2 I spent two decades as a Marine and two decades as a teacher. You might be asking yourself why a does being a Marine make me a better teacher than just being a teacher. First of all I spend nearly 8 years in military schooling and taught and trained the best. 3 When we think of tutoring most people think of English, history, math, science, or reading or foreign language. Those jobs are available. But there are other tutoring jobs that people do not think of all the time and you'll find that the world is open for business. If you are heating and air-conditioning fellow you can tutor an apprentice to help get him ready for licensure, you can tutor somebody to be a welder, work on a car, teach basic carpentry which could lead do the construction of a garage. You can start tutoring lessons on hobbies, i.e. sewing, making jewelry, developing a website, even teaching people how to tutor. You can tutor gardening techniques, such as the proper way to become a organic gardener. You can also tutor SAT, ACT, LMAT, or any other test on the open market. 5 Two types of Tutoring Businesses The business owner personally doing all his or her own tutoring. The business owner becoming a tutor broker. If y If you follow the business model of the first sentence, you make money only when you personally tutor a student. You are not replicating yourself or your efforts while working your tutoring company. Looking at the second sentence you will notice that I have used words tutor broker. I am a tutor broker and I have personally tutored students myself. So you can do both. A tutor broker finds clients and by clients I mean parents or students who wish to be tutored and then the tutor broker finds independent contractors who then go out and tutor those students. The broker finds the client and then matches the tutor up with the client and takes 50% of the proceeds. EX: parents pay $40.00 /hr…tutor gets $20.00 you get $20.00 or more! The tutor broker has the tutors that he signs up as independent contractors sign a statement saying they will not compete with him/her or steal his client base or face legal consequences. 5. 6 The next big question you need to answer and hopefully I can help you with this process is what does it take to be a tutor and what does it take to be a tutor broker? Which tutoring track should I embark upon? If you are going to be a tutor you should possess two important qualifications. A two or four year degree... Or a tremendous passion for your subject matter with an ability to teach. If you are going to be a tutor broker I would suggest that you understand or learn the basics of a business. I will spell this all out for you in detail in the coming lessons. Do not be afraid it's not hard and an average person with average ability can do fine and make a great living for his or her family. I also feel you should have some insight how our schools operate, what students are learning and why we desperately need tutoring companies. I will give you that insight and assuage your worries. 6. This is because all the information I have to share is included in the tutor broker lesson plans. In other words you learn to be a good tutor by going through the tutor broker program. I'm not telling l you how to run your business or what you must do or what you have to do because some people do and some people don't follow my suggestions. 8 Some people over the years have told me that choosing a name for your business is one the most important decisions you make; I don't know if that's necessarily true. I would say that you need a name that you could brand your business and everybody would remember it easily and identify with it. Something fun, something easy, and something memorable. You could think of 100 companies that have great branding names: Wrangler jeans, Google, Coca-Cola, Mercedes, Twitter and Google. If the name of your company is not original you should do two things. Do a Trademark/ Service search with the US patent and Trademark Office This will ensure you are not infringing on someone else’s name or trademark and potentially getting sued in court. It also will ensure that someone else will not be legally allowed to use your name. There are different opinions on whether your domain name should be part of the name of your niche or business name. The name of my blog…smartjarhead.com has not nothing to do with my content or niche, but I felt it would be easy to remember. Hosting of your domain name and of you business website: I have used quite a few especially the cheap ones and it has cost me more than money…something more valuable than a few bucks…time! You have selected a business name. You have done your research to find out if your company name is unique and not someone else's. You've decided on a hosting company... Hopefully it is WA! You have selected a domain name through WA. You have decided if you're going to have a logo to help brand your business. If you've thought about the steps and have made your decisions it's time to decide if you're going to be a sole proprietor, corporation, or LLC. 12. 13 Sole Proprietorship A business structure in which an individual and his company are considered a single entity for tax and liability purposes. A sole proprietorship is a company which is not registered with the state as a limited liability company or corporation. The owner does not pay income tax separately for the company, but he reports business income or losses on his individual in come tax return. This is also referred to as DBA, doing business as.... If you file a fictitious business name you can use the business name rather than your own personal name without having to create a formal legal entity as a corporation. Do your own research or do what I did and do your research through LegalZoom. If you have some assets or a lot of assets, you want to be able to protect them in case you do get sued. I'm not saying that you will get sued or somebody will sue you being a tutor, but in any event if you do get sued they can only take the assets of the corporation and not your personal assets. Also in this vein you should consider some sort of insurance for your business... 