Introduction / Background The starting point is thinking about the current situation. Understand the industry drivers, technical drivers, and business drivers. Meet the challenge of maintaining operations while evolving into a business enabler. Licensing models are adapting to changing business dynamics. The right solution balances cost with defensibility.

Building Flexibility Determine which deployments can or cannot be current; consider legacy and third-party applications. Project future environments: upgrades, hybrid environments, and consolidation. Define the user population, their roles, and their locations. Understand how each product is utilized and what type of access is necessary.

Building Flexibility Identify conditions in which assets are used cyclically or on a temporary basis. Assess availability requirements, addressing both internal and external Service Level Agreements. Define the role the assets play in Disaster Recovery and/or Business Continuity situations. Understand the security requirements for each asset.

Compliance Compliance is nebulous; target defensibility. Commercial deployments generally do not require license keys. Implement and enforce the principle of least privilege. The focal point of defensibility is a strong Software Asset Management program. Evolving license constructs demand that practices evolve in parallel.

License Evolution Licenses may be required for both on-premise and cloud-based deployments. Cloud-based licensing demands the same management as on-premise licensing. Hybrid environments can change the license requirements. Licensing can be both unidirectional and multidirectional. Be very aware of the cloud environment configuration.

Virtualization Publishers differ significantly in their recognition of virtualization scenarios for their server software. Virtualizing the client environment can introduce non-compliance issues and/or unexpected expense. Employee-owned access devices (“BYOD”) may compel the creation of remotely accessed instances.

Bridging Cost obstacles are moderated through transitional licensing. Unanticipated mandates can prevent full transformation to cloud solutions.

Proactive License Management Over-licensing creates an unused and unusable inventory… … for which support fees must be paid. Leverage existing assets to the maximal degree. Ease of management is costly; less cost means more management. No organization is exempt from software audits.

Takeaways Conduct an assessment if it hasn’t been done or is the environment has substantially changed. Understand the rules… … or recognize that they are largely not understandable. Implement and enforce a sound Software Asset Management program. Examine the alignment between your roadmap and the publishers. Engage a trusted advisor.
