The Basics of Hiring Student Employees The steps and rules for hiring student employees are slightly different in the summer. One difference is the number of hours students are permitted to work. During the fall and spring semesters students may work up to 20 hours. This is also true for students enrolled in summer school classes. However, some students do not take summer school classes. Students not taking summer school classes may work up to 40 hours per week and must have registered for Fall classes. Number of work hours permitted: Students not enrolled in summer school = up to 40 hours per week Students enrolled in summer school = up to 20 hours per week based on their SFWS award. The number of hours a student may work always depends on the amount of their financial aid award. For example, although students are permitted to work up to 20 hours per week, their award may only include enough eligibility to work up to 15 hours per week or less. Something to be aware of about student financial aid awards: Summer semester

The Basics of Hiring Student Employees Hiring a new student employees in the summer If you are hiring a student employee for the first time during the summer, you would complete steps 1-8 as you would during any other semester. Step 1 Determine your department’s needs and budget. Step 2 “Post” your job opening. Step 3 Research eligibility of applicants in Banner on RJASEAR. Step 4 Select the student you want to hire & submit a “Student Worker Request”. Step 5 Check for work approval using the Banner system. Step 6 Make sure the student completes, or has completed, an I9 form and a W4 form. Step 7 “Close” the job opening. Notify applicants not selected of hiring decision. Conduct Interviews Step 8 Summer semester

Conduct Interviews Step 8 In this situation you would not need to post the job or conduct interviews. You need to complete the “Summer Request for Returning Student Worker” instead of completing the “Student Worker Request.”. You do need to check for work approval in Banner on RJASEAR. However, if you plan to continue to use a student employee through the summer who is currently working for you, the process is a little different. Summer semester

Select “Summer Request for Returning Student Worker” Fill out the form completely and accurately as you would any other work-study form.
