2 Data Management Seminar, 8-11th July 2008, Hamburg 2 In the Schools: Listing Students Listing Students School Coordinators complete their Student Listing Form Information on the students in the sampled classes – Student name (or numerical ID) – Date of birth (MM/YY) – Gender – Exclusion status – Language of Test (optional) Listing Students

3 Data Management Seminar, 8-11th July 2008, Hamburg 3 Tracking Students Enter information from the Student Listing Forms (in student editor) Perform booklet assignment Produce the Student Tracking Forms and the student labels Send all materials to the schools Tracking Students Tracking Students At the National Center:

4 Data Management Seminar, 8-11th July 2008, Hamburg 4 Select the desired class in the “Tree View” Select “Edit...” in the “Students” menu For each student record: – Name – Birth date (month, year) – Gender – Exclusion – Test Language Navigate with the arrow keys Add or delete students, if necessary Select “Close” Enter Data – Student Editor “Students” Menu

5 Data Management Seminar, 8-11th July 2008, Hamburg 5 WinW3s allows you to import Student’s basic information from MS Excel files instead of entering this data manually MS Excel file to be imported needs to have a predefined structure MS Excel template can be found here: \WinW3s\ICCS\MICS09_1\Import\Student_SchoolID.xls Import process consists of the following steps: –Create and rename one MS Excel file per school –Enter the student basic information into the MS Excel file –Import the data for one school into WinW3S Import student data from MS Excel

6 Data Management Seminar, 8-11th July 2008, Hamburg 6 Create and rename one MS Excel file per school Open the student template Rename worksheet according to the IDCLASS Create multiple worksheets if there is more than one class Save Template as Student_.xls Import student data from MS Excel

7 Data Management Seminar, 8-11th July 2008, Hamburg 7 Enter student basic information Complete student data (before booklet assignment) Use defined codes and validation rules (inserted as comment) Import student data from MS Excel

8 Data Management Seminar, 8-11th July 2008, Hamburg 8 Import data into WinW3S “Tools” Menu Select “Import Teachers and Students” in the “Tools” menu Select “Import Students” Select the school and class you wish to import Browse to and select the MS Excel file Select “Import” Import student data from MS Excel

9 Data Management Seminar, 8-11th July 2008, Hamburg 9 Import data into WinW3S Data is automatically validated during import Import will be aborted if there are invalid codes in the MS Excel file Number of students in MS Excel must match with number of students in WinW3S Log file shows if import was successful Import student data from MS Excel

14 Data Management Seminar, 8-11th July 2008, Hamburg 14 Student Labels WinW3S will create... 3 Student labels per student for countries participating in a Regional Module 2 Student labels per student for countries not participating in a Regional Module Send all test materials including labeled test instruments and Tracking Forms for all sampled classes to all participating schools!

Administer the test and give out questionnaires to the students Document the test in the Test Administration Forms Record participation in the Student Tracking Forms Return all materials to the National Center (can also be done by School Coordinators)
