Guidelines and Suggestions

2 Major Show Entries Always be aware of dates for entries
Each show has its own unique set of rules Take nothing for granted. Be prepared prior to leaving Double check show supplies, hotel reservations, and fill out all appropriate travel documentation for your school hows/ Valuable resources, contact information, judge lists, etc.

3 Keep in mind Every school does things unique to them
Some FFA chapters travel together as a chapter Will you all be staying at the same hotel as all of your parents and students? If so make sure you find out where and get your reservation well in advance NEVER wait until the last minute

4 Show Contact Information hows/Contacts.aspx List is a complete list of all major livestock show contacts in Texas Rule books can be accessed through these websites Make sure that you are aware of all deadlines

5 Travel Many schools have certain paperwork that must be filled out prior to attending any function. Ask yourself these questions. Does your school require receipts or is it per diem? Do you need to fill out a purchase order to pay for your hotel or will you be reimbursed after? Did you remember your tax exempt form? Do you have permission slips/medical releases signed and available in case of emergency?

6 Travel, cont’d Always refer to your employee handbook
If you have questions, do not be afraid to ask. You are responsible for knowing your school district’s policies.

7 Traveling with Students
ALWAYS have a medical release signed and with you at all times for each student you are traveling with Make sure you have parent phone numbers Follow all school district policies! Make sure students are aware of rules and procedures prior to any trip You are responsible for each child’s welfare. Drive safely, do room and vehicle inspections, and above all: MODEL APPROPRIATE BEHAVIOR!!!!

8 Getting accommodations
When traveling to FFA events, you will have to get enough rooms to accommodate all students/parents/teachers traveling with you Always book 2-3 months in advance Hotels sell out quickly when there are FFA chapters in town Never wait until the last minute!! For state convention and teachers conference, go through the room blocks Again, do NOT wait until the last minute Book as soon as this information becomes available
