 What is your research topic? (in 1 sentence)  Where are you at with your projects?  Have you started working on your ethics application yet? 2

Highlight key information and resources available related to ethics applications Address frequently encountered scenarios when preparing ethics applications Provide exposure for all team members to the ethics process Invite all teams to ask questions and/or get feedback on issues or challenges 3

Why are ethics applications a critical step in your research projects? 4

Different submission process depending on core site  PHC, VCH, PHSA – submit application to UBC RISe  Island, IH, FH – submit to local health authority ethics boards  NH – submit to UBC RISe and NH board All sites need to use UBC Dietetics template for Research Proposals (DUE OCT 23) Check with local board to see if they will accept UBC Research Proposal template (if applicable) 5

 When to complete your ethics application: start now, revise with feedback provided on research proposal  Process to address research proposal feedback: 1. Feedback document will be sent to intern project leader 2. Review feedback with team (including preceptors) 3. Fill out your portion of the document stating each revision you plan to make OR why you have chosen not to address a particular piece of feedback 4. Resend completed feedback document to Tamar by the deadline in the Project Activities Checklist (no need to re-send actual research proposal) 6

 In the application: do not leave any fields blank, write “N/A” as applicable  UBC Dietetics personnel (Tamar and/or Kara) need to be indicated as team members in applications (see UBC Dietetics guidance notes)  Use your local resource people!  Applicable forms can seem intimidating and long, past teams have had success by explicitly following guidelines 7

1. UBC Dietetics Guidance Notes for Study Approval (Research Modules Resources) 2. Board specific guidance notes NOTE: All ethics boards operate on the same set of ethical principles  UBC Dietetics RISe guidance notes can be used as a guide for local board applications too 3. Sample RISe applications (Research Module Resources) 4. TCPS2 CORE modules– good general principles, with examples 5. Project Activities checklist (Research Module Forms)  If submitting to UBC RISe: send completed ethics application to Tamar for feedback  Other ethics boards– submission of ethics application to Tamar is optional 8

Your study involves recruiting dietitians for a focus group about their experiences completing nutrition diagnosis statements. The ethics board provides feedback asking you to revise your recruitment strategy, which currently involves having the manager of Nutrition Services recruit dietitians in the department to participate. 9

Your study involves creating and sending an online survey of patients, asking about their satisfaction with their nutrition care experience. Your team has also planned to collect demographic data about the survey participants. The ethics board requires you to provide your rationale for the online survey platform you plan to use and why you need to collect demographic data about participants in your research project 10

Your study involves doing a chart review of patient data in a renal clinic. Your team wants the most recent data possible in this study, so you propose to collect data in charts all the way until the end of your data collection period, estimated as March 2016. The ethics board does not approve your study as a minimal risk project, as you have indicated in your application. 11

 Questions about completing your applications?  Challenges you are encountering?  Advice from your peers 12
