2 CERN IT Department CH-1211 Geneva 23 Switzerland www.cern.ch/i t OIS Current situation E-group –1 owner and administrators –Used for giving access and for mailing –Can have an archive What is behind the application –E-groups web site and management soap service – GS/AIS –Mail settings/archiving/synchronization to Active Directory - IT/OIS Numbers: –E-groups: ~30 000 –E-groups archives: ~ 6700 –Orphaned archives: ~ 800

3 CERN IT Department CH-1211 Geneva 23 Switzerland www.cern.ch/i t OIS Current situation Different scenarios when using e- groups –E-group is operational == used for security or mailing/archiving –E-group was used for archiving in the past Disable archiving –E-group is not used – but we need archive Remove members, block posting –The e-groups is not needed anymore Delete the e-group

4 CERN IT Department CH-1211 Geneva 23 Switzerland www.cern.ch/i t OIS When an e-group is deleted The object is deleted from: –E-groups application –Active Directory (not possible to use as security/mailing list) –The archive is not deleted == inconsistency Result –The archive is accessible only by owner/admins/visitors, they must know URL –Owner leaves CERN, then the site is un-managed Who keeps track of content? Who assures that access is correctly given? If an e-group is created with the same name then the old archive is re-attached

5 CERN IT Department CH-1211 Geneva 23 Switzerland www.cern.ch/i t OIS Proposals when e-group is deleted Archive is deleted when an e-group is deleted –E-group is not needed –Pop-up in e-groups once somebody tries to delete an e-group –E-groups properties (including archives) can be restored for next 6 months Archived messages are stored in CDS –Messages are saved in a.zip file and uploaded to CDS –Owner is set to e-group’s owner Who in experiments will manage the content?

7 CERN IT Department CH-1211 Geneva 23 Switzerland www.cern.ch/i t OIS What to do with orphaned sites If the owner is at CERN –Archive the site in CDS and ask the owner to populate metadata Owner left CERN –If a user left CERN after FIM was implemented then we can identify the successor in most cases –If a user left before FIM - ??? –What to do with archives for atlas-, cms-, lhcb-