14 Many of my past clients have asked me how long this process takes from the moment you decide you want to become a tutor or tutor broker to implementing and actually getting clients. To set up my company and all the groundwork it took me between three and four weeks. Sometimes when we want to start a business we want to start making money on the very first day.... Which is the way I would want you to feel. My recommendation to you is just take your time, let's do this right, and you will then be ready to start making money. These steps that I have given you may seem difficult, but you will find they are easy to put into place. The next two steps are easy, but once again take some time. You will want to apply for a Federal Tax Payer ID number... You can do this online at http://www.gov-tax.com. This is a simple process and will take you approximately 10 to 15 minutes. The good thing about having a Federal Tax Payer ID number is if you apply for jobs online in the future or you buy something online and somebody requests your Social Security number you can give them your Federal Tax Payer ID number and this will be much safer for you.http://www.gov-tax.com The next step depends on what state you live in... some states require you to have a business license. You can usually pick up a business license if your state requires one at your government center i.e. City Hall or Town Hall. 14. C

15 Your Home Office…What Do You Actually Need? My recommendation is to keep the "kiss system..." Keep it simple stupid. One of the many anachronisms I learned in the Marine Corps. Yay United States Marine Corps! At the beginning I had a phone, computer, printer and monitor with a small desk and a comfortable chair. I think one of the most important items is to have some privacy where noise will not interfere with a conversation with a client or tutor. If possible I would have a landline or cell phone that was used strictly for business... to be quite frank with you I used both. My friends got tired of hearing “please leave a message for Buckeye In-Home Tutoring Services, LLC.” My friends begged me to drop my business message and threatened not to call me until it was shortened or they didn't have to hear it. That made me laugh an awful lot! If you have the budget you could have call waiting, call forwarding and caller ID for your phone, but certainly I didn't have all the bells and whistles. This is the first time your client will have something positive or negative to say about your company. Two important issues here one make your message short and sweet, to the point; no 600 word messages and number two make sure when they leave you a message that you call them back as soon as possible. I will give you an example of a message that I left on my phone for my clients and tutors. 15.

16 Do You Need An Office? When I first started my tutoring company I had my own office in my library with a landline phone service through magicJack (which I have the IP address listed below so you could look at it). You need a computer, a printer and a decent monitor. Many people make the mistake that they need an office with all the accessories in order to achieve the feeling of being in a business. I don't think that's necessarily true, the important part is to be comfortable, to have a quiet place, and good phone and Internet accessibility. When you get on the telephone and talk to a client that has left you a message, you don't want to hear the TV off in the distance or explosions or dogs barking, or children yelling and playing. You just want a comfortable place where you can sit and talk freely and carefully with your client so you could find out exactly what they need and how you can assist them. That simple! I would say that you need a few notebooks or folders that you can save information and quickly get to it. I didn't have a filing cabinet. I just set a shelf with these hardback notebooks with my information on it. One notebook was for clients which listed their home information and what they needed or desired from me, the subject needed tutoring, age of student and any personal information. The second notebook I kept my tutor names and their resumes. The third notebook I wrote down my timesheets along with copies of checks earned by my tutors. Very simple and to the point. I will show you examples of my record keeping when I'm through with talking about the different situations and give you an idea how simple your bookkeeping can be. 17 What should your phone message contain? Many clients once they find your company on the Internet or from word-of-mouth will call you at the strangest times. Sometimes it will be early in the morning, sometimes in the afternoon and many times 8 o'clock 9 o'clock at night. Most, but not all will not realize that you are working from home. So it is very important and vital that you be very professional at all times, including your message. The mistake I made at the beginning was having a very long message which necessitated people staying on the line for 30 to 45 seconds while they heard me ramble on about my hours and what we did and grades we tutored. Don't make that mistake. Make your phone message sweet, direct, succinct and to the point. Let me give you an example of my phone message that worked very well for me. "Hello, this is Buckeye In Home Tutoring Services, LLC. I'm not in the office at this time, but your phone call is important to me, and I will try to contact you within a few hours. Please leave your name and telephone number and the best time to call you. You can also leave me a detailed message at our website: www.lesson success.net Thank you very much.” 17. 