1 This is an introduction to configuring Microsoft Outlook for Office 2010: Forwarding FAMIS work order opening and closing emails to other users or alternate proctors in your or other departments or divisions. Use your Mouse or arrow keys to move through this presentation…

2 This brief presentation is for users of Microsoft Outlook Office 2010 and newer versions, not including Office 365. When CU fully migrates to Outlook for Office 365, this presentation will be upgraded.

3 In my “Inbox” I see that I have 2 work orders from the FAMIS work management system: RE: FM Work Order Closing: W552443 RE: FM Work Order Opening: W553071 Please note that these work orders are shown from “Charles T Molocznik”, but the work orders you receive will be from FAMIS@FM.COLORADO.EDU Now we will set a new “rule” so that these emails are forwarded to other email address.

4 First choose one of your FAMIS emails, by left clicking on it once. It will be highlighted as shown below.

5 Left click on the Rules folder, and a new dialog box will appear.

6 Left click on the “Create Rule…” text, to create a new outlook rule.

7 The Create Rule box will appear with the work order you highlighted in the “Subject contains” text box.

8 Check the “Subject contains” box to the left of the text

9 Next click on the “Advanced Options” box………

10 You need to “Uncheck” the “with” box

11 And check the “with specific words in the message header” box.

12 Now click on the “specific words” in the edit rule description box…

13 A Search Text box will pop up, enter the text “RE: FM Work Order” (do not use quotes) and press the “add” button.

14 This will add your text to a search list, then click on “OK”.

15 This will put your text into the rule description and you need to press next.

16 Now you will check the “forward it to people or public group” check box.

17 In the Edit the rule description box click on people or public group”.

18 The regular outlook email search tool will be launched and you can use this search tool to forward your email to as many people as you choose. You can either type in the email address in the “TO” box at the bottom of the search window or search for an email addresses and add it to the “TO” line at the bottom of the search box.

19 The email addresses you choose will be added to the list for forwarding.

20 Clicking next will bring you to the screen asking if there are any exceptions to this rule. There are no exceptions for how we are setting this up, click next.

21 This screen is asking you to provide a name for your rule, and allowing you to turn the rule on (automatically selected) or if you want to activate the “run this rule on messages already in your “inbox”. Make your choices and click “Finish”

22 If you checked the: run on messages already in your “inbox” then all of your messages with the text “RE: FM Work Order” in the message header have now been forwarded. If you did not check that box, the next new work order opening or closing email message that you receive will be forwarded to the people you chose.
