All Rights Reserved 3 Data Synchronisation in Shoper 9  Data Synchronisation enables both Head Office and Showroom to maintain latest data at any specified time.  Data is transferred between Head Office and Showrooms through selected medium.  Transfer of data can be triggered manually or automated using scheduler.  Shoper 9 HO controls the sync mechanism by creating rules, schedules, masters, etc.  The communication details are configured in template to be used at showrooms.

All Rights Reserved 5 Map Business Needs  Synchronisation mechanism is configured depending on your business needs, such as: o Type of Data o Frequency of transfer o Size of Data o No. of Showrooms  Choose the mode of communication for data transfer depending on various factors like available infrastructure, business needs, etc. o HTTP: A virtual server is created using the IIS platform and used to exchange data between Shoper 9 HO and Shoper 9 POS. o FTP: In this mode a FTP server is used as data transfer medium. o Mail: Standard clients are used to transfer data. Example: Outlook, Outlook Express. o Direct Copy: Direct transfer is used when Shoper 9 HO and Shoper 9 POS are connected over a network.

All the configurations are set at HO. o Selecting the mode of communication o Entering the details for the selected communication mode o Cataloguing the Showroom master

All Rights Reserved 7 Configuring Shoper 9 HO - HTTP  Setup the Online folder using the IIS option  Go to Housekeeping > Reconfiguring System Parameters > Click On Line under Categories o Select On Line as the mode of communication o Enter Online server (system hosting IIS folder) details to enable connectivity

All Rights Reserved 8 Configuring Shoper 9 HO - Mail  Configure HO Server and Mail Server  Go to Housekeeping > Reconfiguring System Parameters > Click Mail under Categories o Select Mail as the mode of communication o Furnish the mail prerequisites to enable identification of data

All Rights Reserved 9 Configuring Shoper 9 HO - FTP  Setup FTP Server with Username and Password.  Go to Housekeeping > Reconfiguring System Parameters > Click On Line under Categories. o Select FTP as the mode of communication. o Enter FTP server information with username and password used at both POS and HO. o Also check for the FTP mode in the server. Shoper synchronisation supports FTP in both Passive and Active mode.

© Tally Solutions Pvt. Ltd. All Rights Reserved 11 POS Catalogue at HO  Showrooms masters are catalogued in Shoper 9 HO. Communication mode to be used by showrooms for synchronisation is also configured in the catalogue.  In Communication tab of showroom catalogue, select communication mode.

All Rights Reserved 12 Configuring Shoper 9 POS  Business Templates take care of configuring mode of communication in Shoper 9 POS, except for Direct Copy  Direct Copy: Configure the path manually in Shoper 9 POS o Enter HO Code and Name o Choose the mode of communication as Direct Copy o Enter path details (Direct Copy path)

All Rights Reserved 13 Working of Data Synchronisation  Data Synchronisation involves import and export of data over the set medium between HO and POS applications.  Data is exported using encrypted Zip files. The application importing these files will decrypt and load the data.  Example of file name: HO1MYS ZIP, where HO1= HO Code, MYS=Showroom Code, =Incremental Number.  Out folder is used to upload data files and export. Similarly, In folder is used to download data files and import.  During synchronisation log files having detailed progress of the process are created in \Share\Log folder. o The log files are created with.log extension.

All Rights Reserved 14 Sync Agent  Sync Agents are used to trigger the synchronisation process based on the set schedules.  Sync Agents will set the sync process rolling in HO and POS respectively. Sync Agent at HOSync Agent at POS  Data Extraction at HO  Send Extracted Data to POS  Data Download at HO  Data load at HO  Send Acknowledgement to POS  Data download at POS  Data load at POS  Data Extraction at POS  Send Extracted data to HO

All Rights Reserved 15 Data Transfer Options  Import: Data can be sent/ received using the Import and Export option manually in Shoper 9 HO  Go to Data Sync. > Imports > Showroom Transactions  Use Import data option to load data received from Shoper 9 POS manually o This option will load the data files from In folder

All Rights Reserved 16 Data Transfer Options  Export: You can manually export data to Shoper 9 POS by selecting data range and specific showrooms  Go to Data Sync. > Exports > Master Data to POS o This option will create data files in Out folder o Created data files are sent to Shoper 9 POS

All Rights Reserved 18 Data Transfer Options  Scheduling Synchronisation: Shoper 9 HO controls the scheduling activities, by: o Creating schedules for sync in Shoper 9 HO o Creating schedules for sync in Shoper 9 POS o Configuring activities to be executed during scheduled sync

Geographical: Set of showrooms located in a common geographical area such as Region, State, City, etc. Location Type: Set of showrooms grouped based on their business type. Data Sync Groups: Flagship showrooms or showrooms in commercial centres irrespective of geography/location type can be grouped.

All Rights Reserved 25 Reports  Reports can be generated and viewed to get details on data loaded, data not loaded in Shoper 9 HO and also a Dashboard report for complete details about synchronisation. o Files Loaded: List of files loaded in Shoper 9 HO o Files not Loaded: List of files not loaded in Shoper 9 HO o Dashboard: Gives details of data synchronisation

All Rights Reserved 26 Synchronisation Status Report at POS  At POS synchronisation status can be ascertained by generating a report  The report will display the status of each task in synchronisation process and receipt of acknowledgement from Shoper 9 HO for the data synchronised

All Rights Reserved 27 Rollback Showroom Transactions  Another option that HO application has is to rollback the showroom data already synchronised.  This can be used when you want to synchronise data from an earlier date for which data was loaded in Shoper 9 HO.  Rollback is required when synchronisation fails, due to: o Database restoration in Shoper 9 POS o Database restoration in Shoper 9 HO o Loss of acknowledgment file

All Rights Reserved 28 Synchronisation to Multiple HO  Shoper 9 POS application can be used to synchronise with multiple HO applications. o A Large franchisee dealer can sync data with HO at the Franchisor head office and with head office of the franchisee network. o In synchronising with multiple HO’s, POS can use different mode of communication for each HO. o POS Agent will handle multiple schedules set by different HO’s incrementally and share execution time.
