Event Management  Two of the greatest tournaments in the world  FIFA World Cup  NCAA “ March Madness”

Tournament Goals and Purpose  #1 Organize Competition  Good tournaments produce balanced competition. Climaxed by the final victory of the best team  #2 Organize Participation  Emphasize participation rather then competition  #3 Stimulate & Maintain Interest  Interest should build from first round of play to the final contest.  #4 Selection of the best team/player  To derive a winner as quickly as possible.

How To make a Large Group Work Effectively  5 procedures that could make a group work well as a team to get the job done:  A) Select people that have a genuine interest in getting the task done and reaching the goals.  B) Give committee members a feeling of ownership – they must feel that they have input in the outcome.  C) Continuity – people need to stay involved and focus on the task and if there is transition of people that it is handled easily. ( “ The show still goes on.”)

How To Make a Large Group Work Effectively Continued  D) A large group must delegate responsibility to smaller groups. ( sub committees must then take the ownership)  E) Someone to answer to – the bottom line people/person

Selection Criteria  Several Forms of tournaments exist. How does one select the appropriate tournament for a given circumstance?  Take the following criteria into thought when organizing a tournament or an event:  Allotted Time  the amount of time available for the tournament can play a role on the type of tournament you select.  For example, a single elimination tournament vs. round robin tournament

Type of activity  Golf, swimming, track & field, racquet sports, etc. Number of teams/entries  If possible, try to have even numbers of teams or multiples of 4 to make sure it runs smoothly. Facilities  Availability  Meet standards/big enough  Enough room for spectators

Running a Tournament Smoothly  These are some aspects you must figure out to make sure your event runs as smoothly as possible Schedule  Different locations  Round robin? Single elimination? Look at traveling teams?  Home crowds? Evenings?

Equipment  Mesh? Backboards? Balls? Pucks? Sticks? Officials  Availability  How many?  Minimum qualifications?  Being able to speak certain languages (bilingual) Publicity  Advertising ( businesses, radio, t.v., sponsorship)

Rules/Regulations  prepared for incidents that could happen  proper type of equipment under either national or provincial standards Basic Information  Places to stay  Maps  Modifications to rules  Places to eat  Numbers (phone/fax)  Coupons, souveniers

Results/Standings  Big enough for more then 1 person to see  will show game time and locations  Placed in common area so it is easy for people to find Supervision  There should be at least one person in charge at the event at all times. Gate  Different color tickets or stamps  different prices (student, adult, senior, family)

Set up/ clean up  Make sure to have set up and clean up staff for the event Media  Send scores to main paper on time to get into the paper/radio  Have their own station – color commentary, post game interviews, etc. Conflict  complaints on facilities  Weather could be bad  Scheduling  teams playing the same teams from their area
