2 What is a Cohort?

3 Definition  A Cohort is a list of patients that share the same characteristics e.g. by Location, by gender, by age etc.  A cohort can incorporate a number of patient attributes and narrow down to specifics of a project/study.

4  Cohorts are created according to patient attributes e.g a study may require to get female clients that are between age 18-25 who are from Turbo Clinic.  This is done from the “Cohort Builder” in AMRS. After selecting patient attributes according to the study requirements, you compose the cohort and it shall be available for download in mUzima. How Cohorts are Created

5 Who Creates a Cohort  A cohort is created by a number of people according to whom the responsibility has been assigned to in the various projects.  They can be created by Data Managers, Programmers and System Administrators of Individual projects according to the project’s needs.

6 Characteristics of Cohorts  Each cohort contains a list of patients that the user has downloaded. The list is according to the study’s specifications as mentioned in the definition of a cohort.

7 Downloading Cohorts  After log in to mUzima, a process runs “Loading Cohorts”. This process downloads the list of all cohorts available in mUzima that the user is required to choose from and download.

9  There are two options the user can choose from to download the cohort(s) that they require:- (i)Users can select a cohort from the list of cohorts that appear after “loading cohorts” is complete. (i)Users can select a cohort from the list of cohorts that appear after “loading cohorts” is complete.

11 (ii)User can go to dashboard after “Loading Cohorts” is complete and select on cohorts where he/she will find the list of all downloaded cohorts.

13 You are required to select one or more cohorts from the list by clicking on the cohorts tab You then click on the download button. Steps of Downloading Cohort(s)

14 Cohorts (i) Click on cohorts tab as shown below

15 (ii) Select the cohort(s) you REQUIRE to download and then click on download Download button Selected Cohort

16 The next process that will come on your screen will be the syncing process Sync in Process

17 After the sync process is complete, cohorts that have been downloaded (which you selected) will appear with asterisks on the right under tab “All”. Under tab “Synced”, you will find your downloaded cohort(s). Downloaded Cohort(s) Asterisk

18 Managing Cohorts After the initial download of cohorts and changes have been made on the server, changes need to be made as well on your device so as to keep the data up to date. (i)When you are not connected to the internet, you go back to the list of cohorts, select the cohort you want to update and click on download. However, you need to have internet access for this process to be successful.

20 (ii)When you are connected to the internet, and activated “Real Time Sync” under Settings, the cohorts will sychronise automatically from the server to the device and vice versa.

22 After syncing of cohorts is complete, you will then have the list of updated patients from the server that are in the selected cohort(s) on your device.
