A Beautiful Catalog … Arising from the Abyss Presented by Lori Thorrat Catalog Department Manager

Cuyahoga County Public Library #1 Public library system – LJ 5 star library rankings 97% user approval rating!!! 27 branches serving 47 communities Circulation: –Over 18 million items annually Collection: Popular materials –2.5 million items in 362,000 titles –Books, Magazines, Audiobooks, Music CD’s, DVDs, Blu-Rays, Playaways, Playaway Views, Video Games, Toys, eResources (books, audiobooks, magazines, music, and video) –Floating collections

CCPL Technical Services Many changes since 2009 –Divisional restructuring and layoffs in 2009 Departments eliminated and units merged Loss of staff, Loss of a supervisor Union environment – bumping went into effect –Turn over of key managerial staff Technical Services Director (2013) Cataloger Manager (2012)

State of CCPL Cataloging 2013 Little or no authority control Obsolete MARC fields were still in use A legacy of very brief provisional records The catalog was filled with inactive titles and items –Items that were claims returned, missing, billed, lost and paid had not been vetted or purged since before 2008 –Orders had not been archived since before 2008 Obsolete material and items types had not been vetted or removed CAT Dept. was overstaffed but under-trained No training or preparation for RDA Poor relations with other departments and divisions

“It Was the Best of Times, It Was the Worst of Times …” We began with the end in mind A beautiful cataloged arising from the abyss! –Throughout 2013 we: Built bridges Made the problems known to all stakeholders Selected a vendor

“A Dream, All a Dream…” Who was going to fix this for us? What’s added value? –Support the library’s mission –Enhanced user discovery –Ease work load –Sustainable

Tables of Contents Summary Notes Lexile Numbers Advanced Reader Rankings Reduces workload Affordable

“It is a far, far better thing that I do, than I have ever done…” In early 2014 –Created a timeline –Formed a committee (Really? Yes!) –Launched a marketing campaign –Built a map

Project Segments Deleted –Old missing –Old claims returned –Old lost and paid Archived and deleted old billed items Archived old orders Deleted bibs with no live holdings Revised materials types Revised item types Completed MARCIVE profiles

Fun and Games with Load Profiles Output profiles –That’s easy; there’s only one in Sierra! –Make sure to send only what you want Input profiles –Very customizable but you must know your data –Who are your record vendors? How do they craft their records? –Is there data you need or want to protect? Test, Test, Test!

Freeze! Existing data cannot be edited while the catalog data is out with your vendor. –Communicate this early and often –Freeze your catalog maintenance Make contingency plans for editing records and tracking maintenance We protected the call number and portions of the fixed fields to continue to be able to correct some errors

I’ve loaded my data back in my catalog, now what? –Review your reports –Resolve un-matched headings –Resolve multiple matches Set up your routine for maintenance

So what about RDA? “A person attempting to travel two roads at once will get nowhere” - Xunzi

RDA? But we are a public library! –What about our combined imprint records? –What about GMD’s? –What about all those 3xx fields?

Yes! RDA Embracing hybridization –Eases training –Facilitates ongoing maintenance –Improves consistency in the public catalog

Results MARCIVE –Processed 322,095 bibliographic records –Data added to records 51,546 Accelerated Reader ratings 31,981 Lexile rankings 15,502 tables of contents 51,718 summary notes –Supplied 266,663 authority records for names, subject headings, and series titles
