Reasons for meetings Provide information Solicit information Answer questions Group decision making Brainstorming ideas Problem resolution Networking

What makes a good agenda? Specify date, place, starting and ending time Provide statement of the purpose of the meeting List the topics to be covered in the sequence they will be covered Identify approximate time to be spent on each topic Distribute agenda prior to the meeting

Meeting Rules Start & end on time Share all relevant information Stay on topic Silence will equal agreement No side conversations No side comments No interrupting No cellphones, smartphones

What makes a good leader ? High energy and attention to detail Good understanding of the meeting tasks and long term goals of the group Good listening skills Good insight into attendees personalities, motivation High degree of confidence Assertive, but not aggressive Good team work skills Good observation skills

Leaders Responsibilities Prepare a meeting agenda and send out prior to the meeting Provide all necessary handouts Start on time Listen carefully Prevent digressing Control conflict and hostility Go through the agenda item by item

Leaders Responsibilities Seek contribution from all attendees Monitor nonverbal communication Seek clarification and elaboration Conclude by summarizing accomplishments and “to do” items Send out meeting summary within one week of meeting

Leader Succession To avoid a future crisis in leadership succession, here are some key steps to follow. Make sure the current leader understands the importance of this task and makes it a priority. Focus on the association’s future needs, not its past accomplishments. Encourage differences of opinion. Allow challenges to status quo and support new ideas Provide broad exposure. Change responsibilities. Provide access to the group. Let up-and-comers make presentations.
