Desktop Web Mobile
4
Overview Using Mendeley
Let’s talk briefly about how the product works, what it looks like and how you might like to use it. Using Mendeley
5
Getting started The first thing you’ll need to do is to create an account via mendeley.com. This is completely free to do and only takes a few seconds. You’ll need a Mendeley account to log into the different versions of the software. Once you’ve created your account you’ll be prompted to download the appropriate version of Mendeley Desktop for your current machine. You don’t have to do this right away, but it’s a good idea to have the desktop application installed on your main working computer. Once you have done that you can start benefiting from all that Mendeley offers.
6
Organize Setting Up A Library
So let’s talk about how Mendeley can help you to bring organization to your references. Setting Up A Library
7
Mendeley Desktop This is what your desktop library looks like. The desktop is divided intro 3 panes, they follow a workflow hierarchy from left to right. Any activity in the left pain affect the display of content in the centre pain, and any activity in the centre pain is reflected on the right hand side, the document details pain. The left hand pain is you top level library overview. There are a few default folders, these include: All Documents, recently added and read documents, favourites, needs review, my publications and unsorted. You can create your own folders and subfolders. You’ll also see other options here the relates to groups that you have either created of joined. As well as access to Mendeley suggest, where you will find personalised recommendations based on other documents in your library and your interaction with Mendeley and other users. I’ll get to the groups, collaboration and content discovery features in more detail later on in this presentation. The centre pane shows the references list for whichever folder you have selected in the left hand panel. There are a few functional elements here that I’ll explain shortly. The right hand side pane is where you’ll see document details related to the references selected in the middle pane. The right hand panel is not only for document details, like title, author, abstract etc.. It is also where you’ll find the document-wide notes, post-it annotations, content tables and other data like embedded figures, tables and figures.
8
Mendeley Web Mendeley Web is the version of Mendeley accessible via your web browser. You’ll need to be logged into your Mendeley account in order to access it. The layout is similar to what we’ve just seen for Mendeley Desktop - although it has been optimized for use in a browser. The same three-column structure persists.
9
Adding Documents Import from another reference
Select a file or folder to add from your computer Import from another reference manager, or BibTeX Watch a folder Add reference by manually entering details Mendeley makes it easy to add documents. The simplest way is drag and drop the file right into Mendeley. There are actually quite a few ways to add documents to your library besides drag and drop you can use the File menu and select from a few options: You can select the file or a folder to add from your computer, our you can define a watch folder. A watch folder is a folder or multiple folders that you define in your computer to keep an eye on. What this means is what whenever a pdf is added to your folder, Mendeley will automatically know is new and import it for you. You can also add references manually instead, which allow you to complete a number of fields manually. If you are already using another reference Manger such as RefWorks, EndNote or Zotero, you can also easily carry across your references to Mendeley easily. Simply export your library from those tools to a standard format sur RIS or BibTeX and you will have no problem importing your library.
10
Document Details Lookup
Enter the DOI, PubMed or ArXiv ID and click on the magnifying glass to start lookup Keeping your document details clean and complete is super important. Therefore, I thought it would be a good idea to see how Mendeley takes care of most of the hard work for you. When you add a document to your library Mendeley will do it’s best to import all the relevant information from the article you just added but sometimes the data will be missing. Fortunately this is easy to fix. Enter the DOI, PubMed or ArXiv ID and click on the magnifying glass to have Mendeley perform an online search for the correct information. Mendeley will then add the correct information automatically for you. Sometimes Mendeley will flag the document for review which means some of the information may be missing or incomplete. At this point you can select to have Mendeley search for the document details using Google Scholar to fill in the missing fields. Keep in mind that you can always edit this fields manually at any time and if you make any mistakes simply undo the changes.
11
Finding New Research Mendeley Web Importer Mendeley Research Catalog
There are a few other ways to can add documents to your library, namely The Mendeley Web Importer and The Mendeley Research Catalogue.
