10  Current application process is homegrown, requires extensive maintenance  PDF generation process cannot be maintained and will break down in future (6 mos? a year?)  Registrar’s Office began examining options in February to move away from paper-based process

12 CURRENT  Electronic data converted to paper for routing/approval, then manually updated back to electronic – creates data entry and duplication errors PAPERLESS  Electronic data stays electronic – more efficient, less prone to errors

13 CURRENT  Paper application can be printed multiple times, faxed, copied, etc. – results in duplication, out-of- date documents, and confusion PAPERLESS  Only one application exists – user confident in viewing the most up- to-date version and avoids time spent comparing documents for changes

14 CURRENT  Paper application routed to many people, easy to lose on a desk, student cannot be certain of current status or location of application PAPERLESS  Student notified as application moves through approval steps, can’t be “misplaced,” can easily locate and remind if a step gets delayed

15 CURRENT  In Registrar’s Office, paper form kept filed in drawer, handwritten notes used to track changes and unfulfilled requirements  In College Offices, more drawers of paper PAPERLESS  Application status codes used to track, sort, and quickly report types of requirements to be fulfilled  Degree Audit notes provide archived detail to student, advisor, College Rep, Registrar’s Office

16  Banner/VandalWeb Baseline Graduation Application  replaces student application and PDF creation and print steps  Workflow Electronic Approval  replaces carrying/sending/faxing/etc. printed paper application around campus  Reporting and tracking solutions (Degree Audit and Argos?)  replaces paper sorting and error-checking, list/spreadsheet-keeping

17  General theme: use “baseline” Banner products as much as possible, eliminate UI- coded “mods” that require extra maintenance  Maintenance/enhancements already paid for, UI technical staff already overburdened and not readily available for fixes  Benefit of shared experience and advice from peer institutions

18  Electronic approval/error-checking process  Routed from student submission → college representative → Registrar’s Office  Email sent to advisor(s) when student submits application  Additional approval steps and methods will be at discretion of college reps and specific departments or advisors

19  Two main reasons:  Difficult to determine correct recipient ▪ Advisor information not accurate for student ▪ Multiple majors/departments under one degree ▪ Different rules by college/department ▪ Identity management within Workflow  Approval vs. rubber-stamping ▪ College reps identifying many/most issues and resolving? ▪ Applications delayed in multiple routing steps without issues resolved ▪ Coded application process serves entire University, tailoring done at college/department level if necessary

20  Workflow approval/Banner application status will enable detailed tracking and reporting abilities  Can better identify/create solutions for common delays  Sort to a common type of problem (substitution needed or transcript missing, for example) and resolve many at once

22  To graduate in August or December, apply before end of prior Spring Semester to avoid late fee  To graduate in May, apply before end of prior Fall Semester to avoid late fee  This year’s deadlines:  For Spring 2013 graduation, apply by December 14, 2012  For Summer or Fall 2013 graduation, apply by May 10, 2013
