2 Launching Microsoft Word Prepared By : Md Jakaria 2  Click on the Start button in the bottom left hand corner of your computer screen.  The Start button should be clicked once with the left mouse button.  When the menu pops up, move your mouse up to Programs or All Programms.  A sub menu will appear showing you all the software you have on your machine. Locate Microsoft Word  Then click once with your left hand mouse button. Microsoft Word will start up

4 Saving Word Documents Prepared By : Md Jakaria 4  Locate your menu bar, and click with your left mouse button on the word "File". This menu will drop down:  Move your mouse pointer to Save As and then click once with the left mouse button. You'll get the Save as dialogue box popping up.  In the File Name box is what your document is called. Just enter name & clicked the Save button.

5 Opening Word Documents Prepared By : Md Jakaria 5  From the File menu, click Open. The Open dialogue box appears.  The Open dialogue box looks very similar to the Save As dialogue box. "Save in", "File name", and "Files of type" work in exactly the same way as the Save As dialogue box. 1. Navigate to the folder where the file was saved 2. Click on the file to select it 3. Click the Open button

6 The Word Toolbars Prepared By : Md Jakaria 6  When you open Word, the menubar, standard toolbar, and the formatting toolbar are automatically displayed beneath the program’s blue title bar.  While these can easily be turned off, the menubar provides access to all the commands and options available in Word and the toolbars provide quick access to the most frequently used commands.

7 Standard Toolbar Buttons Prepared By : Md Jakaria 7  By default, the Standard toolbar appears every time you open Word, The following buttons are the first set on the toolbar.  New File: Creates a new Word file.  Open File: Opens an Word file saved to your hard drive or removable media.  Save File: Saves the current docum  Email: Emails the current document

8 Formatting Toolbar Prepared By : Md Jakaria 8  Like the Standard toolbar, the Formatting toolbar is set by default to appear any time you open Word. It is usually docked below the menu bar, to the right of the Standard toolbar.  Styles and Formatting: Activates the Styles and Formatting task pane.  Style: Applies a Style.  Font: Changes the font.  Font Size: Changes the size

9 The Task Pane Prepared By : Md Jakaria 9  The task pane is a feature Microsoft introduced to Word and some of the other Office components within the past few years; if you are working with a version previous to Word 2002, then this feature will not be available to you. When you first open Word, the task pane appears down the right side of the window; the default view is the new document menu.  If you do decide to turn off the task pane, click the X in the top right corner of the task pane.  To display the task pane at a later time, select Task pane from the View menu.

10 The Status Bar Prepared By : Md Jakaria 10  At the very bottom of the Word window is the status bar. This often overlooked feature of the window provides important information about the cursor’s position in the document, in addition to offering functionality. The left-most side of the status bar shows the page number, section number, and the vertical and horizontal position of the cursor, among other things.  Next to the cursor position information are several toggle buttons that provide quick access to Word features.

11 Editing Documents Prepared By : Md Jakaria 11  Editing documents in Word is just as simple as entering text in a blank document. By clicking within the body of the document, you can add text.  If you highlight part of your document and then start typing, the highlighted portion will be deleted and the new text will appear in its place.  The delete key will delete objects to the right of the insertion point, while the backspace key will delete objects to the left of the insertion point.  In the event you accidentally delete part of your document, you can use the Undo feature (ctrl+z) to undo up to 100 changes you have made to your document.

12 Bold Text in Microsoft Word Prepared By : Md Jakaria 12  To make any part of your text bold in Microsoft Word, you have to highlight the text. With your text highlighted, click the "B" icon on the toolbar. Your text will turn bold. Use Keyboard  Highlight the text you want to make bold  Hold down the Ctrl key on your keyboard  Keep the Ctrl key held down  Press the letter B on your keyboard  To switch off the bold text, keep the Ctrl key held down and press the B key again.

13 Cut Text in Microsoft Word Prepared By : Md Jakaria 13  Highlight the text you want to cut. From the menu bar, click Edit > Cut.  Highlight the text you want to cut. Click on the highlighted text with the right mouse button & click cut. Keyboard Cutting  Highlight the word or words you want to cut  Hold down the Ctrl key on your keyboard  Keep the Ctrl key held down  Press the letter “X” on your keyboard  Your highlighted text is cut from your document

14 Copy Text in Microsoft Word Prepared By : Md Jakaria 14  Highlight the text you want to Copy. Click Edit > Copy from the menu bar.  Highlight the text you want to Copy and Paste. Click on the highlighted text with the right mouse button. From the pop up menu, click Copy (Click with the left mouse button)  Highlight the text you want to cut and paste. Hold down the Ctrl key on your keyboard. Press the letter “C” on your keyboard. The text is copied

15 Past Text in Microsoft Word Prepared By : Md Jakaria 15  Move your cursor to the place where you want to paste your text. From the menu bar, click Edit > Paste.  Move your cursor to the place where you want to paste the text. Click the new place with your right mouse button. From the popup menu, click “Paste” (Click with your left mouse button). The text is pasted to the new position  Move the cursor to the place where you want to paste your text. Hold down the Ctrl key on your keyboard. Press the letter “V” on your keyboard. The text is pasted to the new position.