12
Web Importer The Mendeley Web importer is an invaluable tool when performing literature reviews or searching in databases for articles of interest. If you visit Mendeley.com/import you’ll find the instructions on how to install the bookmarklet into your browser. And also information on all the databases our importer currently supports. That bookmarklet will tell Mendeley everything its need to know to add you article into your library with all the metadata. I’ll show you what it looks like in action
13
Web Importer Anytime you come across any interesting article online or when you do a search on Google Scholar or one of the many other supported websites you can save this article to your library by clicking the browser bookmark ’save to Mendeley’ a modal window like this one will pop up, then you can select the article you want to import and then click the green button to save it. Done! If you have access to the article via your institutional network a PDF icon will generally indicate that the actual article or file is accessible and it will be then saved automatically to your library along with the metadata reference Metadata Certain online catalogs, such as ScienceDirect - pictured here - allow you to export references directly to Mendeley. Look out for the Export button on pages like this. Other catalogs will allow you to export in file formats such as RIS, which can then be added to Mendeley using the File menu.
14
Scopus and Science Direct
Mendeley has partnered with Science Direct and Scopus to make importing articles and references into your library even faster. In Scopus and Science Direct and Scopus, click export to see the save to Mendeley option so you can add an article to your library. Options to Save to Mendeley show up in many other databases, but if an integrated solution like this is not available simply use the web importer to do the trick.
15
Sync Unlike other Reference Managers, Mendeley securely syncs your library between devices and backs it up online. That means that Mendeley desktop and web update each other so you will always have access to your articles and references even if you are not at your computer. Your library is 100% secure and is not visible to anyone else but syncing does allow Mendeley to analyse your library anonymously so it make personalised suggestions to you on request, this way you can discover other researchers and research in your field and see what articles are more popular right now.
16
Organize Managing Your Library
Now that you’re familiar with adding references to your library, let’s talk about how you can order and structure your library. Managing Your Library
17
Manage Your Library Use column headings to order your references
All items in your personal library Items added in the last two weeks Mark entries read or unread Entries with attached PDFs can be opened with the PDF Reader Access your recently read items All items you’ve starred in your library Mendeley Desktop’s interface should be fairly intuitive if you’re familiar with programs like iTunes, or even Gmail. The left-hand panel offers a number of different options to help filter your document list to exactly what you need to find. The default position when opening Mendeley Desktop is ‘All Documents,’ which will list all items in your library. You can use the column headings (such as Author Names, Year, etc.) to order your documents by that value - this can be useful for finding works by a specific author, for example. When you add materials to your library, they will initially be marked as unread - indicated by a large green dot in the second column. You can toggle this off and on by clicking it. Alternatively, a document will be marked as read once you’ve spent a certain amount of time reading it in the Mendeley PDF reader. You can ‘star’ documents to mark them as favorites. They can then be easily retrieved via the left-hand panel. You can also use the left-hand panel to access items you’ve recently added, or items you’ve recently read. Items in need of review Star items to mark them as favorites
18
Create and Use Folders References not added to a folder
will appear in ‘unsorted’ Your folders will be listed below. Drag and drop to re-order them. Folders allow you to quickly file your references under different topic headings. You can drag and drop references from your library onto the folder name in the left panel to add that reference to a folder. You can also create folders within existing folders. Use ‘Create Folder’ to enter a new folder name.
19
Search Your Documents Enter your search term in the search field
The main view will be filtered accordingly Click on a specific folder to search within it Use the clear button to remove the search filter Mendeley offers a powerful search tool to help you to locate items in your library. Just enter your search term in the field which appears in the top right corner and Mendeley will filter your current view to show references which contain that term. It will also search within the full text of PDF papers which appear in your library. The search is context specific, so if you’re not getting the results you expect make sure that you have the appropriate folder selected in the left-hand panel. If in doubt, select ‘All Documents’. Use the ‘clear’ button which appears on the yellow toolbar to remove the search filter. Mendeley’s search tool will look at reference metadata, but will also search within the full text of PDF papers.
20
Search Your Documents Add tags to papers in your
library which share a common theme Use the Filter Menu to filter your library view to only include tagged items You can also filter by Author, Author Keywords and Publication You can also use tags to help locate a reference or references within your library. You can add multiple tags to your references using the document detail panel when you have the reference selected. Then use the Filter by My Tags menu which appears in the bottom left corner to quickly pull up materials that you’ve tagged. The list of available tags will only display tags used in your current folder view - so, again, make sure you are viewing the appropriate folder or All Documents before attempting to filter.
