5 PearsonAccess Overview The PearsonAccess website (http://www.pearsonaccess/mn) is the portal to all Pearson services used by the Minnesota school districts. Use this site to access test administration activities, training, and other resources.

6 SIGN IN to PearsonAccess DAC accounts are created by Pearson from MDE-org. Helpful links for user IDs and passwords

7 Secure Home Screen All views in PearsonAccess are dependent on user role permissions. See the PearsonAccess User Role Matrix on the Resources page to see the tasks and features that each user role is able to access.

8 OLPA 2015–2016: last test administration in PearsonAccess – All future administrations will be in PearsonAccess next starting with MCA and MTAS 2016. Manual registration: manually add students to a test session – Self-registration will NOT be used. – Main and accommodated students can be in the same test session. – Student Authorization Tickets can be printed from PearsonAccess. Mail merge and other manual work is no longer needed. NEW for 2015–2016 New!

10 Upcoming for 2016 PearsonAccess next is a web-based technology platform and portal to access all Pearson services used by the Minnesota school districts. PearsonAccess next is more task-based and shopping-cart oriented. There are three main sections: Setup, Testing, and Reports.

11 Technology Configurations

12 Using Technology Configurations, you can manage proctor caching computer configurations and saved response file locations. Sign in to PearsonAccess Select Test Setup > Technology Configurations

13 Configurations created in 2014–2015 can be reused for fall 2015 New TestNav settings can be added to existing technology configurations to add more proctor caching workstations Obsolete TestNav settings can be deleted to remove workstations no longer available for proctor caching

14 Technology Configurations See the Saved Response File (SRF) and Log File Locations page on the TestNav 8 Online Support page for further details. Specify proctor caching settings Configuration Name, IP Address, and Port. Specify the saved response backup locations. The default location is the student’s home directory but you can specify a different location by deselecting the Use Default Location check box. It is strongly recommended that you specify a secondary save location. When complete, select Continue.

17 ProctorCache Setup There are four main steps involved in Proctor Caching. The first two setup steps can be done at any time. 1. Install the Proctor Caching software 2. Set up technology configurations 3. Pre-cache (download) the test content (2 weeks before testing) Online test sessions must be created prior to proctor caching. 4. Run Proctor Caching (during testing) In order for proctor caching to be successful, the proctor caching machine must be on AND the software must be running during testing.

18 Proctor Caching for 2015–2016 New version – ProctorCache 2017.1.17 1.Purge any previously downloaded content from prior administrations. 2.Uninstall prior versions of ProctorCache software and reboot the caching machine. 3.Install the new version. View the Set Up and Use ProctorCache page on the TestNav 8 Online Support page to find the installers for both PCs and Macs (PearsonAccess > TestNav 8 Online Support (under Quick Links) > Set Up and Use Proctor Cache). Set Up and Use ProctorCache Prior versions of the Proctor Caching software are not supported for use with TestNav 8. New!

20 Important Dates OLPA testing dates: October 19, 2015 – February 19, 2016 Create test sessions and proctor cache: October 5, 2015 (2 weeks before testing) Start test sessions: October 19, 2015 (1 st day of testing)

21 Change Test Administration Confirm you are viewing the OLPA 2015-2016 test administration. Select OLPA 2015-2016 to be your default. Demonstration to follow

22 Create a Test Session Creating a test session is the same process from last year EXCEPT that you need to manually add students to the test session prior to the student signing in to test. Adding students to a test session can be done at the same time you are creating a test session OR after a test session has already been created.

24 Student Eligibility All students in your district for which Pearson has received eligibility for the grade and subject of that test session (e.g., Grade 7 Mathematics OLPA) will display as an option to select and add to that test session. From the Important Date Sheet: 2015–2016 MARSS data must be submitted in order to have student information and test eligibility sent in precode files for OLPA. In order for students to be loaded in PearsonAccess for online testing, any MARSS enrollment updates must be submitted at least two business days in advance. Once MARSS is submitted to MDE, that data is gathered overnight and is available the next day in Test WES to make changes in Precode Student Eligibility (e.g., changing schools). Any changes made in Precode Student Eligibility will be sent in the next precode file and be typically reflected in PearsonAccess the next day. Districts can go to Sent Precode in Test WES to view the list of the students included in the precode files sent each business day.

25 Change Form Group Type After students have been added to the test session, but prior to testing, if one or more students in a Main test session need an Accommodated form group type, you can change the form group type by student without setting up a separate Accommodated test session. You can only change a student’s form before they sign into their test. Once the student signs into the test, you can no longer change the form. Demonstration to follow New!

26 Student Authorization Tickets Demonstration to follow You can print Student Authorization Tickets directly from PearsonAccess after students are added to the test session. Tickets will include the student’s username and password to sign in to TestNav. New!

27 Pre-Cache Test Content

28 From the Pearson Proctor Cache Java Applet, select Run. The message “Testing your connection to the proctor caching computer…” will briefly display. Pre-Cache Test Content

29 Proctor Caching will determine which form(s) are needed for the test session and display the estimated size of the content, along with the estimated time to download. Select Next to continue. NOTE: For sessions that do not have any students, proctor caching will download ALL forms for the form group type selected. Pre-Cache Test Content

30 Content will be downloaded and a new window will open with the Monitor Proctor Caching page to indicate the status of the download. This page will provide the ability to Refresh, Reload, or Purge selected tests that have been pre-cached. Pre-Cache Test Content

31 To change the password used for reloading, refreshing, or purging content, select the Settings tab. Enter the existing password and then provide the new password and re-type the new password to confirm the change. New! Change Proctor Caching Password New feature for 2015–2016 Proctor Caching
