For Fall 2010, Each registered and eligible ESC sponsored student group will be receiving an initial $200 in programs funding.

Program Funding NO A.S.U.C. funds may be used to: 1. Purchase food and beverages; with no exceptions or waivers whatsoever for individual, single-use water bottles; 2. Pay registration fees for Intramural teams; 3. Purchase or reimburse a group for flyers (advertising) that do not display the words “Sponsored by the ASUC” or "ASUC”; 4. Purchase or reimburse a group for flyers (advertising) that do not indicate the degree of wheelchair accessibility to the event described by the flyer; 5. Purchase or reimburse a group for stationary that does not display the logo of the A.S.U.C.; or 6. Travel outside the Bay Area, defined as the nine counties of---1) Alameda, 2) Contra Costa, 3) Marin, 4) Napa, 5) San Francisco, 6) San Mateo, 7) Santa Clara, 8) Solano, and 9) Sonoma; 7. Pay for any costs related to local events that fall outside the geographic boundaries of Ashby, to the south, MLK to the west, Cedar to the north, and the hills of the east 8. Pay for any costs not related to the mission of the ASUC or the organization in question, including prizes for individuals. 9. Purchase alcoholic beverages or illegal substances; or 10. Fund off-campus political activities - such as local, state, or national political campaigns, candidates, or ballot initiative s.

More on Program Funding This means: Programs funds are given from the ASUC. They are part of your student fees. Bowling, Karaoke, t-shirts any activity beyond the area of UC Berkeley, etc. are NOT permitted for use of ASUC funds. All funds should be going to promote your individual group mission and ESC’s mission.

Additional Funding Procedure 1. both ESC Treasurers (Dana and Helen) with the request and reasoning. 2.FiComm schedule and meeting capacity will be on the website 3.Attend the next Financial Committee (FiComm) meeting, dates TBD (biweekly) 4.FiComm will make decision at the next meeting 5.New allocation guidelines for FiComm are in the following categories: Outreach Community Building Competition/Build Projects New Projects Inter-societal Conferences/Leadership

 Point system for: ◦ attending ESC meetings ◦ sending members to intersocietal events ◦ coordinating an intersocietal event ◦ Note: intersocietal events would be “sponsored by ESC” and publicized to the entire engineering community  Points determine funding for next semester ◦ all funding allocated within first 2 weeks of semester  Groups submit their budget proposals  Allocations made based on point percentage (provided group submitted budget proposals equal or exceeding their allocation)  Thoughts?? Should we explore this option? ◦ Yes… Special Committee ◦ No… Move on

Reimbursements Login to callink.berkeley.edu with your student ID and passphrase Step 1: Click Finance Tab on the right of the screen

Reimbursements Step 2: Click Create Expenditure Request Step 3: Fill provided out form

How to fill out the form! Event/Activity/Program Title = “Your Club Name” “Event Name” Account = make sure Programs or Misc (See guidelines for category of request) Make sure to fill out all other parts of form Event details are important Special instructions are anything we as treasurers or Millicent needs to know!

Reimbursements Step 5: Form Must be printed. Go to Finance tab and click “Pending transactions” Step 6: Click pdf icon and print

Reimbursements Step 7: Attach receipts and a copy of the flyer (if applicable) and turn into the labeled ERF Drop Box in Bechtel (location TBA) ESC Treasurers will pick reimbursements at 12pm every Wednesday We will then process the requests and turn them into the ASUC by that Friday Note: Flyers must include “Sponsored by ASUC” and “Wheelchair Accessible” to receive reimbursement

Reimbursements Depending on the reimbursement type the money will be around three (pickup at 400 Eshelman) to ten (check request) days Cash will be available for pickup at 400 Eshelman and checks will be mailed

Reimbursements Special Requests: 1. Personal Service Agreements 2. Stipends 3. Transfers *These will be addressed on a case by case basis, talk to the senior treasurer

 120A Bechtel: Finished around November 1 st ◦ Student group space  Storage – 12 lockers  12 Assigned desks/student group space  3 small meeting tables  Exec meetings  Small group discussions  Individual person working on a STUDENT GROUP activity  NO FOOD  Kitchen: FOOD STORAGE HERE!