21
File Organizer As you can see, we’ve paid a lot of attention to features that will allow you to easily search and filter your references within Mendeley Desktop. However, there is an additional option that can be found in your preferences menu that can allow you to keep you actual PDFs sorted on your computer nicely organized by selecting the desired location and file name and folder structure, Mendeley uses the references metadata to rename the folders and files to your selections.
22
File Organizer Here is a simple example of a folder containing a large number of articles. As you can see there are several articles that have very similar encrypted filenames, this is quite common when downloading articles from journals, websites or databases
23
File Organizer … and here is what it looks like when you have activated the file organizer. In this case we did not select create subfolders, but we did select to organize the files by author, date and title. Now this files will be easy to recognize even from outside Mendeley.
24
Checking for duplicates
As your library keeps growing it is difficult to recall if you have already added a reference to your library or not and inevitably you end up adding the same article to your library twice, sometimes more. But this is ok in most cases Mendeley recognises the article and keeps only one entry or simple attaches the PDF to the reference if it did not already have a file attached. In other cases you’ll end up having to check up for duplicates. Use ‘Check for Duplicates’ - found in the Tools menu. Mendeley will identify any duplicate entries and offer to merge these into a single, combined entry. You will be prompted to check over the details of the combined version before the merger is completed - allowing you to take details from each of the entries you’re merging.
25
PDF Viewer Highlight and Annotate Documents
We’ve just finished talking about how to set up your references library and how to go about organising and finding your references. Now is time to read the articles. Highlight and Annotate Documents
26
The PDF Viewer Mendeley has a built in PDR reader. The layout will be familiar if you’ve used Adobe Acrobat or similar software. At the top of the screen you’ll see a number of tools, like pan, highlight, note, select text copy paste, rotate, zoom etc.. You’ll also notice that Mendeley operates a tabbed format - allowing you to open multiple PDFs for reading at once, and to switch back and forth between them. Mendeley will remember where you were up to in a paper when you open it and take you back to the same place.
27
Read and work in the PDF Viewer
The search box in the top right corner is context specific. In this case the search box will only search across the full text of the research article you are currently reading by highlighting the search terms and allowing you to cycle through them
28
Annotate & Highlight You can highlight important passages using the Highlight tool - just as you would when reading a physical copy. This allows you to pick out important passages from a paper. You can also add notes to the paper to help organize your thoughts. These can be done either in the Notes box which appears in the document detail panels. These notes are document-wide and can also be viewed from the main library view - without opening the paper for reading. Alternatively, you can add ‘sticky notes’ to specific locations in the text. These allow you to make content-specific notes at a particular location. Sticky notes that are added in this way will appear in the list of annotations in the document details panel. You can use these entries to jump to the appropriate location within the paper - allowing you to retrieve your notes in context.
29
Cite Using the Mendeley Citation Plug-In
We’ve gone through the steps of how to set up your library, organizing your articles and references and using the PDF viewer to read and annotate. It’s about time we get started on writing your own papers. Mendeley comes with a built-in citation Plug in that will save you time by helping you cite references as you work on your manuscript. No more tedious hours checking citation styles and writing your own bibliographies. Mendeley will do all the work for you. making it ideal for submitting assignments and resubmissions to different journals or publishers. Using the Mendeley Citation Plug-In
30
Install the Citation Plug-in
You’ll first need to install the citation plugin. This can be done via the Tools menu within Mendeley Desktop. The citation plugin supports Microsoft Word for windows and Mac and the free alternative LibreOffice for Windows, Mac and Linux. Depending on which of these you have installed, you will see the prompt to install the plugin. Once installed, the citation plugin will appear within your word processor. Its appearance will vary slightly depending on your operating system, but you will see the same buttons and options in both. Let’s open the word processor to see the citation plugin in action.
