3 GEN  Government Employee Number Unique employee identifier for all NSW government sector employees Doesn’t replace any existing identifiers e.g. payroll number Your GEN will stay with you throughout your employment with NSW Government – even if you transfer between agencies or leave and return GEN is your key to the NSW Identity Hub What is GEN?

4 GEN format is GCCNNNN# o First letter ‘G’ – so you know it is a GEN o 2 x alphabetical characters (excluding all vowels, L and S) o 4 x numerical digits o 1 x check digit (to confirm the validity of the number) Examples: GBC00127, GZP34541 What is GEN?

5 o New system introduced by Office of Finance & Services (OFS) to enable cross-sector computer application access for employees o Securely allocates and manages your GEN along with the information required to uniquely identify you – name, date of birth, gender o Stores basic information about your employment – start/end dates, role, employee number/ID, work email, type of employment (such as ongoing or temporary) and the agency or subdivision of an agency that employs you o Can use this information to authorise your access for instance to Smartpool (State Fleet) and Government Licensing applications (more will follow in future) o Will include agency applications in future in some agencies What is the Identity Hub?

6 The GEN is a key step in thinking about the NSW government sector as one The GEN will assist the PSC and agencies to o undertake analysis of employee career paths and trends over time (using anonymised data, not looking at individuals) o inform evidence-based workforce management policy development o improve reporting by reducing double counting o communicate with employees within and across agencies, including sending targeted emails, surveys, newsletters Why introduce GEN?

7 The GEN is a key step in thinking about the NSW government sector as one The GEN will, in future o offer you access to multiple computer applications with a single account and password o enable you to have clear visibility of your work history within and across the NSW government sector – may help with calculations related to continuity of service o help with career planning and job opportunities across the sector o simplify employee record management, retaining information already collected when you move between agencies Why introduce GEN?

8 o PSC has taken a ‘privacy by design’ approach, planning for security and privacy at all stages of the process o A Privacy Code of Practice has been developed o in consultation with the NSW Privacy Commissioner and authorised by Attorney General o designed to ensure your privacy and the security of your information o specifies what you should know with respect to your privacy, which you can read about at psc.nsw.gov.au/gen/yourprivacy o The Identity Hub is a highly secure system that contains audit logs which shows who is accessing what information, when and from where, to guard against inappropriate access GEN and your privacy

9 o During April or May 2015 you should receive an automated email from NSW Identity Hub o contains your unique GEN and a temporary password o lets you view the information online and confirm that your details are correct o If you do not have a work email address, your HR department will instead make arrangements to inform you of your GEN o To ensure the security of the information that can be accessed through the Identity Hub, you need a work email address to log in o Make a note of your GEN and supply it when starting a new NSW government role in the future o New employees to the sector will be allocated a GEN as part of their induction process What happens next?
