4 NYSED uses a system called the Student Information Repository System (SIRS) to collect data. SIRS is actually a process involving multiple systems.(SIRS) How does the data get to the WNYRIC Regional Data Warehouse? District/ School/BOCES Source Systems WNYRIC Regional Level 0 WNYRIC Regional DW (LVL1) Statewide L1C/LVL2 Data is standardized via an application called Level 0 hosted regionally. It is collected from Level 0 via regional data warehouses like the WNYRIC Data Warehouse into a statewide data warehouse called LVL2.

5 WNYRIC Data Warehouse Reports Also known as Level 1 Used for District & Regional Reporting and Analysis as defined by District Requirements Also Used to collect data needed by NYSED for State & Federal Reporting Uses IBM Cognos Reporting Software Used for pre-printing scannable assessment answer sheets WNYRIC LDAP Log On Security is Administered by WNYRIC L2RPT – Level 2 Reports Reporting against Level 2 / SIRS DW which is the Student Information Repository System used by the State for Verification Reporting related to Accountability, BEDS, Teacher/Course/Student Data Statewide Reporting by Unique Student NYSSIS ID Also used for Data Collection for Reporting to US Dept. of Education (USDOE) Uses IBM Cognos Reporting Software SEDDAS Security is needed for access *see your SEDDAS Administrator for your District (usually the Superintendent of your District)

6 What type of output is available from WNYRICs Level 1 Data Warehouse?  Reports to help you verify student data (demographic, enrollment, program service, assessment data etc.)  3-8 assessment performance level and item analysis reports and cubes.  Regents assessment performance level and item analysis reports and cubes.  High School 9 th grade entry date reports including graduate and other outcomes.... and more...

7  Keep in mind, wherever you see the term "Regional Success Rate" or "Gap to Region", it refers to all the data we house in the WNYRIC Data Warehouse. Included are (as appropriate by assessment administered)… Buffalo City, Rochester City, Charter schools, Diocese – Buffalo, Diocese – Rochester and the BOCES component districts for Catt Alley, Erie 1, Erie 2, Genesee Valley, GST, Monroe 1 &2, O/N, Wayne Finger Lakes and Non – Public Schools.

8 NYSED has produced “ Released Questions with Annotations ” guides for each of the 2015 ELA & Math Common Core Assessments. The guides include all of the released questions, the rationale for having included each question on the assessment, the correct responses, and an explanation of why the incorrect responses may have been selected by students. The guides are available at: https://www.engageny.org/resource/new-york-state-common-core-sample-questions WNYRIC has developed a series of reports that show how your students performed on those assessments. The reports will be most effective when paired with NYSED’s guides. Each report identifies all of the exam’s released questions and shows the response distribution for the selected student group compared to the school, the district and a regional comparison group of your choice (BOCES, all students in the region, all students in the region scoring at Level 3 or higher, or to all students in the region who scored at Level 4). The four reports examine: 1.District performance (aggregated) 2.Building performance (aggregated) 3.Teacher performance (aggregated) 4.Teacher performance by course/section You will find the reports using the following path ( https://dataview.wnyric.org )https://dataview.wnyric.org Engage NY site WNYRIC site

9 WNYRIC Districts DW Reports For a New user you will complete the AUP form on the WNYRIC Forms Library http://www.e1b.org/WNYRIC/FormsL ibrary.aspx Once the form is complete with all required signatures, please scan the form and e-mail it to the WNYRIC Data Warehouse Team at: dataview@e1b.org dataview@e1b.org Please indicate "DW Security and your LEA name” in the Subject Line of the e-mail. Once the account is created an email confirmation will be sent with a temporary password and directions for you to create a unique password and answer THREE security questions. Our WNYRIC DW team is not authorized to re- set password/security questions. If your account is invalid or you have an error (e.g. “Invalid Credentials) please contact our Service Desk for assistance at: 716-821-7171 Option 2

10 From the Dataview site hover over Related Links click Manage My WNYRIC DW Account The Self Service Center Window opens, enter your ID/PW for Level 1, click Log In button. A new window opens and you have the choice of “Change Password” or “Change Forgotten Password Information” (your three security questions). Our WNYRIC DW team is not authorized to re-set password/security questions. If your account is invalid or you have an error (e.g. “Invalid Credentials) please contact our Service Desk for assistance at: 716-821-7171 Option 2

11 RIC – A RIC User sees all of the District and Charter Schools associated with that specific RIC Region. BOCES – A BOCES User can see multiple districts and/or charter schools as authorized by those districts or charters. DISTRICT – A District or Charter School User sees all of the specific District or Charter School data. The majority of users will see their District and building locations ONLY. Even though you only see your District Name in selection (prompt) boxes for reports you will still need to click and highlight the District Name selection in your Report Prompt Windows.