31
The Citation Tool Bar Appears in Word Automatically
On a Mac the plugin looks like a bar that lists the functions of Mendeley. You can move this bar wherever you like or you can hide it. If it accidentally disappears, don’t worry go to view then toolbars and click Mendeley Toolbar to make it disappear. In Windows the plugin looks a little bit different. As you can see below. You can find it under the References tab and the Toolbar is integrated in the Ribbon Mac Windows
32
Generate In-Text Citations in Word
Inserting a citation is achieved by first positioning your cursor in the appropriate location and pressing the ‘Insert Citation’ button which appears on the Mendeley toolbar. You also need to be running Mendeley Desktop, and will be prompted to start it if it is not currently running. Pressing the button will open the Mendeley search tool. This box allows you to enter a term - such as an author name - before returning search results from your library. Locate the reference you want to cite, click to select it and press the Ok button. You will see that the citation is added. Its appearance will vary depending on which citation style you currently have active - we’ll talk more about this shortly. That’s all there is to it - you’ve added your first citation! Congratulations! If you’re looking for a particular citation and can’t remember its details you can also opt to switch to Mendeley desktop to locate it - using search or filtering by tags, for example. Just press the ‘Go to Mendeley’ button to switch over to that interface. Once you’ve located the appropriate reference, click to highlight it and press the ‘Cite’ button which temporarily appears on the Mendeley Desktop toolbar. If you want to cancel the citing process and return to your manuscript press the cancel button. Note that your manuscript is considered locked while this process is active. You need to cancel the citation to return to the document, or insert a citation before you can switch back to your word processor.
33
Merging Citations As you work through your paper, sometimes you need to add extra citations alongside previously added ones. Most citation styles require you to merge citations if multiple citations apply. Mendeley can handle this for you. Just insert two separate citations, highlight them both in the word processor and press ‘Merge Citations’ to combine them.
34
Inserting Your Bibliography
Once you’ve done adding citations you’ll need to generate a bibliography. Ensure your cursor is positioned where you want your bibliography to appear and press the ‘Insert Bibliography’ button - it just takes one click! Mendeley will now look through your manuscript, pick out all the citations you’ve added and order them into a list. The exact ordering and appearance of your bibliography will depend on the citation style - which we’ll talk about next.
35
Finding a Citation Style
Citation Styles are sets of styling instructions which control how your citations and bibliography appear. Different publishers and institutions require different formatting for citations when you wish to submit a paper. Using Mendeley, you can choose the appropriate citation style for your manuscript - and also switch between different styles with just a few clicks. Mendeley will restyle all the citations in your manuscript automatically. To change citation styles, open the styles dropdown menu which appears on the Mendeley toolbar. If you don’t see the style you need, you can click ‘More Styles’ to be taken to the Styles tool within Mendeley Desktop. This will also allow you to download and install new styles in seconds. Mendeley allows you to use over 6,000 different citation styles - but comes pre-installed with some of the most commonly used, such as APA, Harvard and IEEE. If you still can’t find the right style or you’d like to customize an existing style, you may want to try the Mendeley CSL Editor, which allows you to customize citation styles. Saved styles are added to the Mendeley database, and will appear in your drop-down menu in Word. You can also share created styles with other Mendeley users. The editor can be found at
36
The CSL Editor If you can still not find the right style or you would like to customise an existing style you may want to try your hand at the CSL editor which will allow you to customise the styles. Simply visit to access the editor. Saved styles are added to Mendeley’s database and will appear in your drop down menu within word or Libre Office
37
Collaborate Join and Create Groups to Share References
One of the things that makes Mendeley is the way in with you can collaborate with fellow researchers, colleagues and friends and discover new research, share papers, make notes collaboratively on the same article and make connections with other researchers in your field. Collaboration as a key component of research, so let’s take a look at how Mendeley does collaboration. Join and Create Groups to Share References
38
Create Groups See the groups you created, joined or follow.
Add documents to a group by dragging and dropping. Mendeley groups allow you to come together with other users and to share resources. If you’ve already created or joined groups, you’ll see them listed in the left panel of Mendeley Desktop - underneath your personal folders. To add materials to a group, just drag and drop them onto the group name. You can create new groups at any time by using the ‘Create Group…’ option both on Mendeley desktop and online. The process is quick and easy. Mendeley offers three different types of group: Open - these groups are publicly visible and accessible to anyone. They will be listed in the groups directory on Mendeley’s website. Members can add references to the group - but only the reference details will be added. Invite-only - these groups are publicly visible, but membership is controlled by the group admins. Anyone can ‘follow’ the group to access the references, but only full members can add or edit references. Private - these groups are not publicly visible. Members need to be invited. Members can share full-text papers with each other, and can also collaboratively highlight & annotate on these materials.
