Now the two Beautyprof warehouses are automated. K-Logistic enabled the reorganisation of the entire logistics processes, from the arrival of the goods, to storage, to in-house movement, to withdrawal and inventory. “Before this moment the inventory was almost impossible; we usually calculated between 10 and 15 days for it. Now, with K-Logistic, the head storeman is able to emit an inventory rectification proposal – positive or negative – which is shown on the managerial control and just needs a confirmation,” says Novembre. Other advantages are the improvement of productivity of the workers, because of the possibility to show with precision where the goods are located. This shortens the necessary pick-up time, which then can be used for other activities. The double-check stage is not necessary anymore, because the storemen ‘read’ the data via barcodes. “I can confirm that mistakes are almost down to zero and in general work has been greatly simplified compared to before,” explains Novembre. At the same time as the reorganisation of the logistics processes also the management mode of contractual relationships with the suppliers was revised. “The contracts with our suppliers are quite complex, because they are personalised for every single one of them. So it was difficult to manage the variations of the different shares, which led to the premiums’ diversifications. With the solutions from Kirio we resolved the problem. Comed and Kirio showed us the solution with the K-Premi software”, Novembre says. Today Beautyprof has a completely automated management system for suppliers’ contracts with premium payments and emission of active and passive documents.

Mago.net from Microarea, the software house in Genoa, is the ERP system chosen by Beautyprof to manage the main administrative processes. “Mago always gave the right answers to our managerial needs. This is why we - together with the Comed consultants - were looking into a solution to completely integrate it. After some research we came to Kirio’s K-Logistic”, Novembre confirms. The software created by the software house in Bologna, was perfect for the company’s needs in terms of flexibility, schedule capacity and organisation regarding spaces. What does the flow in the warehouse look like now? At the arrival of the goods the responsible department accepts them authorising the delivery note; at the same time thanks to K-Logistic, the storemen see the data of the delivery note appear on their screens; enabling them to know where to store the goods. Once this stage is automatically completed the note is imported into the management system, which shows via a green light that the product is ready to be sold. In the area of the outgoing goods the stages are reversed, from Mago.net to K-Logistic.

The management system automatically sends the orders to be prepared to K-Logistic; a worker decides where to assign the order; the storeman, based on the data he sees on his screen, picks up the goods and prepares them for shipping. After this, Mago.net proceeds with the invoicing. In this stage, a distinction has to be made regarding the shipping of the goods to the POS: in this case it is about the number of items and not pallets. This is why plastic boxes have been chosen for the different perfumes. Beautyprof Spa was born thanks to the passion of the Novembre family for beauty products and homewares. The company was founded in Gioiosa Ionica in 1995 and constant growth led to diversification in two areas: distribution to wholesalers of hygiene as well as beauty products and direct sales of high-quality perfumes in the Sensation Profumerie, which opened in A turnover of around 16 million Euros per year, 85 employees, 2 warehouses and 10 agents are the successful numbers of Beautyprof. Their objective is to extend the network of shops, beyond the Region.

Managing a company like Beautyprof, with an important turnover and about 30,000 articles, in two areas and therefore with different modes of flow of goods, needs the best possible warehouse organisation. “We had some problems regarding logistics, which were consequences based on delays and mistakes in the delivery. Today distinguished computerisation can be the solution. This is why we first arrived at an ERP and then vertically integrated the warehouse management,” says Domenico Novembre, President at Beautyprof Spa. The two warehouses have two different functions: one is used for storage of the goods for the mass market, while the other one is used for storing the goods directed to the POS. While in the first warehouse the management is carried out with pallets, in the second its single items. The most critical points were the control stages regarding the goods, because they had to be verified, with two workers, that the goods corresponded to the orders in entry and in exit. As a result of the limited cataloguing every single product had to have a fixed picking position.
