1 e-ISuite Incident Business Workshop May 10, 2016 2015 Implementation Review 2016 News and Updates

2 First Year Successes – National training effort to prepare users, including the IIA Helpdesk – On-site visits to assist users – Immediate response by the e-ISuite Team and Contractor to fix several critical issues – Positive feedback from users – Received many suggestions for changes from the field, indicating user engagement in the use of the application

3 First Year Challenges and Lessons Learned – Enterprise Performance was a problem in many locations – Difficult to diagnose the exact nature of the issues – Identified areas to address within the application – Firewalls and service providers are outside our area of influence – Data Transfer – Large Site files would not complete or would take hours to complete – Incidents – Duplicate incidents – No ability to split an incident from an Incident Group – Time Zone Issues – Machines not on the same time zone as the server created issues

4 Year Two Focus – Address Enterprise latency by continuing to tune the application and diagnose network issues – Incidents – Determine a work-around for duplicate incidents – Continue development of merge/split functionality – Custom Reports to ensure all views are updated with needed data options – Phase in the “unsaved data” functionality – Ensure Report Calculations are correct – Address Major Appearance (User Interface) concerns – Implement requirements for 508 Compliance – Continue to address new issues

5 Project Updates for 2016 – Port 80 restriction implemented by the Forest Service affected Site – Worked with the FS to establish access through a different port by FS users – Add the new port to the url for access: http://IPAddress:59123/isuite/fx/welcome.html – Needed only when running Site on the Forest Service network – New e-ISuite Webpage incorporated in the new FAM-IT Portal – available now – http://famit.nwcg.gov/applications/eISuite – Decommission I-Suite – no updates have been made to I-Suite for 2016

6 Fixed Issues included in Version 1.2 – IAP – re-order resources button works as intended – Jumbled time postings/adjustments in the grid – Issue of time reports generating in a large incident – Time postings that span midnight now posting correctly – Use of some Special Codes (Day Off/GUAR/COP) no longer causes issues with subsequent postings – Use Actuals Only is functioning properly in the Cost module – All Resources or Demob Planning reports generate correctly (changed system to prevent multiple leaders on a crew)

7 End of an Incident – Make a FINAL backup of your Site Database and upload.bak file to Repository – Also Use Data Transfer process to import Incident/Incident Group into Enterprise – Should work if Incident started at Site and is only managed at Site – Should also work if Incident started at Enterprise, transferred to Site, and is only managed at Site from then on (you can use Data Transfer to bring it back from Site to Enterprise) – Will not work if Incident is already in Enterprise and is being managed at both Site and Enterprise at the same time (Enterprise cannot handle duplicate incidents now and there is no MERGE process)

8 New in Version 1.2 – Training Specialist Module – included in v1.2 - more detail later – Tool to track incident training assignments – Data Transfer process should handle all incidents regardless of size – Addressed all major issues in the IAP module – Time – included in v1.2 – AD Batch Post Adjustments – ability to post adjustments to one or more AD crewmembers – New OF-288 - includes a new adjustments page – more detail later

9 Training Specialist Module – Brand new functionality in v1.2 based on current TNSP processes and forms – Developed with assistance from current TNSPs – New user base that may not be familiar with e-ISuite or legacy I-Suite – Training materials are available – New Training Specialist Role can be assigned by an Account Manager – Has been aggressively tested by the e-ISuite Team; some small issues still being addressed – We are hoping for, and will welcome, any suggestions from the field for improvements or changes to the functionality

10 TNSP Screen - New Role – Training Specialist - New Menu button visible only with the Training Specialist role added to a user account - Screens and forms are accessible to the user to manage trainees assigned to an incident

11 New OF-288 - Developed by the Interagency Incident Business community - Landscape format - Adjustments page is also landscape

12 Some Challenges Ahead – New Helpdesk Contractor – Continue to train and educate to bring them up to speed – thank you for your patience! – New e-ISuite Contractor – Effective February 28 th, Criterion is now our software development contractor – Vacant e-ISuite Project Position – With Donna’s promotion to Project Manager, Kevin Hoffman detailed to e-Isuite for the summer – Training – New functionality - reaching a group of users not previously familiar with the application – Full advantage of the use of Enterprise, especially with data integrity issues affecting upward reporting
