2 BZUPAGES.COM How do I Help Break Down Communication Barriers? Communication difficulties are often merely symptoms of deeper underlying problems. They can lie in any of three areas:  Goals and Standards of Performance  Communication Systems  Culture

3 BZUPAGES.COM Goals and Standards of Performance: When business goals are not explicit and well communicated, people will work to different priorities. This will lead to tension, mistrust to communication breakdown. If the objectives of each region, department or section are not aligned, tensions will result.

4 BZUPAGES.COM When TQM is working effectively these goals will be clear. The world is never ideal and it is important to help your clients and client departments clarify what they believe to be:  The objectives of business;  Their joint contribution to the objectives;  Each individual’s input

5 BZUPAGES.COM The root of what they perceive as a ‘communication problem’ is often a  Lack of clear  Agreed objectives  People working to different agendas

6 BZUPAGES.COM Communication Systems All organizations need a set of systems for ensuring that information reaches the people who need it. Communication difficulties might simply be the result of inadequate procedures. When investigating and working on communication problems you need to check the efficiency of the systems:

7 BZUPAGES.COM  Are there clear procedures for upwards and downwards communication  e.g; briefing groups  Are there clear procedures for lateral communication  e.g; regular customer/supplier meetings; inter- department meetings; project meetings.  Are there adequate communication media  e.g; telephone, electronic mail, fax machines, notice boards – and are they used efficiently?

8 BZUPAGES.COM Culture Difficulties may be inherit in the way people manage relationships with each other, within teams, between teams or departments and between the various level of management. As a trainer you may be asked to facilitate meetings between members of a team, between members of different departments, between various levels of management or between suppliers and customers.

9 BZUPAGES.COM Major causes of communication breakdown include:  Badly handled conflict  Interdepartmental competition  Hierarchy and status  Inappropriate management style  Lack of openness and trust  Personal dislike  Distorted perceptions of each other