16 Document Views Prepared By : Md Jakaria 16  Document Views From the view menu in Microsoft Word you can easily switch between different document views that will change the way your document appears in the Word window.  Normal: Document appears with a dotted line separating the pages.   Web Layout: Designed to show you how your document will look as a web page.  Print Layout: Everything that will appear in the printed document appears on the screen.  Outline: Shows the headings and subheadings in your document.

17 Red and Green Underline Prepared By : Md Jakaria 17  The spelling mistakes are underlined in red in your document & green line under it is a grammatical error. You can turn these off and on if you like. To Turn red and green lines on and off, do the following.  From the menu bar, click on Tools. From the drop down menu, click Options:  You will get a dialogue box popping up. Click on the words "Spelling and Grammar“.  Uncheck "Check grammar as you type" & "Check spelling as you type"  Click OK when you have finished.

18 Highlighting techniques Prepared By : Md Jakaria 18  Highlight an entire document: You can highlight your entire document from the Edit menu. Click on Edit. From the drop down menu click on Select All. All of your text will have a black background. To get rid of highlighted text, click anywhere in your document with your left mouse button.  Highlight an entire line: To highlight a single line, move your mouse over to the left margin of your document.

19 Changing Fonts & Font sizes Prepared By : Md Jakaria 19  Fonts:  Highlight the heading “Changing Fonts & Font sizes”  While the text is highlighted, click on Format from the menu bar  Click the word “Font”.  We want to change the Font from Times to Arial. Click on Arial with your left mouse button to select it & click OK button.  Font sizes:  The font size box works in a similar way - click the black down arrow and you get a list of font sizes. Click on one to choose it.

20 Insert Clip Art into Ms Word Prepared By : Md Jakaria 20  Clip art is a picture or graphic that can be inserted into a word processed document.  Position your cursor at the end of your text  From the menu bar, click on Insert  From the drop down menu, move you mouse down to “Picture”  A sub menu appears  Select Clip Art, dialogue box appears.  Click on Clip Art with the left hand mouse button.  The first one of these four icons is the one we want - insert clip. So click the first icon of the four. The image is inserted into your document.

21 Resize your Clip Art Prepared By : Md Jakaria 21  Now that you have inserted your Clip Art, click on your image with the left mouse button. You should see some little black squares appear around the edges of your Clip Art. These black squares are the sizing handles.  To change the size of your image, move your mouse pointer over one of the little black squares, the bottom right square is the best one for our purposes.  When your pointer has changed shape, hold your left mouse button down. The pointer will now change into a cross shape. With your left mouse button held down, drag your mouse upward and to the left. Let go of the left mouse button when you're happy with the size.

22 Inserting Picture From File Prepared By : Md Jakaria 22  There are several ways to insert a picture into your Word document. The easiest way is to drag and drop the photo from Windows Explorer into your document. (Yes, it is that easy!)  But the traditional way to insert a picture is to use the Insert menu: 1. Click Insert 2. Select Picture 3. On the Submenu, select From file  If you opt to insert a picture from the Insert menu, the Insert Picture dialog box opens. Select your picture by highlighting it and click Insert. Or, you can simply double-click the picture file. The picture will appear in your document.

23 Page Setup into Ms Word Prepared By : Md Jakaria 23  Click File from the menu bar  From the drop down menu, select Page Setup  Enter the same values in the text boxes as the one below.  When you're done, click OK.

24 Headers and Footers Prepared By : Md Jakaria 24  Headers and footers are pieces of text, or graphics, that appear at the top and bottom of a page. After you set up a header and footer, they will appear on all of your pages. To set up a header and footer for your Word document, do the following.  From the View menu, Click Header and Footer  Write something. That's what we want to appear on every page, except the first page.

25 Insert Page Numbers Prepared By : Md Jakaria 25  If your document has multiple pages, you can display the page number on each page. In most documents, page numbers appear in either the header or the footer of each page.  Click Insert>Page Numbers>  After select Position & Alignment click ok.

26 Create a Table in Ms Word Prepared By : Md Jakaria 26 To set up your first table, then, do the following:  Start a new Word document  From the menu bar, click on Table  From the menu that drops down, click Insert  A sub menu appears  From the sub menu, click Table  When you click Insert >Table you get a dialogue box popping up. The table we're going to draw has 5columns and 2 rows. So change the Number of columns to 8. Then click the OK button.

27 Preview before Printing Prepared By : Md Jakaria 27  Print Preview lets you to see what a document would look like if it were printed out. This allows you to make changes and revisions to your document.  To bring up Print Preview, do the following: 1. Click File from the menu bar 2. From the drop down list, click Print Preview 3. You are taken out of your Print Layout view 4. You can now examine what your document will look like when it is printed out

28 Printing a Select Portion Prepared By : Md Jakaria 28  Clicking the Print icon on the Standard toolbar will print the entire contents of your file. However, you often won’t want to print an entire document. This is particularly true if the document is particularly long. By accessing the Print dialog box, you can work around this. First, highlight the portion of your document you would like to print. It can be any part of the document. Press the Ctrl+P shortcut key or select Print from the File menu. Under Page Range, click the radio button beside Selection. Click OK. The selected portion of your document will print.
