M2 Overview Data Quality Course

M2 Overview  Objectives: Log In Utilize M2 data dictionary Retrieve corporate documents and use them Utilize M2 Slice and Dice capabilities Save, Open, Modify and Export M2 Files Describe process for creating ad-hoc queries in M2

 Launch M2 Icon from your Desktop Looks like a pie chart  Use training ID and password from class Even if you have an account (No PHI in classroom!)  3 Strikes rule for passwords! Raise your hand for help if you’ve had two warnings! Using M2

REMINDER! At work or in class... Never leave a workstation unlocked When logged into M2! Business Objects

M2 Data Dictionary  Spreadsheet format One tab per data file  Describes overall content; timing  List of all data elements Definition Valid Values Format Example Notes & Caveats  Updated monthly  Very important for correct reports!

Table of contents Hyperlinked

Header Information Location Update Cycle Record Description Source

Objects listed in same order as in M2 Definition, Format, List of values

 Let’s open the M2 DD 1.Google “BEA M2” 2.Click the top result 3.Right-click “M2 Data Dictionary”, select “Save Target As…” and save to your Desktop M2 Data Dictionary

Using the DD Effectively  Don’t forget to update the DD each month  Review definitions prior to using objects in a query  Be sure to compare values across files Objects with the same name sometimes have different meanings and value sets

Using M2  Passwords: , option 7 (EIDS - M2) (gets routed to M2  DB2 Database Files are not generally integrated  Business Objects Software Client-server GUI-Interface (Structured Query Language) Analysis Capability  SQL: You pick the data elements you want to see And the filters you want to use SQL summarizes data per your instructions

Corporate Documents  Corporate Documents are M2 Reports Written by “Super Users” Intended to be used by a wide audience Very helpful for new users Prompted filters vs. All-MTFs already run  Retrieve tma.rm.enrollment.report.rep Same basic report that we just run; but With a prompted filter

Now let’s try a corporate document! Hit File Retrieve From Corporate Documents

Empty report Hit refresh (air conditioner)

User is prompted for the enrollment DMIS ID Enter it, and click okay M2 thinks.. And then….

TLAR test! does That Look About Right?

NameDateEnrollment LocCount Jane SmithOct-07Walter Reed1 Joe JonesOct-07Walter Reed1 Mary JohnsonOct-07Wilford Hall1 Jane SmithNov-07Walter Reed1 Joe JonesNov-07Tripler1 Mary JohnsonNov-07Andrews1 Basic Sample Data If user asks for date and count: FYCount Oct Nov M2 “Adds Stuff Up”

NameDateEnrollment LocCount Jane SmithOct-07Walter Reed1 Joe JonesOct-07Walter Reed1 Mary JohnsonOct-07Wilford Hall1 Jane SmithNov-07Walter Reed1 Joe JonesNov-07Tripler1 Mary JohnsonNov-07Andrews1 M2 “Adds Stuff Up” Basic Sample Data If user asks for date and count where Enrollment Loc is Walter Reed: FYCount Oct Nov

 Now you’ve written your first query  Slice and Dice Wonderful tool in M2 Allows you to manipulate data without re-running After your results are returned, use slice and dice to:  Rearrange  Filter  Sort  Remove data elements  Insert calculations  Link objects Using M2

Slice and Dice Icon looks like an “L” taking a nap

Same data elements as in original query The right side of the screen is used to design the output Can do and undo to your heart’s content

To remove a data element, just drag it to the left hand side of the screen. Remove enrollment site

Click apply Close the panel (hit the “X” in the upper right corner)

Enrollment site is no longer displayed on table But is still in the ‘cube’

Let’s make a crosstab Hit Slice and Dice Icon

Drag FY to the top of the line and move FM to the side Click Apply

Results are in crosstab format Let’s remove all but FY05+ next. Slice and dice again

Put cursor on FY (see large box around it) Hit filter button

Highlight years of interest

See filter applied to FY?

Using M2  The ad-hoc nature of M2 makes it ideal for analysis But it’s also easy to use to “mess up” Watch This!

Messing Up with M2  Just try taking the Fiscal Month out of the table  Back to slice and dice;  Remove FM  Click Apply

But wait, Fort Hood was running ~20K per year! Now all of a sudden it’s that times ten! These answers are wrong! WHY?

NameDateEnrollment LocCount Jane SmithOct-07Walter Reed1 Joe JonesOct-07Walter Reed1 Mary JohnsonOct-07Wilford Hall1 Jane SmithNov-07Walter Reed1 Joe JonesNov-07Tripler1 Mary JohnsonNov-07Andrews1 Basic Sample Data If user asks for date and count: FYCount Oct Nov REMEMBER THIS CHART?

FYCount , ,520 FM ,14119, ,20319, ,29118, ,17319, ,12919, ,94118, ,84819, ,95218, , , , ,579 M2 automatically adds up the measures in your reports If you remove month, adds up across months! Each row represents a person enrolled… people are not additive over time!

Messing Up with M2  Simple Lesson: Be very careful Always apply a “That Looks About Right” test (“TLAR”) Underlying data can be tricky! Take the WISDOM Class Use your DD

What Next?  Can hit save Creates a “.rep” file; can be re-run later  Can hit “edit / copy all” to put on clipboard Can easily paste into spreadsheet software  Can hit “Save As” to Save as “text”, “Excel”, etc…  Can also use M2 to further analyze, rearrange, etc…  Slice and Dice Save as “.rep” Copy to Excel

Building Ad Hoc Reports in M2

Blank M2 Screen Functionality is greyed out when it can’t be used “New File” and “Open File” buttons look just like in regular Office products

Let’s build our first query Hit the File New button

M2 Query Panel List of files Results panel Conditions panel

Quick Review: Open and close boxes to the left Review file names Consider files described in earlier lecture

 Simple to Use  Think of as “Enrollment File”  Open up DD  Record Description: Not really very descriptive Monthly tabulation of records from Relationship Detail By year, by month count of eligible beneficiaries with a special relationship in the MHS  See ACV Group Relationship Summary

TRICARE Prime Enrollment  How many Prime Enrollees in your: MTF? Parent MTF? Region? Multi-Service Market Area? Etc….  Identify needed data elements using data dictionary Enrollment Site, FY, FM, Enrollment Count ACV Group

Open Relationship Summary Find objects you want in your report and drag to “results panel”

M2 will only retrieve the objects you ask it to retrieve

Use conditions panel to limit data From entire world, to area of interest If I hit run now with no conditions………

Summary of All Records, Over All Time List of variables Data table

Assuming you didn’t want the whole world Hit button that looks like a query panel to modify the query

Query panel, But isn’t opened to the table you were using To modify, open up relationship summary and go from there

Limit to your area of interest by dragging data elements to filter on into conditions box

List of operators Click the one you want

After clicking “equal to”, a set of options are displayed

Select from the list of values

Complete enrollment site condition Add ACV Group Condition

Fort Hood Prime Enrollees By Year and Month

Using M2  Using M2 is as simple as: Dragging and Dropping to give the computer instructions for your query; and Doing the dreaded WORD PROBLEM!  The software is easy! The word problem can be hard  WISDOM Course Focus on the word problem

Recap and What Next?  Congratulations; you have Written a basic query Used the M2 data dictionary Run an existing query Modified a query Saved a query Put query results in Excel!  Next Session: Practice your new skills!
