7 Identification for I – 9 form
I didn’t bring my identification information for my I – 9 form today. What documents will you accept? Most commonly used documents are a valid drivers license and original social security card OR a valid passport. For a list of additional acceptable documents please contact your HR representative for the information. NOTE: Your employment information will not be processed until this information is received and verified.

8 Letter of intent or contract
How do I know if you have received my letter of intent or contract? If we have not received your letter of intent or contract by the time you begin your new assignment, we will notify you either by phone or .

9 Permanent address I’m moving to Texas from out of state and do not yet have a permanent address. What should I list on my new hire paperwork? If you have completed new hire paperwork under one address and it changes, you will be able to log in to your Employee Self Service (ESS) account to make the necessary changes. Please see the yellow business card stapled to your New Hire Information page. NOTE: This can be accessed from a home or campus computer.

10 Official transcripts If I have already provided the district with transcripts when I applied online with my application, will I need to provide official transcripts for my file? Yes, KISD is required to process original official transcripts for every employee from every college/university/community college attended. They may be mailed directly to your HR representative or electronically sent from the college/university to their address listed on their business card.

11 Official transcripts I’ve submitted my official transcripts, will they be returned to me after they have been verified? Yes, KISD has committed to a paperless system for storing and maintaining personnel files. As such, the official transcripts will be scanned into the Human Resources’ paperless storage system and returned to you via interoffic to your department or home campus.

12 Official transcripts My university transcript already lists some of my previous schools, will I still need to provide official transcripts from those schools? Yes. Although some of those hours are listed on the degreed transcript we must have proof of courses and hours earned for each course.

13 Transcripts from a foreign country
I have transcripts from Canada – are these acceptable documents? No. Transcripts from a foreign country cannot be accepted as official documents. The transcripts will need to be evaluated for employment purposes using an evaluation service i. e. SpanTran, etc. *Exception – Transcripts from Puerto Rico or any other U.S. territories that are provided in English.

14 Substitute to a kisd employee
I was a Substitute for the district last year and was recently hired. Do I need to provide my official transcripts to your office or will those on file fulfill the requirement? As a newly hired employee you will be required to provide the original official transcripts for processing. Documents submitted as a Substitute cannot be accepted as official information.

15 Substitute to a kisd employee
I’ve been working as a Substitute for KISD, do I still need to complete new hire paperwork? Yes. As an employee of the district you are required to complete the applicable new hire paperwork.

16 New last name I’m getting married this summer, can I use my new last name for my records? We are required by law to use the name indicated on the social security card. Once you have made the necessary changes to your social security card reflecting your new last name, you will need to present the newly issued card and complete a Name Change form in Human Resources so that your employment records may be updated.

17 Service Records Will someone in HR contact my previous districts for my service record? No, it is your responsibility to contact your previous districts to either send KISD your service record, or for you to send them a form to have filled out for your experience. The information will then need to be submitted to Terri Domagas in Human Resources. For additional questions or for service record forms please visit the KISD website Human Resources, New Hire tab for more information.

18 Service records I’m moving from out of state to Texas, how will I provide my service years information to KISD? Please visit the KatyISD website, Human Resources, Document/Forms to obtain a Service Record form needing to be completed by your previous employer(s).

19 Service records Will I be notified when HR receives my service records? No, due to the high volume of service records received, that request cannot be honored. Please contact Terri Domagas at for status of service records received.

20 Service Records Do I need to contact each of my previous schools for a service record? Yes, we will need original service records from each school district in order to complete the review. However, your current district should already have these on file so please check with them first.

21 Service Records What is the turnaround time for review of my service records provided by previous districts? Review of service records are done within hours of being received, depending on volume. Once the review has been completed, we will return the original service records to you via interoffic to your campus/department.

22 Teacher salary What is my teacher salary going to be?
The Katy ISD Board of Trustees usually approves our salary schedule in June or July of each year. The current salary schedules are available at NOTE: All original transcripts reflecting a Master’s degree or higher must be submitted to receive that salary level.

23 Educational aides On what day is the deadline to have the Educational Aide Certificate fee paid? Educational Aide Certificate fees will need to be paid no later than August 1st and payment information should be communicated to your HR representative so a recommendation for the certificate can be processed.

24 Certification I did not receive an alert from TEA that my certification has expired. How do I go about renewing my certificate? It is important you log into your TEA account once a year to update your demographic information and provide an updated address. This will ensure you receive updates and notifications in a timely manner. You will need to log into your TEA account and choose “Renew a Standard Certificate” OR “Renew a Standard Aide Certificate”. Follow the instructions for completing this process and pay the renewal fee of $22 for teachers or $12 for aides. TEA will review your request for processing. Once completed, please contact Human Resources to have your information updated.

