2 Capacity Monitoring Principle Principle 01: Organization is a Fruitful Tree We shared with our partners about organizational Development using the image of a fruitful tree or plants. Which has life, growing, seed sowing, germinating, producing small leaves, maturing, flowering, bearing fruit, starting new trees. The roots reflect the mission, values, identity and vision. The trunk or stem reflects the systems and structures of the organization. The fruits are scattered to bring life to other members of the community.

We are, we are able Putting the goal in the present tense means the process has been started and we are on the way to achieving the goals The indicators are signposts-things needed in order to achieve the goal Learning from the history

6 A Clear Vision, Mission, Strategy and Set of Shared Values Goal Statement: Our vision expresses our purposes for existing: Our dreams, aspirations and concerns for the poor. Our mission expresses how we reach our vision. Our strategy expresses the approach we use to accomplish our goals. The shared values that we hold create a common understanding and inspire us to work together to achieve our goal.

7 A Clear Vision, Mission, Strategy and Set of Shared Values INDICATORS: Programs are relevant to the needs of the people, are effective, and reach our target population. Plans match desires of organization, and are actually followed There is a yearly or a six month plan that is checked monthly Staff, partners and board members can express the organization’s values Operations/activities are within the vision, mission and goal of the organization There is unity in mind, heart and action between the staff and the board.

8 Legal Identity/Government Registration Capacity Goal Statement: We have an approved Management Committee in our organization, Which gives necessary direction, makes plans, supervises and maintains quality and remains liability/accountable for development of overall situation of the organization.

9 Legal Identity/Government Registration Capacity Indicators: The Management Committee understands members roles and responsibilities, the organizations finances and policies that are in place Policies and decision making are done by the Management Committee. There is freedom to express one’s ideas (among members and between management committee and members. Policies are in place to assure there are regular meetings The Management Committee needs and includes local leaders

10 Legal Identity/Government Registration Capacity The Management Committee knows when to provide direction to the leaders 50% of the management committee members are women Management Committee regularly monitors progress and evaluates the program and leaders A long range plan is submitted to the government

11 Steward Leadership Capacity Goal Statement: We have service-minded leadership in our organization. Through this type of Leadership we undertake programs and empower the people through everybody’s participation to achieve our goal and objectives

12 Indicators: There is skilled or capable leader and she/he gives proper leadership Every one has a clear idea about the program activities, vision and mission The leaders have service mentality The election is held with everybody's participation The leaders are committed to the philosophy and goals of the organization.

13 Steward Leadership Capacity Indicators: We hold meetings regularly We evaluate our program activities regularly There is arrangement of training for skill development of the leaders The leaders solve problems and cooperate with others to solve problems We look for various sources for collection of resources There is equal opportunity of expression of opinion There is scope for building, alternative leadership

14 Human Resource Development Capacity Goal Statement: We maintain continuing development process by creating necessary opportunities and environment for the welfare of our organization as well as for the people of the society.

15 Human Resource Development Capacity Indicators: Resource prepared as per need of everybody Responsibilities are distributed according to the skills and efficiency There is skilled manpower for monitoring and evaluation of the projects Proper training are arranged as per need of the staff and they utilize acquired knowledge and experience There is scope of sharing of ideas/experiences with everybody There are reports of the activity-results Regular feedback is given after

16 Management Systems Goal Statement: We implement policies and practices which ensure that the organization uses its resources effectively:- 1.To achieve it’s vision and goals 2.To choose appropriate strategies and programs 3.To report, measure and evaluate results We utilize a process and structure which involves participation of all members

17 Management Systems Indicators: Randomly selected “samples” of poor communities are interviewed and monitored annually to assess community perspective on program success There is clear accountability and regular monitoring There is an accurate reporting of activity results The management systems is transparent and easily understood There are good reports-easy and simple to understand There is much flexibility –a fluid and responsive mechanism which enables us to adapt quickly to new information and changes in the environment There are clear lines of staff accountability

18 Networking Capacity Goal Statement: We establish and maintain a good relationship with different institutions/organizations with the aim of making our programs dynamic

19 Networking Capacity Indicators: There is a clear understanding and communication of vision and priorities There is good communication with other people’s organizations by mail, meeting There is an adequate and helpful number of meetings and time spent with other local GO and NGO’s Joint training & exchange visits take place Networking members have a current lists of resources available Leaders are capable of obtaining resources

20 Gender Participants Goal Statement: Gender (male-female) equality value-base is Established in our organization in regards to education, training, representing programs, decision making and in all spheres of development

21 Gender Participants Indicators: There is an even ratio of men and women on management committee/sub-teams Organization looks at community level gender issues There is a participation of women at all levels of organization There is equal access to education and shared responsibilities between men and women Men and women are involved equally in decision making Men and women help each other The organization has a gender policy and plan for implementation.

22 Financial Capacity Goal Statement : We have a flexible, accountable and transparent Management system for running the financial activities of our organization, which helps us in collecting funds from local and outside sources and also for its proper utilization

23 Financial Capacity Indicators: We have a good accounting system and financial policies in our organization, which are reviewed and updated when necessary The organization has a bank account and maintains regular financial transactions Regular audit is done and the information is properly maintained/preserved There is a discussion session on the financial reports after the audit An annual budget is prepared and the expenditures are made accordingly There is a Revolving Loan Fund for income generating activities (IGA) There is a transparent accounting system The organization submits proper financial reports to the authority
