AIAA Aerospace Sciences Group TC Presentation 50 th Aerospace Sciences Meeting, New Horizons Forum, and Exposition Nashville, TN 9-12 January 2012

2 Overview Welcome and Introductions Issues  AIAA-Related Issues  TAC-Related Issues  Aerospace Science Group-Related Issues  TC-Related Issues Reminders Questions/Issues for TAC??

3 Welcome and Introductions AIAA staff:  KC Niedermeyer  Betty Guillie Aerospace Sciences Group Deputies

4 AIAA-Related Issues AIAA Staff initiatives:  Continued effort to reduce Institute costs (Example: Reducing printed material and starting to use recycled material; however, attendees will be able to print customized programs through new system)) RSAG  AIAA membership continues to decline  RSAG and AIAA Staff investigating ways to increase AIAA membership TAC leadership initiatives  Looking at TAC products and how to improve margin for AIAA –Looking at expenses to see where expenses can be reduced (Example: Food is largest cost for TAC events (61%) and conferences (50%) and A/V is second (14%)) –Enforcing minimum registration fee to cover conference expenses –Encouraging TCs to select affordable meeting locations and hotels –Looking at new conference models (TAC Conference Workshop)

5 TAC-Related Issues: TAC Conferences Workshop Our profession is evolving and AIAA must change with it More emphasis in the industry on integrating systems and disciplines. AIAA must be in a position to support these growth areas Our membership numbers are in slow decline and we are not retaining membership in the young professional ranks Our conferences have evolved to more focused events that only attract a portion of the aerospace community Many in our profession, primarily those in industry (who make up nearly half our membership), do not find our current conference offerings relevant to their jobs

6 TAC-Related Issues: TAC Conferences Workshop (cont’d) … and at the same time  Recent attendance at conferences is either down or stagnant. No significant growth!  Government funded R&D (in academia, government labs, and industry) is also in decline due to cuts in federal spending.  Discretionary dollars used for travel are at a premium. It is no longer feasible to attend 3-4 focused conferences a year. Some organizations have a hard time justifying going to a single conference!

Attendance Trends by Event 7

FY11 Net Margin by Event 8 NOTES: Net Margin includes only the meeting component of the event, and excludes papers, sponsorship, and exhibits. Asterisks indicate meetings not held during the fiscal year but had labor and allocation charges.

9 TAC-Related Issues: TAC Conferences Workshop (cont’d) Several conference models under consideration New conference model goals:  Retain current technical strength  Enhance relevance to attract a wider cross section of the aerospace community  Increase attendee interaction by providing a spectrum of networking and exhibit opportunities  Engage other AIAA sectors (e.g. Public Policy, Education, Standards, International, Corporate Members) in conference structure and organization  Grow conferences into new technical or programmatic areas

Four Event Models Evaluated in TAC Workshop NameDescription Current Current portfolio with minor change, e.g., some co-location Consolidated Current larger Events (ASM, Fluids, JPC, Space, GNC, SDM) plus Aviation and Defense as centers of gravity for consolidating smaller conferences Augment with systems development/integration elements Integrated Comprehensive, domain-focused Events providing integrated content ~4 Events spread over the year: R&D, Aviation, Space, and Defense Unified Multi-domain, unified Events split between R&D and Systems Engineering, Integration, and Test (SEIT) One big Event for R&D (winter) and one for SEIT/programs (summer) and a smaller Defense conference 10 Goal: Select New Conference Model by Mid-Year

11 Future ASM, NHF, & Expo Sites 2013: Grapevine, TX (Gaylord Texan) 2014: Potomac, MD (Gaylord National) 2015: Orlando, FL (Gaylord Palms) 2016: San Diego, CA (Manchester Grand Hyatt)* 2017: Grapevine, TX (Gaylord Texan)* 2018: Orlando, FL (Gaylord Palms)* *Contracts can be amended as late as 2012, if necessary Manchester Grand Hyatt Gaylord Texan Gaylord Palms

12 Future ASM, NHF, & Expo Sites (cont’d) 2015, 2018 Gaylord Palms Orlando, FL 2014 Gaylord National Potomac, MD 2013, 2017 Gaylord Texan Grapevine, TX 2016 Manchester Grand Hyatt San Diego, CA

13 ASG-Related Issues: TC Funds ASG is still leaving TC funds on the table each year ($5,800/Year Total for ASG) Need good, creative ideas (with technical content) from TCs so we can utilize the funds for what they were intended!!! Recent approved items  TC Polo shirts (TAC paid ½)  Student recognition (e.g. Student Paper Award Fee) All FY12 monies still available!

14 TC-Related Issues: Several TC Member Responsibilities  Help Recruit New TC Members  Help Submit Names for AIAA Awards  Help Submit Names for AIAA Elected Offices  Propose Membership Upgrades  Propose Session Papers for AIAA Journals Conference Site Selection  Need to set up conference location 3-4 years into future (Preferred date flexibility & more competitive hotel contract)  New emphasis on more-affordable sites and hotels

15 TC-Related Issues: Several (cont’d) Technical Committee size and makeup  50 TOTAL Members –Up to 35 Regular Members –Associate members 34 years old or younger –International members –New membership category: Alumni members  Must get approval of ASG Director or Dep. Director to extend TC member beyond 3 year term 15
