Proposal: Use of ECRs for “Controls” Changes and Renovations Rende Steerenberg, Samy Chemli, Marine Gourber-Pace, Klaus Hanke, Verena Kain, Bettina Mikulec, Marc Vanden Eynden,

CO3 Mandate (some citations) Ensure a common controls ‐ wide strategy between operations, equipment groups and controls groups. Coordinate the controls activities to maximize effectiveness and avoid duplication of work or services Act as the platform for the approval of standard hardware solutions and software tools and define their introduction in operations and their evolution to support the operations of the Accelerators. Identify current and future activities and projects, which may incur significant controls effort and/or impact. Prioritize these activities and propose a planning acceptable for all parties. 17 september 2015 CO3 - "Controls" change Management3

How was it done for LS1 ? For the ACCOR renovation during LS1 EDMS document per equipment group were drawn up by the respective Machine Controls Coordinators. Collaboration between equipment group, BE-CO and BE-OP Much appreciated and thus very good starting point Should have gone a step further in defining more precisely the expected and provided functionalities and steps to take for implementation Therefore, continue this approach and further enhance the process 17 september 2015 CO3 - "Controls" change Management4

How ? Centralize all “controls” renovation plans in CO3 (input from groups) CO3 decides which ones require documenting (ECR) Form small teams to work out the specification and milestone schedule: Technical Leader (person from equipment group concerned) BE-OP machine responsible/representative BE-CO machine controls coordinator Take into account “the big picture” and include all dependencies and steps CCDB, LSA/InCA, Appl., Naming conventions, specialist and OP needs,…. Write this up in an ECR type document for approval Quite similar to the HW baseline ECRs, which should not be too heavy !!! 17 september 2015 CO3 - "Controls" change Management5

How to manage ECR in EDMS EN-MEF-DC (Sammy) willing to provide the EDMS framework for managing these ECRs They cannot manage these ECRs as they do for the HW baseline therefore more responsibility for CO3 and technical leader Technical leader puts ECR document in EDMS and ensures follow up of engineering check and inclusion of feedback Technical leader informs CO3 of readiness of ECR CO3 schedules brief ECR review, presented by technical leader In case CO3 approves ECR it switches the document to released Once fully implemented the technical lead informs CO3 and CO3 switches document to implemented. 17 september 2015 CO3 - "Controls" change Management6

What Should the ECR Contain See proposed, but still incomplete template Inspired from HW-Baseline ECR template Separate file 17 september 2015 CO3 - "Controls" change Management7

Renovation Overview by CO3 Table on CO3 web page containing: Renovation “Project” name EDMS ECR number (including link) Group responsible ECR team members ECR/”Project” Status Defining, ECR approval, implementing, completed,.. 17 september 2015 CO3 - "Controls" change Management8

Next steps, if we agree…. Decide on the scope LHC Injectors, LHC + Injectors, All machines, otherwise ? Complete the ECR template, in particular tables, requiring input from all groups Appoint (OP) representatives Finalize with Sammy Chemli the EDMS structure, numbering, responsibilities, etc. Setup EDMS engineering check and approval lists Draw up a list of renovation plans (to setup the proposed table) …. Your input to enhance the renovation process is very important 17 september 2015 CO3 - "Controls" change Management9

17 september 2015 CO3 - "Controls" change Management10 It’s all about putting ALL noses in the same direction

Thanks
