Typically this would run automatically at scheduled intervals. We will run it manually here for demonstrative purposes.

18 Harvesting in Rosetta and synchronization
Note that it is being run on the set we published from Alma This is the same SetSpec from the publishing job in Alma

19 Harvesting in Rosetta and synchronization
After running the OAI-PMH harvester in Rosetta we need to run the “Update Metadata” job

20 Harvesting in Rosetta and synchronization
Here we manually run the “Update Metadata” job but typically it would be run automatically.

21 Harvesting in Rosetta and synchronization
The record in Rosetta has been updated by the job
