2 Objectives By the end of the course you will be able to: State the importance and value of maintaining accurate records and accounts. List the records that need to be maintained within the Group and Section Keep records in accordance with the provision of the data protection act Explain the financial responsibilities and procedures which occur within the Section and the Group Outline the insurance arrangements for Sectional activities Detail the accident reporting procedures

3 Data protection act (1998) Purpose: To protect the right to privacy of individuals Data:- Information –held on computer, –manual filing, –readily accessible Personal data:- –Living subject –Identifiable from data Data controller:- person who determines the purpose and manner for which personal data is used

4 Data protection and Scouting Data controller is relevant Exec HQ registered under 1984 act Scout units exempt as “not for profit organisations” Exemption covers: –Records on Members of Association or individuals in close contact –Only data for establishing or maintaining membership or to provide regular contact

5 Data protection and Scouting Scout unit must ensure the individual: –Does not object –Is told what information will be held –Is told that information will not be disclosed outside the Scout Movement without permission Form AA has a consent statement Data must not be kept after relationship ends Data must be kept secure If in doubt, obtain consent

6 Charities Act Scout Groups / Districts come under the requirements of the Charities Act Exec are the Trustees Trustees responsible for ensuring that the charity is: –Administered responsibly –In accordance with POR and legislation –Assets are properly insured, managed and protected –Finances are correctly accounted