39
Private Groups Collaborate with Your Research Team
Share full-text documents with members of your private group Share highlights and annotations Private groups are… well.. Private. These groups are not publicly visible, no one in the network knows they are there and who form them but their group owners and members. Members need to be invited by the owner and need to accept the invite. Members can share full-text papers with each other, and can also collaboratively highlight & annotate on these materials. Private groups, like all groups, offer the ability to communicate with other members via messages posted to the newsfeed. You’ll also receive notifications when new resources are added. Each post on the group’s newsfeed creates a discussion thread - allowing you to comment on other members’ posts. You can open papers shared with the private group using the Mendeley PDF Reader. Any highlights and annotations you add to the group version will be visible to other members of the group. Each contributor will be assigned a color to help distinguish their changes. Add notes or highlight particular passages to draw your collaborators’ attention to particular sections of the paper. Each group member is assigned a different color for highlighting
40

Discover New Research, Recommendations, and Impact
As I mentioned before, Mendeley is a great way to discover new research to get recommendations and to see the impact of the articles on the research community. Let me show you how Mendeley can help. New Research, Recommendations, and Impact
44
Literature Search Search the catalogue
Save new research to your library with one click If the full text is available, you’ll see a download icon: Mendeley research catalogue is an ever growing crowd-sourced database of metadata anonymously aggregated from all the uploaded document form all the over 5million users. As such with over 600 million document uploaded to Mendeley the size and breath of information available in our research catalogue is quite impressive. If you know the name of a paper or if you have a specific topic in mind, you can use the Literature Search setting from within Mendeley Desktop. This allows you to retrieve new references from the Mendeley Web Catalog. As the Catalog is crowd-sourced, the Literature Search can only retrieve papers that have already been added by other users - so if your desired result is a very new or obscure paper, you may not be able to retrieve it. If the full text of a paper is available - for example, if the paper is open access - you’ll see an icon allowing you to download it.
45
Search the Catalog Online
Conduct advanced searches or browse by discipline Find new research based on what is popular or the most recently added You can also search the catalog online via mendeley.com’s Papers tab. If you’re logged into your Mendeley account, you’ll be able to save the resulting references straight to your library.
46
Quickly Add New Research
If the article is freely available, it’s a one-click addition to your library Or use Open URL to locate the full text When viewing a web catalog entry, you’ll see the option to add the reference to your library with just a single click. If the paper is freely available - ie open access - you’ll also be able to download the full paper. For other references, you can use the ‘Find this paper at’ dropdown menu to view different options. Using Open URL will allow you to retrieve a paper through your institutional access, providing your institution has the appropriate subscription.
47
Get Statistics Social statistics help you learn about others using this paper When viewing a paper in the Web Catalog, you’ll also be given a list of papers that are related to it. These relationships are determined by the behaviour of other Mendeley users - so if a paper is commonly used in conjunction with the item you’re viewing, it will be recommended to you. A Web Catalog entry will also include readership statistics drawn from Mendeley. You can see the number of people who have read the paper, as well as a breakdown of their discipline background. You can also see the academic status of readers, and their country of origin.
48
Related Documents On the right hand side you’ll find a tab called Related research. These are recommendations base on this article that you might be interested in.
49
Related Documents Select two or more articles
Finally, from within Mendeley Desktop you can select multiple papers within your library, and right click to be given a list of papers connected with the items you selected. This can allow you to discover new resources connected to a set of materials - such as the items within a particular folder - and can be handy for finding niche topics or interests. Select two or more articles Click ‘Related Documents’ Receive customized recommendations
50
Feed When you login to Mendeley web, you’ll notice that your homepage has become a newsfeed. This is very similar to other social media sites such as facebook and allows you to quickly get up to date on what has been happening in your Mendeley account most recently – for instance, you’ll see which documents have been added to groups that you are a member of, changes to a researcher’s profile if you are following them, updates to the Mendeley blog, who’s following whom and so on and so forth.