25 Out of state certification candidates
I have applied and paid for my out of state review of credentials, certificate and fingerprinting. What should I do next? You will need to make frequent contact with TEA to receive a status of your review of credentials and verify that all the required documentation has been received to complete the review process. This will ensure your One Year certificate is issued prior to your start date with Katy ISD.

26 Out of state required testing
I have received my One Year certificate but need to know when should I have my required test completed? The required test should be scheduled no later than December 15th and completed no later than February 1st to ensure that you do not have an interruption in receiving a contract renewal. The test date information should be communicated to your HR representative and he/she should be kept informed of your progress throughout the year.

27 Alternative certification candidates
I’m enrolled in an alternative certification program? What additional steps will I need to complete the certification process? Have you submitted your Statement of Eligibility to Human Resources? Have you applied and paid for your Probationary Certificate via SBEC? Have you set-up your payment plan with the ACP? Please communicate all updates and or questions to your HR representative.

28 Alternative certification candidates
As an ACP candidate, when am I required to have my exams completed? Most have already completed the content exams and are only needing to complete the PPR exam. If this is the case, please have your PPR exam completed by February 1, 2018 to continue employment.

29 Basic Hours of Operation
Teacher/Employee: High School 7:05 a.m. – 3:05 p.m. Junior High 7:05 a.m. – 3:05 p.m. Elementary 7:55 a.m. - 3:55 p.m. The campus administrator may schedule mandatory events or meetings beyond these hours. Contractual Hours for teachers and paraprofessionals

All Chapter 21 employees new to a district for at least one year Up to four years, but typically three years If new hire was on contract with a public school for five of the last eight years, then only one year on probationary contract TERM Experienced employees DUAL Both teaching and coaching duties; cannot resign only one or the other Both probationary and term If you resign from the district and return at a later date, you will lose your seniority.

32 ACP Teachers Katy ISD does not assist with fee payments through payroll deduction. Make sure the campus assigns a campus mentor. Make necessary arrangements with your program to pay fee to your mentor teacher. Provide HR with your “Statement of Eligibility for Internship” form from your program. Finish intern requirements within one contract year. Have all tests taken by February 1, 2018.

Social Networking – Facebook/Instagram are fun and a great way to stay connected with friends and family… BUT please be responsible consumers of the web. Stay on top of everything that you post, is posted on your pages, and that is posted about you. Check your privacy settings. Conflict of Interest- this form must be completed every school year. Turn the form into immediate supervisor, and supervisor will forward it to HR for approval. This includes any private tutoring that you may want to do. 37 FACT Clearinghouse Background Checks
Katy ISD is in compliance with Senate Bill 9 requiring all teaching staff to be fingerprinted. Katy ISD receives continuous criminal information notifications (i.e.: arrests, etc.) for all Katy ISD employees from the FACT Clearinghouse. Employee must notify supervisor within three calendar days if an event occurs that will result in notification from the FACT Clearinghouse. 40 Using Aesop Login: Katy ISD’s ID number, replacing the first letter with a zero. Ex: B = Voice Recording: Call Aesop and record your name and position. Creating an Absence: You may report in advance. Personal Illness and Family Illness do not need prior approval. Personal Business, Staff Development and School Business all need prior administrative approval. You will receive an automated after August 7th with information related to your login and use of AESOP.

Medical Leave Military Leave Worker’s Compensation Leave Assault Leave Temporary Disability Leave – Neutral Absence Policy *Max amount of disability leave = 180 days (disability leave is for the employee only, not immediate family members) TDL is for employee illness only… not family members CALENDAR days, not work days. Bottom line is that an employee can be out for a max of 6 months.

45 Employee Medical Leave
After six consecutive absences, you are placed on either Katy ISD Leave (up to six weeks) or FML (up to 12 weeks). The type of leave (Katy ISD Leave or FML) is determined by employee status & number of hours worked for Katy ISD during the previous year You are responsible for contacting your campus AND Gloria Cerda/Eva Villalobos in HR to procure your paperwork. If you are planning to have surgery or you are pregnant, you must give your employer at least 30 days advance notice. If you learn of your need for leave less than 30 days in advance, you must give your employer notice as soon as possible (either the day you learn of the need for a leave of absence or the next work day). This PROTECTS your JOB!

