ADAA R&H Workshop September, 2011 College of Engineering Recruit and Hire Workshop September 26, 2011

Agenda  Introduction  Review of CoE Procedures and Guidelines  Dual Career Issues & ADVANCE Best Practice  CRLT Players  Discussions

Timeline  August - September Start advertising process ADAA must approve ads  September-November STRIDE Faculty Recruitment Workshop (9/23, 9/26, 10/5, 10/13, 10/15, 10/28) CoE requires all members of a search committee to attend or have attended one such workshop in the last three years Departments submit candidate pool  Prior to first visit – candidate pool evaluation must occur  Submit list to CoE, Dean’s Advisory Committee on Faculty Diversity will review and approve

Timeline  April April 11: Last day to submit casebooks to the EC for Sept 1 start date April 30: Per AAU guidelines, September offers of hire made after this date require permission of the Provost of the current employer.  After April 30, requests to hire should be for January 1 start dates except in unusual circumstances  May May 20: Last day to submit casebooks to the EC for Jan 1 start date

Timeline  June June 1: Deadline on acceptance for September hires  July July 1: Deadline on acceptance for January hires  Extension usually granted if requested by candidate.

Interview Visit  Include people outside of the department – potential collaborators  Provide additional non-evaluative meeting for woman/URM candidate with a current woman/URM faculty member  Consider meeting time with students  Schedule meeting with ADAA for both Junior and Senior Hires Other associate deans if ADAA not available Senior hires also need to meet with Dean  Follow Up!

Legal Considerations  There are questions that are illegal and counterproductive for us to ask of candidates  In a 2007 study of candidates for positions at U-M who withdrew from searches or turned down offers, several candidates mentioned that they had been asked illegal and discriminatory questions about their personal lives and intentions. Faced with such questions, candidates (male and female) may feel pressured to answer with the "right" answer, and they rightfully may resent such questions.  What questions are illegal? Family status; Race; Religion; Residence; Sex; Age; Arrests or Convictions; Citizenship or Nationality; Disability.  Some of the Illegal Questions: Are you married? What is your maiden name? Do you have any children? Are you pregnant? What are your childcare arrangements?  Please keep in mind that the situation is different if the candidate brings up questions about family. Topics the candidate brings up can be discussed.

Casebook Keys  College reps Junior faculty – one per EC requirement. Senior Faculty – two per EC requirement. CoE reps must submit evaluations to ADAA and department. EC will not review offer request unless CoE rep letters are included  Letters of recommendation Senior Faculty: Minimum five ‘arm’s length’ letters from persons who are outside the present institution of the candidate and who did not work or train with the candidate at other institutions. Junior Faculty: Minimum three letters. Thesis advisors and collaborators acceptable, discourage fellow graduate students.

Approval Process  Department Approval Follow established procedure  CoE Executive Committee Approval  Provost and Regents Approval Offers to assistant professors can be extended after EC approval. Offers to senior candidates can only be made after Provost approval.

Typical Startup Packages  Funded by Department, College and Provost Summer Months: 3~4 months total  Cannot pay three months of summer in one year all in general funds Moving Expenses: 10% of Salary Student Support: 4 student years, $220,000 in Research Funds: Adequate to be well-equipped to begin research  Most new faculty members had balance at the end of the 5 th year Renovation: As needed Travel/Discretionary: As appropriate Transfer of Grants: As needed Engineering Education Workshop Funds (faculty new to teaching)  Startup grid and offer letter require CoE approval – Please work with Bekah Ashley

Best Practices  Dual Career Program  ADVANCE Handbook for Faculty Searches and Hiring  Candidate self reporting  Opportunity Hires Continue to be aggressive in  ADAA provides travel supports to women and URM speakers in department seminars  If candidate interested or indentified, send CV to EC for approval before formal interviews Provost’s Office Support

Resources  ADAA Office:  Dual Career: x.html x.html  Advance: Rebekah Ashley Managing Director of Academic Affairs Position Descriptions, Offers and Packages