13 The List View provides the list of Titles of reports. The Detail View provides the same list and for each title a description of what is detailed in the report. The Detail View will provide users with a good foundation in understanding what is detailed in each report.

14 To assist users with navigation of the many Reports the DW team has compiled an output index. Access Public Folders > Help > WNYRIC Data Warehouse Output List – Reports & Cubes Each Path (Breadcrumb) is outlined and the Name, Description and an Open Report link button to view the Report or Cube View is available.

15 Find the report groups you would like to view and click on their blue underlined path title, the list of report titles is displayed with their description and an “Open Report” link button. Click the button of the report you would like to view.

16 The example above shows the Name, Description and to the left, the “Open Report” link button. Click the button to go to the report screen. The prompt screen opens make your selections and click Finish button to produce your report.

17 Data Ready Reports Reports placed in this folder are identified as important for all districts to review for one of the following reasons: 1.General confirmation that data locked in Level 0 was loaded to Level 1. 2.Summary status reports for specific deadlines. 3. Potential exception conditions, which would require research by the district. e.g. Demographic without Enrollment.

20 The first page of the Report provides for Counts based on your selection. Scroll to view the rest of the pages within the report – the remaining pages show detailed student information by district, selected building(s) and grade(s). To return to the Report selection menu click the ‘Return Arrow’ in the Cognos menu bar

23 The report now combines both Program Type(s) as well as the State Program(s).

24 **NOTE you will need to select your Program Type(s) then click the “Refresh” button to fill the appropriate State Program(s), hold down your control key to select more than one State Program. Then click “Finish” to run your report.

25 Reports – The output is a two dimensional one view file. Reports run using data refreshed from the most recent Level 0 update or Scanned input. Data updates are an overnight process. Cubes – The output enables the user to display data from multiple viewpoints, similar to a Rubik’s Cube. These do NOT refresh automatically, as Cubes are rebuilt (various schedules – weekly/monthly) by the Data Warehouse Tech Team using fresh data.

27 The following IBM Cognos Workspace Advanced Cube view shows initial view for the ‘NYS Assessments (2006-07 to present)’.

28 Hide Dimensions “Source” Pane Clicking once on the Hide/Unhide bar either closes or opens the Dimensional “Source” view pane, providing more real estate to view your cube data.

30 The Student Enrollment Cube is available from the following path(breadcrumb) Public Folders > Workspace Advanced (cubes and cube views) > Student Summary Cubes > Student Enrollment (enrolled 1 or more days)

31 Report View Icon is located in the report tool bar, allows the user to select and view report in other formats such as Excel (various versions). The Run Icon is found in the main (black) tool bar at the top of your screen, it allows the user to run a view in other formats such as Excel.

32 Internet Options Preferences should be set up prior to using Dataview Reports/Cubes. Go to User Documentation and pull the step by step instruction that apply to your version of Internet browser. Dataview (Cognos) preferences for viewing the Reports in PDF format can be set up using ‘My Preferences’.

33 Internet Explorer 10.0 Compatibility view enables users with the upgraded IE 10 to successfully work with Reports and Cubes. The icon is located within the URL bar located at the top of the browser window. Internet Explorer 11.0 Compatibility view enables users with the upgraded IE 11 to successfully work with Reports and Cubes. Click the “gear” icon and click on compatibility View settings.

34 Once logged in to your preference (e.g. WNYRIC LDAP – Reports) the IBM Cognos Software Home page is displayed. Click on the “My Home” and the screen refreshes to the preference selected. To avoid having to go to this page click the box in the lower left side of the screen to turn off.

36 From the Dataview website select the Documentation fly out ‘User Documentation’. The screen refreshes with the DW Support Place. Each DW Module contains links to documents and step by step directions for Reports and Cubes.

40 Workspace Advanced software is live…new look and feel with more options when working with data. Here is an example of the NYS Assessments Cube View. To the right of the title click on the Workspace Advanced Icon to open Cognos Workspace Advanced cube. Always Allow Access for cubes.
