Serin CNRS/IN2P3 AIDA First Annual Meeting 2 AIDA key events in 2011 AIDA officially started on 2011 Feb 1 st with kick-off meeting at CERN on Feb 16-18 th  set up organization and clarify activities AIDA internal consortium has been implemented Pre-financing has been delivered in May-June 2011 Some first milestones/deliverables already achieved First Interim Activity report in March 2011 (to be approved at Governing Board meeting this afternoon) First annual meeting at DESY in March 2012

6 L. Serin CNRS/IN2P3 AIDA First Annual Meeting 6 Management issues Task leaders have been identified in each WP in collaboration with WP coordinators. Identify the need of a co-coordinator with M. Moll to lead the numerous WP8 activities (  G. Mazzitelli today) Availability of suitable man-power at RAL for WP4 activity  in agreement with RAL, discharge them from this commitment and reallocate EC funding to CERN (to be used for WP4 workshop) C. Parkes moving from Glasgow to Manchester  Transfer some of the Glasgow commitments to Manchester with some EC funding : Manchester new AIDA full partner Discuss new associate partner (Rudjer Boskovic Institute, Croatia)

Serin CNRS/IN2P3 AIDA First Annual Meeting 7 Interim Activity Report Efficient feedback of all WP coordinators, task leaders and Institute representatives (only two missing) A few comments received and implemented. Document to be approved this afternoon Basis document to be used for first periodic report to EC (July 2012)

Serin CNRS/IN2P3 AIDA First Annual Meeting 8 Scientific activities (I) Scientific activities had various starting/learning phases : -Some activities well established : continuation of EUDET or based on existing proto-collaboration (mainly WP9, and WP2)  Good but need to move further within AIDA framework (meeting in indico, scientific notes, reports…) - Some other activities need more time to build a new community across existing projects (all LHC experiments, LC projects,….) (WP3, WP4, WP8.4,5, WP9.3)  All activities successfully started -Trans-National Access facilities : going well  no users support requested on site for irradiation, only components sent. Need to review for KIT/JSI sharing between users support/local support and beam irradiation allocation

19 19 EU payments for AIDA Pre-financing = 60 %, of which 5% withheld (for FP7 Guarantee Fund, to be reimbursed at the end) Effective pre-financing = 55% of the 8 M€ of which 60% (33% of the total EC funding) was paid to each participant (pro-rata to project share) at the start and the other 40% should be distributed after the 1st Annual GB meeting Second EC payment: at M18 + 2 + 3 (reimbursement of costs for the first Reporting Period) ~ 30% assuming uniform spending profile, (limited by 85% of the 8 M€) Third EC payment (limited by 85% of the 8 M€): at M36 + 2 + 3 ~ 0% Final EC payment (10% + 5%) – after the Final Report is approved M1M18 1st Reporting Period 55% 30% M36 2nd Reporting Period M24M48 3rd Reporting Period 0% M42 10% M3 5% AIDA Governing Board meeting, 30 Mar 2012

22 22 AIDA Governing Board meeting, 30 Mar 2012 WP Periodic Report for P1 WP Coordinators assemble and send to the Coordination Office the P1 Periodic Reports for their WP by 31 August 2012. Interim Activity Report from M12  9 The Coordination Office prepares the P1 Project Periodic Report, send it to the StCom for approval by 20 Sept 2012 and then the report should be submitted to the EC by 30 Sept 2012. StComEC Task Coordinators use the annual Interim Activity Report (M12) and produce a P1 Periodic Report for their task by 31 July 2012. 24 L. Serin CNRS/IN2P3 AIDA First Annual Meeting 24 Meeting/documentation A lot of work achieved this first year but : -Need a better use of AIDA Indico to record meetings (WP9 !). If meeting is organized under other project, please link it to AIDA -Documentation/internal notes : only a few ones in 2011. - Publication/conference proceedings: please add statement about AIDA support (standard sentence is existing), and upload/link the paper to AIDA -Lively AIDA web site only possible if you provide photo, information, workshop announcement….. We need to improve it !

25 L. Serin CNRS/IN2P3 AIDA First Annual Meeting 25 Conclusion Successful WP4 workshop (>80 participants, feedback is needed), and tutorial with excellent talks from P. Collins, D. Eckstein & H. Graafsma) (>35 participants) More than 120 participants to the meeting Many presentations and all activities now started Excellent collaborative atmosphere. Minor delays on some deliverables or resource utilization but only due to low start-up First periodic report this summer is a critical step in our project
