1 Cornell Information Technologies Information Systems/Data Delivery ACTUATE RETIREMENT PROJECT ASPC UPDATE 12/7/06 Objectives Primary - Retire Actuate Reduce operational support costs to free up funds for new investments Simplify the architecture Secondary – Rationalize use of other data delivery channels Assumptions No new infrastructure or infrastructure services will be required. - Hyperion/Brio, Web Financials & HR-Online, collectively will fulfill all requirements for current Actuate production reporting. Analysis will be somewhat light because we assume that very few new information requirements will surface. The logical security & distribution (bursting) model in Actuate can be realized without changes to the successor architectures. Business "owners" can be identified for each report & they will assume responsibility for aligning report recipients and acceptance signoff. We expect that Central Offices will choose to utilize their existing delivery mechanisms, e.g., HR Online & Web Financials, for replacing some of the current Actuate reporting. Approach This will be handled largely as a "port" from one technology to another. "Reports" will be delivered on-line, dynamically with the option to download and print or generate delimited files. Timeline Complete conversion by 2007/04/01. – This date has been selected as the earliest practical date. We currently have risk exposure in several categories. We are currently on unsupported software. Returning to support would require paying $120,000 in maintenance fees and upgrading to a supported version. Actuate server hardware is 5 ½ years old and needs to be retired. 1

2 Cornell Information Technologies Information Systems/Data Delivery Scope In Scope: Replacement of all Actuate reports/datasets utilized by & provided to HR, Payroll, Accounting, Cornell Cooperative Extension, & Student offices. Review of information requirements & delivery requirements Design of alternative means of delivery for that information Implementation of alternatives Provisioning of required access to data historically delivered via Actuate User training on newly supplied alternatives CIT and user testing of newly supplied alternatives Customer acceptance Identification and resolution of any infrastructure requirements If existing infrastructure will be used: evaluation & resolution of new or increased usage. If new infrastructure: Procurement of soft or hardware, implementation, & production hand-offs Training Etc. Complete decommissioning of Actuate infrastructure. Out of Scope: Replacement of Pinnacle, aka, Telecom Actuate reports/datasets Remediation or maintenance improvements of reports/datasets already implemented (as of Initiation of this project – 11/06) to replace past Actuate reports/datasets. 3 Cornell Information Technologies Information Systems/Data Delivery ACTUATE RETIREMENT PROJECT ASPC UPDATE 12/7/06 Project Management Approach Diagram below depicts the project’s cycles as we currently expect them: 3 Initiation activities will conclude only after the level of analysis has been performed to ascertain who should be involved in the project & in what capacity. A Business Analysis phase will be front loaded with activities required to identify and confer with key business owners and subject matter experts to validate Functional Specification documentation which will, by business category, be signed to confirm requirements and agree on the scope of the project. Lighter business analysis activities will continue until efforts to develop replacement reports/datasets have progressed to the point where business owners can be clear on what the delivery mechanisms will be.

Technical Analysis will ensue based upon the results of the front-load of the business analysis phase. This phase will deliver the architecture for replacement of each report. Heavy emphasis on the early stages of business & technical analysis will be placed on developing a clear and accurate project schedule. Based on that schedule, the “final” draft of the Project Plan to be circulated for signature will be produced. The circulated plan will include a schedule for replacement of each category of reports/datasets and an outline of the high level business & technical tasks required to do the work. The implementation task lists will look something like this: CIT draft Functional Specifications Business “Owners” approve Functional Specifications CIT architect replacement solutions CIT publish solution descriptions to business owners CIT work with business “owners” to schedule replacement of reports/datasets CIT develop replacement reports/datasets CIT perform testing of replacement reports/datasets Business “owners” coordinate acceptance testing of replacement reports/datasets CIT schedule elimination of Actuate reports/datasets Formal project Closeout will begin following: 1.Rollout to production of the replacement reports/datasets 2.Decommissioning of the existing Actuate reports/datasets 3.Shutdown of Actuate 4
