5 Complete the form and submit it by selecting the ‘Register’ button 3 4 An email will be sent to your email address. Click on the link in the email to validate your email address. Advanced user access will be given and an email sent to you in confirmation. 5 If Data Custodian / Admin access is required. Data Custodian training must have been completed and an email requesting access sent to: insight@essex.gov.uk If there are any problems please Email: insight@essex.gov.ukinsight@essex.gov.uk 6 Complete form  Select ‘Register’

6 Search 2.Click on the Search Options to refine the search 1.‘Search’ – accessed from the home page. Type a search term into the search box. Enter or select ‘Search’ Search (or use search box)

7 1.All resources will be displayed. Select the hyperlinks within the ‘Filter Resources’ section to filter the resources by theme, category, resource type and by tags associated with the data. 2.Once filters are selected they will be displayed within the ‘Current Query’ section at the top of the page. Select ‘x’ to remove filters. 3.Resources can be selected from the list. Locate a resource 1 2 Select ‘Explore Data’  ‘Browse all available resources’. 3 A resource is a; Word document, PDF, PowerPoint, Excel spreadsheet, chart or map, html webpage, interactive map Explore Data  Browse all available resources

8 1.The resource can then be opened 2.Metadata is shown including author, publisher and date published. 3.Related resources are shown 4.Links to relevant tags and themes are displayed. 1 2 3 4 Select resource

9 Locate a dataset & finding data 123 Data can be accessed in a number of ways from the home page: 1.‘Explore Data’  ‘Browse all available data’; 2.‘Search’  select ‘datasets’ to filter 3.‘Themes & Projects’ - which will filter data to return only items relevant to that theme. 10 The Data Browser lists all of the datasets within the system 1.To view any of this data expand the required category and dataset by selecting ‘+’ and 2.Select “select data” to filter your results by geography, or view “all data” 1a 2 Select a dataset Expand categories & dataset 1b

11 Select the geographies & indicators 2 1 3 The Options screen 1.Expand & select the geographic areas via the tick boxes 2.Expand & select the indicators (also called dimensions) 3.Select ‘Select to view data for this selection’ Select areas & indicators

12 View the resulting table of data 1.The required time period can be selected from the drop-down menu 2.The data can be compared with a different time period (if available) 3.Data for the current time period can be exported in various formats 1 2a 2b 3 The Data tab shows the data for all geographies selected in tabular form Data Tab

13 The Info tab show the metadata for the dataset 1.The metadata includes what the dataset is, what the source is and when it was uploaded 2.There is also information about the custodian that uploaded the data, including a contact email / phone number 3.Further information may be available from a website link direct to the source of the information 1 3 2 View the metadata Info Tab

14 Export data into an Excel Spreadsheet The Export tab allows the data to be exported in various formats 1.Select the time period and variables you want to export (ctrl + select). 2.Select the format that you want to export the information to. 1 2 Export Tab

15 1. The Chart tab allows you to create basic graphs 2. Select the type of chart required e.g. Time series 3. Select the variable, time period and geography to be charted 4. Generate the chart 5. 16 1.The Map tab allows you to map your data 2.Select the type of map that you require. 3.Select the indicator and time period that you want to map. 4.Decide whether you want a background map. 5.Generate your map. 6.Once the map is generated changes can be made via the “Change map options” button 7.To save the map (for instance, to use in a report) select “Save As JPEG” Create a map 1 2 3 4 76 Map Tab

17 Creating a report (resource) - Example Example: 1.Open a MS Word document 2.Tables can be copied & pasted into the document and reformatted 3.Charts and maps inserted as a picture a.Toolbar  Insert  picture  from file. Browse to chart or map 4.Include reference / source information Create a resource The information gathered can be used within documents and presentations to create a report¹ ¹Check publishing guidelines before doing so

18 Glossary of terms Publishing - sharing any data or information to anyone by any method e.g. electronically, verbally or hard copy etc Dataset – table of data with geographic area, measures and values from which tables, charts and maps can be created. Resource – document, report, map, data object e.g. table, external web link, html web page Basket – a collection of related queries, maps, tables and charts. Partnership level data – secured to a level only accessible by members of the Partnership and not public. Information not to be re-published to the public. Author: the person who has created the resource. Source: The organisation who owns the dataset or resource e.g. ONS, NOMIS or a report created by ECC Data Owner: the person that owns the data - this may not be the same as the person who has access to the data or uploads the data. Data Custodian or Administrator: the person who has uploaded the dataset / resource
