5 © Execview Ltd 2015: all rights reserved Glossary LayoutSystem generated layouts that consist of sections that are filled with topic views Topic View‘Data blocks’ that are added to scorecard layouts to determine what should be shown in that section of the scorecard layout TemplateUser defined scorecard template that consists of a specified layout and associated topic views

7 © Execview Ltd 2015: all rights reserved Template Library Manager This option allows the user to do two things: – Create/amend the scorecard layout / – Choose which topic views are displayed in the layout – The combination of these two actions creates a scorecard template

8 © Execview Ltd 2015: all rights reserved Template Library Manager Creating or amending a scorecard template: Refresh Frequency: how often the scorecard should be refreshed and saved without manual intervention [dd.][hh:mm:ss] e.g. if every 7 days, enter 7 but if every 10 hours enter 0.10:00:00 Width: Single width = A4, double width = A3

9 © Execview Ltd 2015: all rights reserved Template Library Manager Click ‘Change’ to choose the system defined layout for the scorecard template Clicking on ‘Select’ to the left of each template will choose that layout for you Each box with a cog and blue icon represents a topic view Single or double lines between topic views indicate whether or not the topic views will ignore any empty topic views or observe the alignments regardless

10 © Execview Ltd 2015: all rights reserved Template Library Manager Once the details have been entered, click Save to save the basic scorecard template This will now appear as a row in the Scorecard Template Manager section Select the ‘topic view’ icon to change the current topic views displayed on the scorecard.

11 © Execview Ltd 2015: all rights reserved Template Library Manager To change a topic view in a particular slot, select the title of the one to be changed. N.B. initially these will all say ‘Not Assigned’ Once selected, a list of available topic views will be displayed. Hovering over the topic view title and description displays an example image and help text describing it’s functionality and settings. Click the topic view title of the one required to replace the current assignment. Once saved, a scorecard template has been created Hovering over a Topic View title displays an example image Select a Topic View title to open list of current views available Hovering over the description displays help text about the functionality of the topic view

12 © Execview Ltd 2015: all rights reserved Scorecard Set Manager This option allows the user to assign a scorecard template to an activity type – this means the template is then available to all activities of that type Without doing this, the scorecard template cannot be used Select the activity type from the drop-down list. Choose an existing scorecard from the drop-down beneath the layout. Once selected, click the green icon to add the scorecard to those configured on the activity type. This scorecard will now be available for that particular activity type – but to administrators only. To edit the name of the scorecard template and default appearance settings, click the edit icon. To remove the association between the activity type and scorecard template, click the delete icon. Select the activity type the scorecard template should be applied to Select this icon to add new scorecard Select this icon to edit - change scorecard title and amend appearance settings for this scorecard type only Select this icon to remove this scorecard from the selected activity type

13 © Execview Ltd 2015: all rights reserved Default Appearance Settings This feature allows the user to amend the display settings for all scorecards created The following options can be set: – Font size – Font family – Font style – Scorecard font colour – Scorecard background colour – Topic view background colour Note: these settings can be overridden at the scorecard type level or at an individual topic view Use the colour picker for background and font colours

14 © Execview Ltd 2015: all rights reserved Controlling Access Once Scorecards have been assigned to different types of activity, they are still not visible to ordinary users. To make a scorecard visible you must Publish it. Do this by opening it and clicking the red dot in its heading tab to make this dot become green. If you want – as an administrator – to make significant changes to a scorecard, and save it several times before completing your work, you may find it useful to make the scorecard publish dot amber. Do this by clicking it once when it is already green. Normal users will now be shown the last-but-one version of the scorecard, and prevented from saving any new version. To prevent access completely, return the scorecard to the red publish mode by clicking the dot when it is amber.

16 © Execview Ltd 2015: all rights reserved Scorecard Favourites Users can create their scorecard favourites from the Home Page for easy access to them via the navigation menu

17 © Execview Ltd 2015: all rights reserved Scorecard Access Scorecards can be accessed via the Scorecards menu from the navigation bar (see previous slide) or via the Tracking section when within an activity Each menu tab displays the last saved version of a different scorecard. The scorecard currently selected is shown in blue. To view other scorecards, simply click their titles. Hovering your mouse over the “cog” shows additional options. Some may be greyed out/not visible if you don’t have access to them.

18 © Execview Ltd 2015: all rights reserved Scorecard Menu Refresh: updates the scorecard without saving a copy Useful when trying new settings or formats Refresh and Save: updates and saves a copy of the scorecard Kiosk mode: displays the scorecard in full screen mode without the cogs on the topic views Archives: Displays a list of saved scorecards (date and time stamped) Import/Export Settings: Used to copy formats between scorecard templates – this includes fonts, titles, logos and formats and can only be used on the same scorecard template between activities

19 © Execview Ltd 2015: all rights reserved Topic View Settings Each topic view has a cog in the top right corner which when accessed displays settings that can be used to control what is displayed and how The topic view will have two sets of settings: – Topic View Settings: Common to all topic views with only slight variations. Includes title, description, default appearance settings etc – Other Settings: These are settings specific to each topic view

20 © Execview Ltd 2015: all rights reserved Topic View Settings Other Settings let users choose things like: – Which specific or which types of items to display – What order to display them in – How many to display These settings vary significantly between topic views so won’t be covered in this pack, however, the Execview Scorecard Topic View Catalogue provides further details for each topic view You can hand-pick what you want the scorecard to show by ticking only specific items you want in the selector at the bottom of the topic view settings (if relevant) Alternatively, if you leave everything in the selector unticked, the topic view will pick a number of specified items automatically for display: – The number displayed is set by the “Top Records for Automatic Selection” setting in the Topic View Settings section

21 © Execview Ltd 2015: all rights reserved Drill Down Most data in a topic view can be clicked to reveal more detailed information Execview maintains data is various forms: KPIs, risks, issues etc. These are listed individually when you “drill down” from scorecards Some data is loaded into Execview from other systems, e.g. a helpdesk call management system. Other data is keyed in manually – in which case there is usually less detail available.
