INTERNATIONAL AND MULTICULTURAL EVENTS Unit 9

Your final project will demonstrate your ability to plan and deliver large, multi- level, events where superior planning, attention to detail and project management skills are utilized. OR

Final Assignment Microsoft Corporation has contracted your Event Planning company to set up a Computer Security Conference to be held at the Beijing Jade Palace Hotel for approximately 300 guests. The purpose of the meeting is to discuss current threats, future threats, tools used to deter/defend/protect, computers, software/intellectual property etc. with their Chinese counterparts and other special guests. The conference is a 2-day event ending with their security awards dinner featuring a key note address from Bill Gates, former CEO of Microsoft as well as the Chinese Director of the Microsoft Research Lab. In your analysis, you may want to consider some of the following areas: Analyze how the Chinese culture will impact the planning of this event Keeping Chinese protocol and culture in mind from section 1, create a planning document that will guide you through the 2 day event.

Program Planning Avoid planning sessions on the first day allowing participants to rest Avoid over programming Allow adequate time for sightseeing and shopping Offer pre-or post- conference tour options Save shipping costs by arranging to have program materials printed on-site Select awards and gifts locally Make use of local dignitaries and celebrities speakers

Addressing Multicultural Audiences Avoid the use of slang expressions or colloquialisms Use words everyone will understand Use global perspectives when using analogies Refer to North America rather than United States Developing knowledge of metrics especially distances and dimensions Never talk down or appear condescending Provide an outline or abstract containing detail of the subject Recognize that even using English some words will carry different meanings Conclude the presentation with the summary of key points ending with a quote from a known source Have the speaker repeat all questions before responding in a Q&A session

The casual informal behavior common in North America may not be appropriate at European, Latin American, and Asian events. Adapt our more reserved demeanor Set and keep punctual time/date appointments Exchange business cards Refer to people by their family names and titles Dress appropriately and avoid casual attire Think metric Protocol