18 What is an Independent Contractor Versus an Employee? I am really glad you asked this important question because there is a major difference between a independent contractor and employee. You do not want to hire employees because your life will become a living hell. And I want you to be happy. I do not want you to be sad or have the government come down and take even more of your money or you pay some stupid silly fine! What you must realize is that an independent contractor cannot be directed or controlled by you like an employee. This may sound confusing to you. So I will try to make this as painless as possible. The two important words: are independent and then the word contractor. Because they are independent they work for themselves and you cannot direct or control their activities. The second word means that you contract them to do a job. This particular job is tutoring. So in essence you are hiring a person who has been checked out by you to be credentialed or trained and has the necessary education or passion and effectiveness to be a tutor because they have the experience and education. You then contract them out to do a job knowing that they are qualified to do that job. You cannot provide your tutors with a curriculum or tell them how to follow a curriculum. You have definite limits as to what you can expect or demand of your tutors. You cannot provide them with any type of forms with your company logo on the forms. You cannot tell them when or where to be just because you want them to be there. You cannot pay their mileage or give them bonuses and you cannot tell them how to teach. Now you're probably rolling your eyes at me and asking me what can I tell them to do? You offer them a client and what you're willing to pay them per hour, what tutoring is to take place and what time. You can tell them the subject, the address, and information about the client. If they decline the job offer move onto the next tutor and remember you cannot fire an independent contractor… they're not an employee of yours. You just don't use them again. 18. 19 1099 Forms and Independent Contractors As a business owner you are responsible for your own taxes and an independent contractor is responsible for his or her own taxes, not you, you do not take anything out of their paychecks, you do not provide them any sort of benefits, disability insurance or do you deduct any federal, state or local taxes from their checks. You just give them a check based on your hourly rate. What is your responsibility: you track their income for the year and issue them a form 1099 at the end of the year and you only have to issue a 1099 to an individual who is earned over $600 per year, contracting with you. You have the responsibly to keep company records of their complete hours in writing and the event that you are ever audited. So it is important that you have a paper trail of their invoices. You can provide them a guideline of what you need on the invoice. 1.Student name Because they are independent contractors I donot give 2.Date of session them a reference or verify employment when asked because 3.Rate of pay. they are not employees: don’t do it! 4.Total number of hours tutored 5.Current date The independent contractors are responsible for keeping track of their expenses, mileage, supplies, etc. Your independent contractors who tutor for you should email a copy of their invoices charging you for their services within 24 hours of completing each tutoring session. ( No check until an invoice) Remember they are independent contractors and are contracting out their teaching and tutoring services to your company. 20 How Do You Set Your Tutoring Rates? Tutor Broker: If you are going to be a tutor broker I always split my hourly rates with my independent contractor to be frank with you. I normally charge $40 per hour and usually try to sell at least an 8 hour tutoring package to the client. That comes to $320 per 8 hours of tutoring. So the tutor made $180.00 and I made $180.00. How should you set your rates. 1.Check out your competition. Your next question might be, how do you do that? I simply pretend like I am a parent shopping around for tutoring services. I ask them the following questions... Do you tutor at my house, you tutor at your location, can we tutor at the library, the cost per hour, for a package deal, will my child be tutored individually one on one, what type of tutors will be tutoring my child, are they certified teachers, have a BA degree, or experience tutoring. I ask them if I don't like the tutor can I get another one. I ask them if am unhappy with the tutoring can I get my money back for that tutoring session. I ask them if I can watch while my child is being tutored. 