Katy ISD provides additional sick days to members of the Sick Leave Bank in the event of an extended absence for a major physical disability due to unexpected catastrophic illness or injury, experienced by the member of the Sick Leave Bank or his/her immediate family. Process is 100% anonymous Process allows for an employee to receive a maximum of 30 days per event for up to 2 events in a year for a full-time employee; and 15 days per event for up to 2 events per year for a part-time employee To participate you: Must be a benefit eligible employee Donate one day of accrued leave to participate through ESS for semi-monthly employees, or submit paper application form for bi-weekly employees during enrollment period After first year of donating, your enrollment will be automatic unless HR is notified in writing to cancel membership

There are 20 people in the instructional technology department and they help teachers with integrating technology into their lessons. They work closely with the Teaching & Learning dept. to enhance the Unit Plans with engaging content to meet the learning objectives.

Desktop computer – some elementary classrooms have 2 or 3 student computers as well Laptop – If you have a portable Smartboard, you may have a presentation station with laptop and projector. Also,many teachers have completed the Connected Learning Program and received a Yoga tablet/laptop. IPads.- You may have a class set or your team has a set.Usually checked out from the library. Students can check out an iPad from the library for classroom or take home use. Document camera Apple tv or Mirroring 360 allows you to project your or your student's ipads to the projector.

Benefits – what are your choices (hint – there’s more to it than just medical insurance!) Q & A Key Reminder - Draw attention to the Q&A one page document and the highlights booklet they have in their bag. Encourage them to pull it out and take notes. By the time they leave, we want to make sure they know when their benefits are effective, when and how to enroll, where to go for more information and an introduction of the benefits available.

When are my benefits effective? Key reminder: based on when they start working, or become TRS eligible, not when they sign up. Assume most are August hires, so benefits are effective 9/1. Acknowledge that some contracts start in July, so benefits would be effective August 1. When can I enroll in benefits? Key reminder – not right now. Encourage them to use the time between now and late August to study the available plans and decided what they want so that when they can enroll, it will be a quick process. This will be helpful since they are so busy during that time of year. How will I know when to enroll? Key reminder – sent to their Katy ISD , not personal . The will have a link to the enrollment site as well as additional instructions. If they don’t get an by the time they receive their first paycheck, call Risk Management. . . . will I know when to enroll? You will receive an to your KatyISD account.

88 What . . . . . . is the deadline to enroll in benefits?
31 days from your eligibility date. For example – 10/1 for most summer hires. REMEMBER – the date you enroll does NOT change the effective date of your benefits. . . . happens if I don’t enroll in benefits before the deadline? You will have only the District provided Basic Life and AD&D coverage and the Employee Assistance Plan. What is the deadline to enroll? Key reminder – don’t procrastinate! Enrollment date does NOT change the effective date. Even if wait until end of September, benefits still effective 9/1 and we will have to collect the missed premiums. Good news is that coverage is also effective retroactively in case they need it. What happens if I don’t enroll before the deadline? Key reminder – if you do nothing, you will have nothing. 89 Do I . . . . . . have to do anything if I don’t want the District benefits? Yes – complete the enrollment process so that we know you didn’t just forget! Also – need to name a beneficiary for the free life insurance. Consider all your options before saying No Thank You! Can I . . . . . . make changes to my benefits during the year? Generally – no! Unless you have a life event – get married, have a baby or spouse changes jobs, or many other events. Notify Benefits Outlook within 31 days of the event. Do I have to do anything if I don’t want the District benefits? Key reminder – First, consider all the benefits – there is more than just medical and you may not be able to get the same coverage through a spouse’s plan – such as disability. Even if decide not to enroll in any of the benefits, complete the process for the reasons shown on the slide. Can I make change to my benefits during the year? Key reminder – benefits run on a calendar year basis so make elections carefully. Can only make changes when there is a life event. Provide a couple of examples of most common life events. Changing their mind is not a life event…for benefit purposes. 

90 Is there . . . And . . . . . . an annual enrollment period?
YES!! You will enroll in your benefits EVERY FALL! Even this year. ENROLL TWICE in 2017! And . . . …benefits DO NOT ROLL OVER from year to year. If you do nothing (i.e. not enroll) you will get nothing (except District provided Basic Life Insurance and the EAP). Is there an annual enrollment period? Key reminder – yes!! Emphasize that they will enroll twice in the fall – once in late August, and again in November. Remind again that benefits are on the calendar year, not the school year and that if they do not enroll again in November, their benefits will end 12/31 because we do not roll over benefits. Point out that this is likely different than their previous school district or other company. Point out that annual enrollment is the opportunity to make a change because they changed their mind!

