1 Welcome to the Manage Flood Mapping – Distributing Preliminary Map Products module of the “MIP Release 3 Study Workflow Training” course! This module guides you through the process of verifying outreach activities, distributing preliminary map products, and setting up post preliminary processing for study projects. Only authenticated users with a Preliminary Map Products Task Lead and Study Project Administrator role can manage these tasks. Training manual users will find workflow and role diagrams throughout the modules. Web-based users, may click on the “View Workflow” and “View Role” buttons to see where you are in the workflow and role descriptions with associated organization types. 3 The Verify Outreach Activities screen allows the Preliminary Map Products Task Lead to identify the outreach activities that have been completed prior to distributing the preliminary maps. Check the required boxes to indicate that FEMA/NSP have been contacted to determine the required level of community outreach support and that coordination with the appropriate FEMA/NSP regional staff has occurred. Reminder: Online Help content provides assistance to users and is available throughout the MIP. Throughout this module the role performing the activity and a numerical or descriptive identifier for the screen are displayed in bold on the bottom left and right hand corners of the screen shot to the right. Organization Type: Assigned Prelim Org. Any org type could register to do this task. 5 (Continue) Use the drop-down lists to indicate which method of communication was used to alert each group to the issuance of the preliminary maps. Note: Clicking the Save Work button will save the data a user has entered; however, a user can not save a screen that is only partially completed. For all study workflow tasks, there will be a Review screen (where all task information entered can be reviewed) and a Complete Task screen. 6 The Distribute Preliminary Map Products screen allows you to enter the date the preliminary maps were mailed. This should be the same date that was stamped on the preliminary map panels. This date is used for calculating KPI1 and starts the 30-day comment period. For each community, indicate if the new preliminary maps have any BFE changes, whether advanced copies were sent prior to the preliminary date, and to whom the copies were sent. Make a list of the recipients of advanced copies. Click “Add Community” and repeat for each community. 8 (Continued) For each community, indicate if the new preliminary maps have any BFE changes, whether advanced copies were sent prior to the preliminary date, and to whom the advanced copies were sent. Also, enter to whom the preliminary maps were distributed (this field is required but does not have to be the same person/location you provided for the advanced copies). This data will be saved to the MIP and allows you to keep a list of the recipients of the preliminary maps. Click “Add Community” and repeat for each community. 9 The Setup Post Preliminary Processing screen allows the Study Project Administrator to authorize post preliminary processing activities if the task was not funded during the “Obligate Project Funds” task. Select the type of organization (e.g. CTP) and the organization responsible for post preliminary processing of the selected study project area (usually performed by MOD HQ). Correct selection of “Organization Type” and “Organization Name” ensures the post preliminary processing tasks will be routed to the Work Item List of the appropriate post preliminary task lead(s) of that organization. Enter the baseline “Start Date” and “End Date,” and “Cost” information, for the post preliminary processing tasks. Click “Add Cost” and repeat for each negotiated cost. MANAGE FLOOD MAPPING Manage Flood Mapping ROLE: Study Project Administrator Description of Role: Responsible for initiating new projects (i.e., entering all required information about project geography, responsible organization, cost, and schedule) and updating the cost and schedule information throughout the project. Organization Type: Same org that completed SM01. ModRMC, ModHQ, FEMARegion, or FEMA HQ could register to do this task. 11 (Continued) Important Note: The “End Date” for post preliminary processing should be the projected effective date. Note: Independent QA for the final map product is always performed by the NSP, therefore no QA contract information needs to be entered. After the post preliminary processing task has been set up, the “Determine Community Meeting Schedule” task will appear on the Pre-Appeal Study Task Lead(s) Work Item List of that selected organization.