2.Ask if there are any registration fees or testing fees. (With my company I charge a $25 registration fee.) This fee covers your time and efforts matching a tutor with a client and helps to pay for other expenses you may have like background investigations on your tutors and visiting homes and clients at the beginning. Many tutoring companies charge $25 per student. If there are two children you can start at $50 and go up for registration fees. This is totally up to you. Find out what your competition is doing. This is a standard practice of having registration fees in the tutoring business. I also had a range of rates based on the following information: I may have some specials for new clients and offer special rates I may lower my rate per hour if they are repeat customer I charge more for secondary Math and Science tutoring because it takes a very qualified tutor to handle Algebra 1, Algebra 2, Trig and Calculus. 21 Continued…Setting Your Rates There is an extremely lucrative, demanding and open niche in tutoring and that is the tutoring of special needs children. Special education children may have a difficult time learning in the classroom. School districts are going to what is called inclusion, which means that special ed children are not in a special ed resource room with other special education children, but with mainstream children who may make the honor roll every single grading quarter. Often the special education teacher is in the classroom, but special education children do not want to be singled out by having a special education teacher hover over them and explain to them what the regular teacher is trying to teach in the classroom. This causes much angst with special education children as you can imagine, and sometimes the regular education teacher has to slow down the pace in order to accommodate the special education children. It really is a losing proposition for the advanced student and the slow learner. This is where you come in as a tutor or tutor broker ensuring that these children get a patient, understanding, tutor who can not only accommodate the needs of these children, but actually teach them so they can keep up with their peers in the elementary, middle school or high school setting. Setting the pay rates with your independent contractor tutors. You can handle this in a couple ways and it really is up to you and your type of personality. I may ask the tutor what they feel they should be paid per hour for their tutoring sessions... just to get a feel for what they might think is fair. If it's too high, I simply tell them they're making more money than I am and I'm running the company, finding the clients and paying an overhead. You do not have to say that… sometimes it works for me. Sometimes it doesn't. Other times I say I will pay a flat rate of $20 per hour and remind the tutor that is up to them to pay their own gas bills, car maintenance, and manage their own tax items individually because they do not work for me. I will state to you… it is better to pay a tutor more money than less, and to have a happy tutor and one who will be willing to work for you in the future, especially if you trust him/her. 21. 22 Demographic Areas You must always remember that you are in business not to save the world, but to make money. If you are in a business not to make money then go home. You will fail...because if you don't make money you are working for free and you will go bankrupt! The rates that you set for your clients and the rates that you set for your tutor have to be competitive in the marketplace in your demographic area. If you live in a small town of 1000 people, and most of the people are unemployed or working at the local Walmart and making $10 per hour... you are going to have a hard time having a business that makes you money. You may have to charge $20 per hour and get half of that to your tutor and you keep the other half. Which means you will work longer hours and you will work harder, but you still will be making some money. It is important to note that there are 94 million Americans right now without a job in America. I have run across many youngsters with four-year degrees that are making $10 or less working at Home Depot, Lowes, and local garden centers. You have a marketplace of potential tutors who just might love to make that 10 or $12 an hour tutoring children instead of working out in a cold garden center. If you live in a place like Cleveland, Ohio, you have a population of 1.3 to 1.5 million people within 30 miles of any particular location. This means you will have more competition, which you should not be afraid of and more ability to make higher wages because of the wealthier people in those communities. Why you must raise your rates occasionally over time! The major culprit is inflation. If you were making $20,000 in 1970, that $20,000 would be equivalent to $140,000 today. And if you're making $160,000 today it would be worth $25,000 in 1970 dollars! So get on the Internet and look up your inflation rate for your demographic area and maybe one or every other year raise your rates because everybody else is doing it. All prices go up! If you are asked by a parent to assist with home schooling find out if they are using state standards in conjunction with their state curriculum. Most states do not require a credentialed teacher. Contact your state level home schooling organization and ask questions on home schooling…let them know you have a tutoring company. Tell them to get the curriculum guides that their children would use from the school they would attend or from a teacher or get them online or go to the school administration building and get a copy! Home schooler’s are taxpayers and this is not a top secret document! They detail everything a student is supposed to learn by the STATE CONTROLLED EDUCATION SYSTEM. The parents can pick out what you want while understanding what the state is teaching students…they may want to teach the U.S. Constitution to their children instead of the 36 pints of the United Nations Constitution that teach people that they have a right to a house, car, job etc. (Common Core) Help out home schooling parents with websites and encouragement 28. 