Key reminder – talk very briefly about each – i.e. Medical – 4 options offering different networks, out of pocket expenses and premiums. Dental – 2 options offering different levels of choice and coverage. Etc. Purpose is to introduce each benefit, but not talk in great detail about each. 95 Consumer plan network options
The Consumer plans have two provider networks to choose from: Limited and Choice. Limited network highlights Choose any primary care physician in the Aetna network. You’re “limited” to Memorial Hermann hospitals and facilities for inpatient or outpatient hospital care. You must choose from specialists in 12 certain designated categories, plus oncologists and hematologists who have admitting privileges and can arrange for hospital procedures at a Memorial Hermann hospital. Outside of these designated specialties, you’re free to choose any physician in the Aetna network.

96 Consumer plan network options
The Consumer plans have two provider networks to choose from: Limited and Choice. Choice network highlights Choose any primary care physician in the Aetna network. Choose from two tiers of hospitals and specialists in 12 designated categories. Tier I hospitals and specialists cost you less because they’re designated as the most efficient providers based on quality of service and cost of care. You choose between Tier I and Tier II when you receive care, not when you enroll. Outside of these designated specialties, you’re free to choose any physician in the Aetna network.

99 All medical plans include pharmacy coverage through Express Scripts.
Generics for high blood pressure, high cholesterol, asthma and diabetes are free. You can order home delivery online, by phone, using mail-order forms or through the free Express Scripts mobile app. You can pick up 90-day maintenance at places like Costco, HEB, Kroger, Randalls, Brookshire Brothers, Sam’s Club and Walmart, or have them delivered to your home. The plan does not cover prescriptions filled at non-participating pharmacies.

100 Dental HMO Dental PPO Coverage is provided by UHC.
A primary care dentist coordinates your care within the network only. Covers most preventive care, such as routine checkups and cleanings. Generally, there are no deductibles, you simply pay the set copays when you receive covered services. Coverage is provided through MetLife. This plan allows you to visit any dentist you choose, but you save by using in-network dentists. Covers most preventive care, such as routine checkups and cleanings. You pay a deductible for basic, major and orthodontic care. After you meet your deductible, you pay a percentage of covered expenses and MetLife pays the rest. Maximum coverage is $1,000/patient per year.

One eye exam and one pair of corrective lenses (glasses or contacts) per calendar year The plan covers in-network services and a large selection of frames and contacts at no charge within the standard selection.

Flexible Spending Accounts Health care flexible spending account Use tax-free money to pay for eligible expenses you can plan in advance. Doctor visits Prescriptions X-rays and other tests Vision care, including glasses and contacts Dental care and more Warning: Use it or lose it. Your FSA account doesn’t roll over. You have to enroll each calendar year. Dependent day care flexible spending account Kids are expensive. This let’s you use tax-free money to pay for day care expenses that you know you’re going to have to pay anyway. This account can’t be used for dependent medical expenses.

103 and dismemberment (AD&D) – at no charge to you
Automatic life and accidental death and dismemberment (AD&D) – at no charge to you $20,000 life + $20,000 AD&D for employees Life insurance pays your beneficiary if you die while covered. AD&D pays you or your beneficiary if you have a covered loss as a result of an accident.

104 Supplemental life for you
You can purchase more insurance in increments of $10,000 up to $300,000. As a new employee, you may elect three times your annual salary without any medical questions. Spouse life You can purchase insurance for $10,000, $20,000 or $35,000. Your spouse is covered up to age 65. Your combined basic and supplemental coverage must be greater than or equal to two times the spousal benefit. Child life You can purchase insurance for $5,000 or $10,000. You can cover your child to age 26.

This is a life event; If spouse is covering you currently, can make changes within 31 days. Remind that we do not allow dual coverage – you cannot cover each other. Explain what that means for medical, dental and vision, and life insurance.

Online enrollment, made easy. Here’s how you get there: Go to katybenefits.org and click the QUICK LINKS button in the top right-hand corner. Click ENROLL IN 2017 BENEFITS and follow the prompts. If asked to log in, use your Katy ISD login and password. Look for the personalized confirmation statement you receive by mail and report any changes or corrections to Benefits Outlook. Check the numbers and verify that your deductions are correct on your pay stub.

Also remind them that since they are not in the enrollment system yet, they will not be able to “validate” with the representative but they can still answer questions about the plans or point them to additional resources.
