How to Make a Schedule

Opening Activity (Video) 1. Is it okay to call in sick to work if you woke up one morning and just did not feeling like going in today? 2. If you choose to call in sick, what implications does that have on my employer? 3. How many sick days does the average employee have each month/ year?

Objectives Identify the important components in an employee schedule. Create a schedule that will allow for the best store coverage and customer service within the constraints of employee availability. Determine peak business hours and appropriate floor coverage to maximize customer service and labor cost. Hypothesize how you could adjust to daily challenges of schedule changes.

Key Terms Labor Cost Employee Number Floor Coverage Peak Hours Budget Employee Availability Sick Days

Components of an Employee Schedule To and from dates Employees name /number Start and end time of each shift with total hours. Total hours per employee, per week. Total hours including all employees Note: Today most employee schedules are done on a computer program but it is important to understand how they are created. The computer program would also compute the total labor cost.

Why are schedules important? The right employees are working when the customer are shopping = higher sales and customer service. Needed to give breaks and lunches. Good store coverage cuts down on theft. Scheduling employees when they are needed and during peak hours will save money and increase sales.

Budgets As a manager of a store or department you are required to work within a budget. You will either be given a total amount of hours or a dollar amount for one week. Sometimes schedules have to be adjusted during the week in order to come in on budget /labor costs. Example: Suzie’s 8 hour shift at $8.50 per hour x 8 hours cost the company $68.00. Her total for the week is $340.00.

Are you ready to use your management and critical thinking skills to create a schedule?
