Purpose The purpose of the letter of complaint is not to blow off steam. The less whiny your letter sounds, the more likely you are to get a positive response from your reader.

Include facts… The Transaction Note: Where When How You purchased the product or received the service

Include Photocopies of evidence Receipt Canceled check Warranty

The Product or Service Include the model or serial number Serial Number

The Problem Be specific about what is wrong. Be sure to include any inconvenience the problem is causing you.

Attempted Solution If you have already tried to solve the problem: Explain what you did Who you talked to

The Solution Explain what action you want the reader to take A refund A replacement An apology

Format of the letter Personal Business Letter Be sure to include your: Name Address City, State and Zip
