TESTING UPDATES for 2016 Office of Assessment DOEAssessment@state.sd.us

General Reminders Test Windows Presentations Smarter Balanced http://sd.portal.airast.orghttp://sd.portal.airast.org DSTEP Science and Science Alt If data is not correct in Campus, it won’t be correct in the test platforms. For DSTEP Science and Smarter Balanced, test administration is done by certified staff. Paras can proctor but not administer tests.

Updates & Reminders No such thing as a testing opt-out. Refusals to test will impact participation rates and report cards. Site visits during the test windows will happen with limited prior notice. Assessment contacts – take note of who can assist with different issues. Assessment contacts Often best to email and we will get back to you as soon as possible.

Medical Exemptions New forms posted on each assessment’s webpage. A request for an exemption is filed for each test. It is the district’s responsibility to provide needed information and submit requests on time. Failure to provide requested documentation will result in denial of request. Requests submitted before the end of the specific test window will be returned to sending district for resubmission according to established timelines.

Smarter Balanced General Reminders Student updates are run nightly for Smarter Balanced. No manual student enrollments or transfers in TIDE. If a staff is TIDE as a TA, there is no access to student results. District coordinators maintain users at the school level. Office of Assessment updates district level users ONLY in TIDE.

Quick Refresher of PortalPortal TIDE – manage staff and students, add accommodations, create rosters Test Administration – the tool anyone administering a test will use Online Reporting System – Plan and Manage Testing and Reporting Practice & Training Tests can be secure or non- secure.

Planning for test administration No classroom activities before the Performance Tasks. Performance Tasks will be assigned randomly. Do the CAT (computer-adaptive content test first), then the PT. The Math Content test has a logical break and can be done in 2 sessions. ELA doesn’t but plan 2 test sessions for ELA. The ELA PT has two parts and both must be completed or it won’t be scored. If a student doesn’t complete both the CAT and the PT, no score is calculated. A student with no score will be a non- participant. Please make sure the student submits a completed test before the expiration date.

Online Test Administration Manual The manual is posted under Key Documents: http://sd.portal.airast.org/district- administrators/http://sd.portal.airast.org/district- administrators/ Check TIDE User Guide, ORS Manual, or the Usability Guide for questions not answered in the TAM.

Smarter Balanced User Support Help Desk 1-855-838-8378 or SDHelpDesk@air.orgSDHelpDesk@air.org Please use the Help Desk Information Template[PDF]Help Desk Information Template All staff administering assessments should have a copy of the template. If you are missing a student, check the student’s enrollment record in Campus. It can take up to 48 hours for a new student to get from Campus to TIDE.

User Roles & Responsibilities TAM - pages 6 – 8 District Coordinator checklist – Appendix J School Test Coordinator checklist – Appendix K Test Administration checklist – Appendix L TA is used generically when discussing test administration. Any role can administer tests. Staff assigned a TA role can’t access student data.

Summative Assessment Administration Resources P. 9-10 Table 2: Manuals P. 10Table 3: Training Modules Test Administration Certification module is highly recommended for all staff administering a test.

Security Table 5 on page 12- 13 outlines security procedures. No cell phones or other devices not being used for testing on or near a student. At least 2 people in the testing environment. Collect all scratch paper and notes after each session. Follow procedures in TAM on pages 15 – 17 regarding reporting security incidents. Maintain security incident log and submit to DOEAssessment@state.sd.us. DOEAssessment@state.sd.us

Security Impropriety- Low impact on test performance, security or validity. Report through the district chain of command to resolve. If necessary contact DOE. Irregularity – Potential impact on student performance, security or validity. Report to SC and DC and submit appeal as needed. Breach –Threat to the test. Report immediately to SC or DC and contact Office of Assessment. Pages 15 -17 of TAM Complete Test Security Incident Log as needed. Submit weekly (as needed) to DOEAssessment@state.sd.us.

Appeals TAM - pages 18 – 20 Planning before starting test sessions will result in less appeals! Following directions for administration will reduce need for appeals! Appeals will be processed each day in the late afternoon. If the wrong appeal type is selected, it will be denied. Invalidation results in the student being a non- participant.

Types of Appeals Reset – restart a test if settings need to be adjusted Invalidation – security breach Reopen – Expired, technology difficulties Reopen Test Segment - if accidently left a segment - ELA PT or math Restore – if reset inappropriately Grace Period Extension – allows access to previous items if the pause timer expires

Rostering If teachers are to see results, the students must be rostered in order to access data in ORS. Rostering decisions are local. A TA can’t have rosters. SC or DA/DC need to create rosters. More details in TIDE. We have had some odd cases and the best solution is to delete the roster and start over if having issues getting one or two students to stick.

General Test Admin Tips Practice and training tests are a tool for learning how to use the tools – not scored Tests we are giving are the Summative and Performance Tasks For Performance Tasks, pick all for grade and content Pay attention and record test session id Test tickets printed from TIDE – same for all tests

Test Delivery Test sessions assigned when logging in to TDS Picking a test to delivery Approvals - check accommodations and supports Secure browsers for students Test sound as needed

ORS Plan and manage testing Reports ORS manual Level of access to reports depends on user level

Plan and Manage Testing Resource to monitor status of test completion Be sure to pick Summative from Step 1 – Test to get the right data Useful to check who is finished and who might have a test about to expire

Reporting A variety of on-line, interactive data Student reports downloadable in pdf format once tests completed and posted Excel file with student data

Critical Reminders Submit all tests No classroom activities available or required Students taking alt may be in the file but don’t test Working on getting 12 th graders who need to test back in the system No manual addition of students
