What is a Letter of Thank-you Who does not like to feel appreciated? Anyone who has done something for you or for your company most certainly will appreciate your taking time to say “ thank you.” Thank-you letters enhance business and personal relationships and reward those who make a practice of sending them. Even when you have thanked someone in person, a written thank-you is often expected or, at least, appreciated. In the business world, the thank-you letter has become a must if you care about your career. Getting Started Sample Study Practice Consolidating Your Skills Consolidating Your Skills

Compose appropriate letters of complaint Objectives Getting Started Compose appropriate letters of complaint Use proper tone in making requests Sample Study Practice Consolidating Your Skills Consolidating Your Skills

What is a Letter of Complaint? At some point, we’re disappointed in somebody that provides us with products or services. Some complaints can be handled by telephone. In general, however, a letter of complaint (also known as a claim letter or consumer action letter) is more effective. First, you’ve put something tangible on someone’s desk—eventually it must be dealt with. Second, you can be more tactful in a letter. Third, the details are conveyed in an accessible form (it’s hard to imagine someone on the other end of the telephone taking down dates, names, and invoice numbers as carefully as you would spell them out in a letter). Fourth, you have a record of your complaint Getting Started Sample Study Practice Consolidating Your Skills Consolidating Your Skills

Tips on Writing Include your contact information (name, address, phone number, and email address) so that the person(s) can reach you to discuss any questions or concerns. Provide the relevant facts, dates, names, and details clearly. State exactly what you want done about the problem and when you expect your complaint to be resolved Express confidence that your complaint letter will be addressed promptly and the problem settled satisfactorily. Write your letter with a friendly and complimentary tone and avoid writing an angry, sarcastic, or threatening letter. The person reading your letter probably was not responsible for your problem but may be very helpful in resolving it. Make your letter brief and to the point. What is a Letter of Apology? Each of us has, at one time or another, said or done something that we wish we hadn’t said or done. Rather than dwell on the mistake, however, we should take quick action to remedy the problem and then get on with life. An effective letter of apology is an important part of that process and can help turn “ lemons into lemonade ” and actually improve a relationship. A letter is often better than a face-to-face or telephone apology because you can take time getting the words right. It’s also better to write when you don’t know if the other person is willing to speak to you. A letter doesn’t oblige him/her to respond immediately; there’s time to absorb the message and decide how to react. What is a Letter of Recommendation? Almost everyone is asked to write a reference letter at some time during his/her career. A letter of reference vouches for a person’s character. It tells a third party that the person is a responsible, functional member of society. A letter of recommendation is more specific and focuses on the person’s professional qualities. It is often written b y someone who knows the applicant on the one hand and the prospective employer, college, or club on the other hand. Letters of reference and letters of recommendation are so closely related that guidelines for writing them are similar. What is a Letter of Invitation? A letter of invitation is written to people inviting them for a special occasion or event in one’s personal and professional life. Invitations can range from a casual one to a formal one according to the relationship people have with the invitees and situations. Formal invitations are engraved or printed on fine-quality notepaper, use line-by-line style, and are phrased in the third person. The letter of invitation is less formal, in which people can give more details about the activity. When sending these letters, organizers should set aside enough time to enable the guests to take consideration and make arrangement of the event.
