PARCC Spring 2016 Test Administrators, Proctors, Technology Coordinators & Support Staff Training Orange Public Schools

Agenda Roles of Individuals TA Responsibilities Test Security & Security Protocol Building’s test schedule Teacher assignments Room Assignments Student list Managing Test Sessions

Roles of Individuals Local Education Agency (LEA)/Test Coordinator- individual at the LEA or district Level who is responsible for overall coordination of test administration. (Kathryn Carter, LEA/TC & Tia Burnett, Back up). School Test Coordinator (STC) – individual at the school level who is responsible for the overall coordination of test administration. Test Administrator (TA) – Induvial at the school who is responsible for administering the assessment (employed by the LEA as a teacher, school level administrator, or other certified educational professionals). Proctors – individual who may be called on to help a TA monitor a testing session under the supervision of the TA. Technology Coordinator (TC) – individual at the school level responsible for setting up testing devices for computer-based testing. There should be minimally one TC on-site during test administration.

Test Administrator Responsibilities Everyone is training to be a TA (just in case) Receive training in administering test sessions properly and securely. Administer all tests according to appropriate protocols. Focus full attention on the testing environment at all times during testing. Ensure that students do not participate in cheating. Do not provide assistance to a student that could impact his/her answers. Follow proper test security procedures for providing accessibility features and accommodations. Follow chain-of-Custody requirements to return all test materials after testing Test Irregularities must be reported to the STC immediately and TA must complete a Test Irregularity/Security Breach form

Test Administrator’s (TA) Responsibilities Read the test script verbatim (TA manual can be downloaded from http://avocet.pearson.com/PARCC/Home). http://avocet.pearson.com/PARCC/Home Distribute computers, student tickets, scratch paper, & reference sheet at appropriate time (secured material) Write start and stop times on a sheet or board Actively monitor students – circulate throughout the room Refresh the TA Computer for accurate view of Student Status (Managing Test Sessions) No personal use of cell phone in testing rooms – emergency contact with STC

Security Forms: Testing Irregularities and Security Breaches Electronic devices (exception: TC, STC, TA and Proctors in case of emergency) Test Supervision Coaching students during testing Engaging in activities that prevent proper student supervision Leaving students unattended for any period of time while testing or secured material are distributed Deviating from test time procedures Allowing cheating of any kind Provide unauthorized persons with access to secured materials Unlocking a test (in PearsonAccessnext) during a non-testing times Failing to provide documented accommodations or provide accommodations that are undocumented Allowing students to test before or after state’s test administration window

Security Forms: Testing Irregularities and Security Breaches Test Materials Losing a student's testing ticket Leaving test materials unattended or failing to keep test materials secure at all times Reading or reviewing the passages or test items before, during, or after testing Copying or reproducing any part of the passages or test items or any secure test materials or online test forms Removing secure test materials from the school’s campus or removing them from locked storage for any purpose other than administering the test Testing Environment Allowing unauthorized visitors in the testing environment Failing to follow administration directions exactly as specified in test Administrator Manual Displaying testing aids in the testing environment (i.e. bulleting boards, containing relevant instructional material) during testing

Preparing Testing Environment PARCC Suggests: Seat students in every other seat Arrange monitors back-to-back Seat Students back-to-back Seat students in a semicircle Seat students in widely spaced rows or every other row If ideal appropriate seating configuration is not possible, physical and visual barriers between test devices should be used to prevent students from viewing other monitors.

Building Testing Schedules &Logistics Teacher Assignments Room Roster Bell schedules for testing days In schedules for testing allot 20 additional minutes for distribution and collection (i.e. 90 + 20 + 110 mins) Share building security plan with staff

TA Responsibility During testing TA logs in to pearsonaccessnext.com Students log in via TesNav Distribute secured materials (to appropriate students) and read script verbatim Provide students with the entire time for testing Keep time and post it on board or paper (do not post time or TA dashboard on smartboard) Maintain Security Supervise test administration Manage Test Sessions (see next slide) Ending each unit by having students logout of TestNav

TA Responsibility During Testing: Managing Sessions Manage test sessions (Pearsonaccessnext.com) Testing: Click on the dropdown arrow and choose Sessions Find the Search button - click on the drop down arrow - click the “show all results” box Click on the boxes for the math session assigned to you Click on the link next to Sessions (top of blue fields) “Go to Students in Session” Start each session by clicking on individual session boxes(combined view allows you to see all students in assigned sessions you’ve checked) Actively monitor students & keep accurate time

Managing Test Sessions: Student Statuses During Testing Ready – The student has not yet started the unit. Active - The student has logged in and started the unit. Exited – The student has exited TestNav but has not submitted test responses. (Student cannot resume testing unless authorized by the Test Administrator) Resumed – The student has been authorized to resume the unit. * Resume a unit when a student exits a unit (either intentionally or unintentionally), before finishing the unit and you want the student to continue the same unit. * Only students in Active or Exited status can be resumed. Student in Ready, Completed, or Marked Complete statuses cannot be resumed Completed – The unit has been submitted by the student through TestNav and has been processed. Marked Complete – The School Test Coordinator must mark a unit complete when the student has exited TestNav and will not return

TA Responsibilities During Testing: Reading Script & tracking test interruptions TA’s are required to read the script boxes in the manual “Say This:” TA may clarify after entire script has been read (no clarifying test items) TA must inform the students of how many minutes left in test unit - update timing if adjustments must be made do to technology errors or interruptions Keep notes of all interruptions and times for completion of an irregularity report. Before removing a student from the test environment and irregularity report must be completed and student brought to the TC. Directions only may be given in native language if providing an accommodation to EL

Breaks During Testing Restroom breaks during unit – No more than one student at a time allowed to use restroom, and students must be supervised Classroom stretch break during unit – Up to three minutes during testing Breaks between units – If administering 2 units back-to-back, students should be allowed to go to bathroom, stretch and get a drink.

Guidance for Troubleshooting If accommodation is not appearing correctly – student exits and contact STC Student exits TestNav (unintentionally or intentionally) before completing a test: Verify that TestNav is shutdown for student (Status- Exited) Resume the student’s test in pearsonaccessnext Technology disruption – note time remaining at start of disruption and adjust student’s time accordingly Move student to another device and adjust time to account for delay If no other device available, Inform STC and dismiss student. Incident must be documented If it disrupts multiple students, pause testing in room till resolved. Resume testing and adjust time (document)

Thank you for your time and attention Please sign and date the Security Agreement Form and submit to Coordinator before you exit.