29 How Much Should You Charge for Your Tutoring Rates? I’m glad you asked that question! How do you find out what you should be charging! Call and find out what your competition is charging…call them and pretend you are a parent and ask what their rates are…if they beat around the bush just say “Hey, I need to know if I can afford your rates and what do I get for those rates?” I would be ready to tell them the following: Know the name of your school and zipcode. Ask for any specials or package deals. Ask them if they tutor in your home or some other place convenient for you as a parent? Ask them if their tutors are certified teachers or retired teachers? Ask them if their tutors have had background checks? Ask them if they use the schools curriculum? Do not leave your phone number with them…say you are doing your due diligence at this moment. I charge a registration fee of $40.00. This is a standard business practice in the tutoring business. If they ask you why…explain to them it helps defry the cost of background investigations…matching a tutor…entering them in your data base…somebody has to do that! I have a range of rates which I charge…I charge less in lower income areas…I charge less for K1-5 grades…sometimes I charge less for reading and writing then math or science tutoring. I charge less for special education children if they are economically disadvantaged…but more in areas that are affluent. 30 Finding Your Tutors Tutors who you sub-contract to tutor for you are your biggest expense and most important asset of your business. They can ruin reputation…steal clients…or have clients begging you for that tutor to teach their children! Here is some guidance! Craigslist is a wonderful site where I have gotten most of my tutors. I will go into more detail how to weed these tutors out later on! I have gotten a lot of retired teachers here! Resumes will begin to fill your email box. Request a resume from each potential tutor and a cover letter…the cover letter is not required but might help you with the interview later on…you might ask them to write a cover letter to explain why they want to tutor with your company. Check their job objective…let’s hope it has to do something with tutoring or teaching and let’s say not sales! Make sure you post a starting rate as a tutor…you will get more responses. College Placement Offices- I leave a short paper with area college placement Offices or on bulletins boards for students who want to tutor. I ask for high GPA’s and they must be at least a Junior or Senior in their respective field of study. Believe it or not these are the only two resources I have ever used…except for tutors who have asked me to hire their accomplished friends! 30. 31 Interviewing Your Potential Tutors I will only do phone interviews with a resume in front of me! The phone Interview: I ask them why they want to be a tutor…(make sure you are taking notes and have a file started on them) Ask them if they have tutored before. Ask them about their major and if they are going to be a Math teacher or Science teacher if they are willing to be asked some questions that will indicate if they are proficient. Where they live and how many miles they would be prepared to travel for a client. If they have any problems tutoring in a private home. If they are willing to get a background investigation done? They pay. What grade level they would like to teach…boys or girls or both…special education students? If they are willing to sign a form saying they will not steal your clients or face legal ramifications. They understand that they are sub-contractors and not employees. I then ask them (if they have passed this portion of the interview) if they would meet me at a convenient public place for an interview where they can size me up and I can size them up! I often use the coffee shop at a Borders Book store or library. I ask them to bring to the meeting …personal references, any certifications or teaching credentials. 32 At Your Interview what do you look For? Let me state this right off the bat…a teaching certification or experience as a teacher is not as important as experience and the ability to relate to a student and teach him or her! I know many tutors who are just as good in math as a teacher and could teach the subject matter more efficiently than a teacher. And don’t forget many people want to be tutored in different areas than the four core academic subjects…gardening, welding, languages, painting etc. I look for the following: how they present themselves to me, are they neat and clean, do they show up on time, can they express ideas and concepts to me, are they thoughtful, do they know their subject matter…sometimes I give them an algebra problem (if they are teaching math) have them do it and then have them teach me the concept! I discuss any experience tutoring…internships, courses taken in college, experience in their field. I tell them they must have a background check…it won’t cost them more than $10-25.00. I usually know after a few minutes if this is a tutoring candidate I want to represent me and my company…I must be able to trust them…if they have their resume… references…grade point average…if they went to college I look at their transcripts…most of the time I have them email those along with their resume so I have them before the interview. I ask them if they have their own computer…transportation…other part time jobs… the bottom line is would you trust them to tutor your children in your house? If I like them I have them fill out the documents on the next page. 32.