51
Suggest As we move along the top navigation, we come to Suggest.. Mendeley Suggest is a tool that allows researchers to stay up to date by offering 7 recommenders based on behaviour, discipline and interest. (Scroll Down the page pointing out different recommenders) If you scroll down the page you will find relevant content based on: All articles in your library Your research interests Articles most recently added to your library Articles popular in your discipline Articles based on what you read last And articles trending in your discipline

Mendeley Data Safely store your data so it can be cited and shared
Mendeley data offers researchers a safe and secure way to upload, access and browse datasets anywhere for free. The data can also be easily cited and shared. Safely store your data so it can be cited and shared
55
Mendeley Data Mendeley data offers researchers a safe and secure way to upload, access and browse datasets anywhere for free. The data here can also be cited and shared and often makes meeting the requirements for funding bodies all that much easier. You can see here that I can browse existing datasets, so all the datasets which have been uploaded by other users. And if were to click into one of them as an example. I can see the type of information that is included in each data sent. So I have all the files available to download, the publication with with the dataset is associated with. I can cite the dataset, I can view previous versions, I have here the steps to reproduce how the dataset was put together and some related links. All of this information is what I would need to input if I were to create a new dataset. One I’ve input all my information, I can come down to here and I can either choose to publish right away or set an embargo date. I can always come back to my datasets that I may have created previously if I want to edit them or delete them from the database. The ability to upload, access and browse datasets anywhere, for free – On completing their free registration, researchers can browse datasets, add datasets of interest to their personal “My Datasets” page, or submit a New Dataset. Mendeley Data is designed for use via a wide range of devices – desktop, iPhone, iPad – so these options can be pursued at researcher’s own convenience, wherever they happen to be. Researchers can upload any number of files of up to 2GB each. Mendeley Data offers Force-11 Compliant Research Data Citations and DOIs – Research data that is added to Mendeley Data will include a Force11-compliant citation, allowing other researchers to easily cite the work. Force 11, “a community of scholars, librarians, archivists, publishers and research funders” has established a set of data citation principles designed to safeguard and promote the importance of data as part of “the enduring scholarly record”. This is a new and distinctive citation type which will play an increasingly important role in the quantification of scholarly value and will, of course, be of acute interest to the research community. A unique DOI will be provided for each version of a dataset that is added to the system, ensuring that its citation will always be valid. Mendeley data also offers Safe, Secure Archiving – Consistent with the recognition of the scholarly value of research data, Mendeley Data has teamed up with Data archiving and Networking Services to ensure that all material posted on the Repository is preserved permanently offline with their dark archive storage. Data posted on Mendeley Data can continue to form the basis of full research articles. In the case of Elsevier journals, datasets from Mendeley Data will be peer-reviewed along with their parent article, creating a more rigorous and inclusive publication process. Subsequently, posted datasets will feature links to any published articles which they have informed, regardless of publisher. This approach is convenient, transparent and enriches the overall research process. And finally, Guidelines governing submissions to the Mendeley Data have been kept as open as possible, although all content must be academic in nature. Users can privately share their data with colleagues, representatives of funding bodies, or anyone else who might prove useful in moving their work forward. They have control over who can see and download their research data and may add and remove collaborators as their sharing needs change.

OpenURL Resolver (Changed)
An OpenURL is a standardized link that carries citation information. When a user clicks on an OpenURL link, the information it contains is sent to a library's URL Resolver (aka link server). The open URL resolver then looks through the library's subscriptions to determine if your institution has purchased the full text of the resource and if so where it can be found. If your institution has an Open URL resolver this is the place to enter the information.
74
MIE institution auto affiliation
Existing users Every night New users User adoption is usually a primary concern from many of our new MIE subscribers. Ensuring researchers adopt a new platform is never an easy task and it can require a lot of promotion and training. That’s why Mendeley Institutional Edition has introduced the auto affiliation process. With over 5 million users on Mendeley, chances are that quite a few researchers/students at your institution already use the Free version of Mendeley, with the auto affiliation process once an MIE group is set up, all users with a validated institutional address associated with MIE are automatically enrolled to the MIE group and therefore upgraded to the Institutional premium plan. The auto affiliation process runs every night for the full duration of the subscription. This means that every time a user joins Mendeley using an institutional address affiliated to an MIE group are then automatically upgraded an added to the MIE group. 1 month after MIE group is set up All users with a validated institutional address associated with MIE group will be automatically enrolled to the MIE group
