Green Recovery And Reconstruction: Training Toolkit For Humanitarian Aid ORGANIZATIONAL OPERATIONS Session 4: Engaging Staff and Monitoring

Engaging Staff and Monitoring for GREENING

Learning Objectives  Understand the roles and responsibilities needed for GREENING  Starting a “GREEN team”  Explain options for staff engagement  Describe several monitoring tools  More?

3 GREENING is everyone’s business… …but someone needs to be in charge

4 GREENING is everyone’s business… …the Facilities Manager is one good choice

5 Example Job Description The Facilities Manager of WWF, manages all building operations at the environmental organization’s U.S. headquarters building in Washington, D.C. In addition to providing financial and leadership support to WWF’s executive team, the manager oversees the institution of successful recycling programs, the purchase of sustainable office supplies and 100 percent renewable energy offsets for building, among other projects.

6 The manager’s GREENING tasks include…  Services  Products  Property improvements  Measuring and monitoring  Recommending actions

7 Those ACTIONS will…  REDUCE costs  INCREASE revenues  REDUCE energy consumption  IMPROVE efficiencies

8 What about writing S.M.A.R.T. indicators into job descriptions?  Specific  Measurable  Attainable  Relevant  Time-bound And are there other options?

9 You might start with…  Memos  Posters  Meetings  Training …or a Green Team

WWF Guide to Recycling ONLY PAPER Examples: white or color paper, sticky notes, glossy or coated paper, magazines, newspapers or clean cardboard, (stapled items accepted) NO used paper towels or napkins Paper Clean plastic, cans, all clear and color glass bottles Examples: yogurt containers, plastic food trays (frozen, or deli style), plastic bags, plastic utensils, plastic drinking cups, aluminum, tin and steel cans. NO dirty plastics, tinfoil, food wrappers Mixed Recyclables Non-Recyclable Items Examples: used paper towels or napkins, tinfoil or other miscellaneous food wrappers, food, biodegradable plates cups and utensils. 11 WWF Green Team …with thanks to Hermione Phillips, LEED AP

Dream Green Team Green Team is the “voice of green” for WWF headquarters office and all are volunteers

How do we get started?  Do your homework!  Determine the intent  Engage decision makers of your organization

You can talk to…  Property Manager  Office Manager  IT  Purchasing  Department supervisor  Everyone… talk to your colleagues!

Communication thoughts  Be open & welcome change!  Distribution  Electronic Boards “Pandapedia”  Weekly Announcements – Green Tips  Intranet

Are there other GREEN TEAM approaches??

MONITORING is… A continuous and systematic process of recording, collecting, measuring, analyzing and communicating information for a variety of purposes.

Think about the GOALS you developed… How might you monitor progress for those goals?

Spreadsheet templates are useful tools for data collection and monitoring…  BUILDING ENERGY  OFFICE EQUIPMENT  OFFICE SUPPLIES  TRANSPORTATION  WATER  Others…

Here is a simple table that could be used for monitoring electric consumption… MonthFloorKWH used KWH target KWH Cost Utility bill Target Met?

Here’s one for cleaning supplies… MonthBottles of bad brand Bottles of better brand TARGET MET?

The data collected on MONITORING tables can then be put into REPORTING tables…

Here is a simple table that could be used for displaying achievements… GREENING categories Initial costs Operational cost difference Overall cost savings Savings % Electricity Natural gas Water

You might also demonstrate reduction of impacts… Environmental impact categories Activity EMISSIONS TOXICS RECYCLING

Team exercise (30 minutes)  FIRST, select FIVE of your goals from , write on  NEXT, prepare monitoring tables for three categories  THEN, prepare reporting tables for each  NEXT, select the best tracking and reporting table  FINALLY, write those two tables on your flip chart Continue to consider either URBAN or RURAL environment

Plenary Debriefing  IDENTIFY your team as RURAL or URBAN  NAME your five goals  EXPLAIN your monitoring table for one goal  EXPLAIN your reporting table Be concise and brief

Some thoughts about MONITORING… …there will be trial and error in setting targets …you may need to make adjustments

WWF monitors the environmental impact of the paper used for its Annual Report…  Trees saved  Greenhouse gases prevented  Waterborne waste not created  Energy not consumed  Solid waste not generated  Miles not driven …an idea that may be of interest in our last session

Questions or comments on MONITORING?

In Summary  MONITORING is a continuous and systematic process of recording, collecting, measuring, analyzing and communicating information for a variety of purposes.  Engaging staff will involve communication actions and may include rewards or added job responsibilities.  A GREEN TEAM is one comprehensive approach for staff engagement.  Data from monitoring needs to be put in understandable reporting formats.