33 Documents I have Them fill Out before I leave the Interview and Keep 1.Contract as a independent Contractor 2.Personal Information sheet…name, address, email, phone 3.Subjects they can tutor and are proficient 4.W-9 form 5.Sign company policy sheet (what is expected of them) 6.Get a copy of their background check if they have one 7.Your information…email…phone etc. Megan’s Law Always check the registered Sex Offender rolls at a free website: www.meganslaw.orgwww.meganslaw.org The site will let you know about these people and even have pictures of them. You owe your clients this process. If someone has a criminal past…it will be a judgement call on your part…I would not hire a law breaker, but you may not have a problems with that. Follow-up: Tell your potential tutor sub-contractor that you will call them back in a week or two at the most. You tell them you need to check out their references…etc. Also I told the I was just starting out and would have to find clients…that might take one or two weeks. 33. 36 Talking to Your Client When They Call You for Your Tutoring Services When a client calls asking for tutoring services the fun begins…they found you and they are interested in your services! Lets go through how I answered the phone and my questions. Remember you are in charge NOT THE PARENT. They do not know anything about your business except their child needs help. When I began teaching I was amazed at how little parents cared about the education of their children. Most think that the government will take care of their children and they leave this crucial part of their child’s life on auto pilot. Most parents have not even been in their child’s classroom! Most children suffer because the classroom is the worst place for education. You should have a form like this…nothing fancy…just something to help you Name of child/Their phone number/phone number/email address if they agree to use you Age of child School child attends and grade level Subject they are having problems with GPA Do they use textbooks or handouts How much homework each night? How long do they study each night? Any learning disabilities? Does he /she turn in their homework? Do you read with your child or assist with homework? Is your child a good reader? 38 Script continued We will tutoring in your location…an adult must be present….we fit your schedule. If you don’t want to be tutored in your home we can meet you where ever you would like…a library…a church…where ever you like as long as it is quiet. If you would like to tutor with us I will have to meet with you and your daughter so I can help her…get the right tutor and see if we are a good match for your child. We will tutor your child’s from her curriculum and her exact books or handouts. We will test her to see what level she is reading and what exact areas she may need help in…vocabulary…sounding out words…comprehension etc. I make an appointment to meet with her and you to ensure the best for your family. I make a home visit and talk to your child with you to see if we can work together. We do not accept all clients. There is no cost to you. At the meeting I will have to see some of her graded papers…handouts or textbooks and any notes the teacher has written to you. This is all confidential! After this meeting I will match a tutor to fit her personality…her academic needs…and her learning style. THAT SOUNDS WONDERFUL…HOW MANY HOURS AND WHAT WILL BE THE COST OF TUTORING? We have a one time registration fee of $40.00 and we charge $40.00 per hour. We have the minimum of one hour per week and we require a parent to be present during the tutoring time period. We tutor based on you time restraints and availability. Most of my clients tutor their child twice a week for four weeks and then talk about the progress of their child and see if more tutoring is needed. When I meet with you and your daughter I will get a better idea how we can help her. If your child wants a female or male to tutor we can arrange what she wants. If she is unhappy with her tutor I will not charge you for the first session and a new tutor will be assigned. All my tutors have a background investigation and have to pass my strict requirements to tutor. Do you have any ? When would be a good time to arrange a complimentary meeting? Normally at this point the parent or parents say the following: “Well let me talk to my husband and I will get back to you.” I hand them my card or “when can we set an appointment to talk …how about TUESDAY THE 11 TH at 7:00PM. I check my schedule and say that would be fine. I hand them my card. Or “When can we start tutoring!” My first ten clients agreed to tutor with my company…if I could do it so can you. That simple!!! If someone doesn’t want to tutor their child…don’t fret…you want good clients not parents/ or children who don’t want help. 39 The In Home Consultation The moment you show up at the door of your client it is important to be professional and friendly! I usually dress in my Buckeye In Home tutoring short sleeve shirt and clean jeans. I’ve never dressed up to much…just be clean and friendly. Most people are not going to get dressed up to impress the tutor! Some parents and children are shy- some more outspoken…you will learn quickly which shows up at your meeting. 