Creating and maintaining organization and orderliness Training Modules (5S) 5S process improvement system designed to reduce waste and optimize productivity in the workplace by: Creating and maintaining organization and orderliness Using visual cues to achieve more consistent operational results Reducing defects and making accidents less likely 6S uses the five pillars of 5S and an added pillar for Safety Pillar 1: Sort (Get rid of it). Pillar 2: Set in Order (Organize). Pillar 3: Shine (Clean and solve). Pillar 4: Safety (Respect workplace and employee). Pillar 5: Standardize (Make consistent). Pillar 6: Sustain (Keep it up) 5 © Vasundhara India VASUNDHARA INDIA

The Good, Bad and the Ugly First the Bad and the Ugly - Life Without 5S 8 © Vasundhara India VASUNDHARA INDIA

Goal 2014 Bringing 5S to schools Get To cover 30 School in 2014 IN an effort to create a more conducive learning environment, the Vasundhara India Corporation (V.I.Pt.) has been working on instilling the 5S culture among schools, NGO Employees and students. By using the concept, schools have benefited by inculcating a continuous learning culture and good habits. The Quality Environment Certification (5S) has been awarded to schools 9 © Vasundhara India VASUNDHARA INDIA

5S Examples - Shine 3. Shine - The area is cleaned as the work is performed (best) and\or there is a routine to keep the work area clean. 10 © Vasundhara India VASUNDHARA INDIA

5S - Content 11 What is it for? Where could I use it? How do I use it? 5S is a methodology which helps us to better organise our workplace in order to improve safety and productivity 5S is the foundation on which to build a leaner organisation Where could I use it? At any work station or work place. Traditionally used on the shop floor, but equally relevant in office environments, service, on-site works and even computer file storage. Before 5S How do I use it? 5S has a structured approach of work area improvement and sustaining audits Risks and how to avoid them There are potential hazards of implementing and sustaining 5S. Covered on slide 6. Example Step by step guide 11 After 5S © Vasundhara India VASUNDHARA INDIA

Cleanliness involves cleaning every aspect of the Organization and the removal of dirt, dust, oil, scraps on the floor, & garbage. Key Deliverables Increased Efficiency Increased Safety A clean Systematic Organization results in increased safety and efficiency. 12 © Vasundhara India VASUNDHARA INDIA

Use of new standard as basis for inspections and audits. 5S - Example Everyone plays a part to make sure the changes stick. Keeping to the new rules and standards through regular audits. Awards can be given for best practice at each audit. Sort out of process area – get rid of unused materials & tools. Use of Red Tags 1. Sort 5S 2. Straighten 3. Shine 4. Standardize 5. Sustain ID locations for tools and materials used in the process. Set min / max limits Use of new standard as basis for inspections and audits. Regular cleaning and inspection of the process by the process operators 13 © Vasundhara India VASUNDHARA INDIA

5S - Risks and how to avoid them Initial resistance against making changes in the well established workplace, not just against the physical changes but also cultural resistance – “We’ve always done it like this”, “It’s not broken, so don’t ‘fix’ it” New rules are not taken seriously Slow but steady return to ‘the old ways’ once the initial launch focus has gone Steps to avoid them : As with all improvement activity, communication is critical. Prior to initiating the 5S it may be prudent to conduct stakeholder and impacted populations analyses in order to identify likely areas of resistance and devise strategies to reduce this opposition. During the implementation, resistance should be searched for and confronted in a positive manner – open and honest conversations about individuals concerns are more likely to have a positive than negative effect on the 80% of the population who are watching to see which way things go! New rules need to be enforced – once a standard is set there should be no variation accepted unless a new and improved standard is agreed. Managers and Supervisors are key to ‘walking the talk’ New standards and ways of working need time to become habit or risk slipping backwards. Use of ‘before’ photographs is a very tangible reminder of how things were and how much better things are now. 5S can be sustained where there is strong management commitment to ensure that new standards are formalised and new rules adhered to. 5S should be restarted every 5 years. 14 © Vasundhara India VASUNDHARA INDIA

5S - Where could I use it? 15 Background: Uses: 5S comes from Japanese but is typically translated to English as: Seiri Sorting Seiton Set or Straighten Seiso Shine Seiketsuso Standardise Shitsuki Sustain 5S removes physical waste & improves workplace safety It also improves quality because the right tools are easy to find It is usually associated with manufacturing but the principles apply to almost any process It is very simple, so there is no excuse for not doing it! The vision of 5S is to have: A safe and clean workplace No items out in the open that are not needed Waste and abnormal conditions become obvious Simple and minimised paperwork Retrieval of information in a short amount of time by anyone A pleasant and stimulating workplace It is traditionally viewed as being something for the factory, but in reality the 5S vision is equally relevant to other work areas. 15 © Vasundhara India VASUNDHARA INDIA
