3 AIAA Topic: Conference Attendance U. S. Government attendance  Restrictions are still in place for government travel  Anecdotal discussions indicate that DoD will not participate in any conferences for the remainder of this FY (Sep 30)  No word on what will happen in FY14 Overall attendance is down for all AIAA conferences  Conference attendance is down ~20% for the conferences held so far  Vended events have been canceled or are not being held by AIAA – MDA canceled by the Missile Defense Agency – FAA chose not to use AIAA as event organizer because of government restrictions on conference organization  See Slide 4 Negative impact to AIAA finances  Below budget by $ 1 million  See Slide 5 3

5 AIAA Topic: Conference Attendance 5 NOTE: AIAA always starts the year out at zero and attempts to create a budget that gets us to zero at the end of the FY. The vast majority of our events occur in the summer, and that is where we make up much of the negative difference. Any money that is above the line goes into the portfolio. Any shortfall is made up by dollars that are in the portfolio. The FY12 shortfall that started in July was due to the beginning of the government travel restrictions. The Board authorized passage of an unbalanced budget with the intent that cuts would be made during FY13 to make up for the shortfall.

6 AIAA Topic: Conference Attendance Path forward  Still unknown at this time  Level of participation of government employees at future conferences is uncertain Update from AIAA staff  Multiple letters sent to Congress  AIAA Public Policy Committee actively working on Capitol Hill  A new letter was sent to Congress on May 29 from AIAA and over 60 professional societies. 7 TAC Topic: New Event Model (NEM) The New Event Model (NEM) was approved by AIAA BoD in May 2012 The new forum (conference) meetings are  AIAA Science and Technology Forum  AIAA Defense and Security Forum  AIAA Aviation and Aeronautics Forum  AIAA Propulsion and Energy Forum  AIAA Space and Astronautics Forum Beginning implementation in January 2014 7

16 TAC Topic: Aviation & Aeronautics (AVIATION) ASG will use rotation established for Fluids Conference to select ASG Forum Technical Chair  Defined role of Associate AS Chair for one year  ASG Forum Technical Chair the following year ASG 2014 representatives are  ASG Forum Technical Chair: Andy Broeren (ASE)  AS Associate Chair: Greg Naterer (TP) – Will be AVIATION ASG Forum Technical Chair in 2015 Would like to assign chairs 18 months prior to conference  Need 2015 AS Associate Chair in January 2014 16

17 TAC Topic: Aviation & Aeronautics (AVIATION) 17 The “AS Associate Chair” is a title that I have made up and is not listed in the AIAA NEM Forum organization. The goal is to have a back-up to the ASG Technical Technical Chair. This back-up role would allow the next TC member to learn the organization and bureaucracy associated with planning the AVIATION Forum. The AS Associate Chair would have a year to learn the process prior to taking a lead role (e.g. attend Forum planning meetings and participate in planning teleconferences). I would anticipate that the process internal to ASG would be that a TC member who has organized their TCs call-for-papers, sessions, etc. would move up into the AS Associate Chair role and then to the ASG Forum Technical Chair position. By combining smaller conferences into Forums, there will be fewer opportunities to learn conference planning. Also in a worst case scenario, the AS Associate Chair would move into the ASG Forum Technical Chair position if the current Chair cannot complete this task for whatever reason.

19 TC Topic: Web Pages Web Pages…  Each TC needs a web master and a back-up/helper  Great location to share information (e.g. minutes, charter, award process, photos)  This is your face to the outside world for new AIAA & TC members  Most ASG TC web pages are stale, forgotten orphans  When was the last time your TC updated its webpage? 20 TC Topic: General Reminders Chair-Elect  For new chairs, TCs need to select a vice-chair in a timely fashion  There are two accepted practices for chair-elect timelines (see https://info.aiaa.org/SC/TAC/Shared%20Documents/Forms/AllItems.aspx TAC_P_Chairs Manual_V01) https://info.aiaa.org/SC/TAC/Shared%20Documents/Forms/AllItems.aspx  TC Chair position is for 2 years Member Responsibilities  Maintain current AIAA Membership (must be an AIAA member)  Recruit new TC members  Submit names for AIAA awards  Submit names for AIAA elected offices  Propose membership upgrades  Propose session papers for AIAA journals 20

21 TC Topic: General Reminders Technical Committee size  Maximum of 50 members  35 US Members  International members  Associate members 34 years old or younger (non-voting)  Alumni members (non-voting)  Must get approval of ASG Director or Dep. Director to extend TC member beyond 3 year term  Cost to AIAA when TC meeting attendance goes up – Dinner cost – Audio Visual (AV) and speaker system – Reason for limitation on number of “visitors” to TC meetings. 21

22 22 ASG Topic: TC Funds ASG Director is given annual funding  Total for FY13 is $4600  Down from FY12 of $5800  ASG left around 50% of our funds on the table in FY12  Left-over funds are rolled into the general AIAA fund No funds remain for this FY (ends 30 Sept.)