99.9% of all parents are friendly and want help for their student…they want some sort of feed back from you and want to feel safe with you. They will be watching the interaction of their student with you! PREPARE FOR YOUR MEETING: Call the night before to confirm your meeting…make sure you get directions to their house and address. Ensure you bring your notes with you from the phone consult. Ask if you can sit at a table with Mom/Dad and child. Introduce yourself to everyone especially the child. Ask for any textbooks, homework, handouts. Place them by your side. Introduce yourself to Karen. I ask Karen a few questions and I tell her I want her to answer …not Mom or Dad. How do you like school? What is her favorite part of the school day? What is her favorite subject? Does she like homework? How much time does she spend on homework? Is she an A…B…C…student? What is her least likable subject? If it is reading…ask her what she doesn’t like about it. What is the hardest part of reading? Does she read at home? I then ask to see graded assignments, homework assignments…textbooks…handouts. I then give her a reading test for her grade level (get off the internet) I ask her to read a grade level page. I ask her some grade level vocabulary words…asking for spelling and meaning. I ask her after these questions if she would like to improve her reading level and why? I ask her if she is ready to work when a tutor asks her. I ask her if she would like a male or female tutor. I tell her if she is ready to work my tutor can and will make her a better reader. After talking with mother and child: I ask the mother how many hours a week she wants tutoring for her child. They may ask you what you think…depending on what I observed from the child and how behind the child is I may recommend two hours a week…if it is a easy problem to solve I MAY REQUEST JUST ONE HOUR A WEEK. I will have the parents sign a statement that parent must be present and if a tutor is not cancelled 24 hours before they still will pay the fee for that day. I then ask for the $40.00 registration fee and minimum four hours of tutoring…if they agree to eight I will ask them for the full amount and if tutoring stops before the eight I will refund them the rest of the money. 39. 40 I Try to Match the Client With the Tutor How do you match the student with the tutor? Is the child shy? I use a very nice female tutor who nourishes the client or a Mr. Rogers type tutor. If I have a big jock I try to match the student with a tough coach type tutor. If I have a math wizard client…computer type I try to match him with a engineer type tutor who wears pocket protectors. Does this make any sense…it is not complicated…tutors and clients just try to find some common ground. Believe me it will work out! If the mother and dad want a certified teacher I get them one…they are not hard to find. Read this article to find out why! If you have a special education student…you will be able to find many special education teachers, and retired teachers to get as tutors. CONTACTING TUTORS: I ALWAYS SEND AN EMAIL TO PEOPLE BECAUSE I THEN HAVE A RECORD OF THAT CORRESPONDANCE. It is always nice to have a copy when you send out an offer to a tutor. Tutor’s who want to make money call you first. If you offer a student to a tutor and you do not hear from that tutor within 24 hours notify another tutor of the job opportunity. When you have time make sure you check with the tutor that did not accept the position because you could not contact HIM/HER. Drop those tutors who do not get back with you in a timely manner. If you are having a problem with finding the right tutor make sure you let the parents know that you are in the process of finding the right tutor for their child. After the tutoring session call the parents the next day and ensure they are happy, but before that call the tutor. 41 Record Keeping Record keeping is all our favorite activities' known to mankind…like going to the doctor! When you are a small business owner…keeping records will ensure your success. If you forget to collect from a client…fail to pay a tutor…refund a client…know what is in your checking account …there will be hell to pay! Don’t lose invoices! I always have tutors send me an email invoice after a tutoring session…no invoice no pay…that simple. Each client has a folder with a copy of a check payment and hour’s tutored. Organize your files alphabetically by pay period and date with copies of each check. Each tutor has a file with each email invoice that they sent me. A copy of each check payment goes into the file. In each tutors file is a copy of their background investigation, resume, cover letter, references, transcripts and personal comments I make about them. All client personal information goes into their file to include any sheets of information I put into them. I keep a file on each person who called me for tutoring that I do not do business with…try to get an email from them so you can send information on any sale you are having or just to pass education material to parents. I keep files on the number of days and hours I spend in my library so I can partially write off that expense…including portions of the electric bill…keep records, phone bills related to your business, computer time, office supplies and mileage logs. Follow all laws set forth by the federal Government on Independent Contractor status. I recommend sending thank you notes to clients and children and tutors. It may cost some money but shows you are a first class operation. I also send cards to area high school counselors letting them know about my tutoring company.
